How to read the Training Plan Progress dashboard and report

Introduction

The Training Plan Progress dashboard and report provides data on the progress of enrolled learners for a specific training plan and the courses included in it.

In this guide, you find the details about how to read the data shown on the Training Plan Progress dashboard and the report.

The Training Plan Progress dashboard 

The Training Plan Progress dashboard and the report may slightly differ. In some cases, the dashboard displays information in more details. These details are mentioned in the description of each point where relevant.

The training plan dashboard view presents the following information:

 

1. Total current Learners Enrolled

Displays the number of learners currently enrolled in the training plan. This number coincides with the number of learners listed in the Name column of the dashboard (number 8) and in the Learner's name column of the report (number 24) . Learners with pending enrollment requests aren't counted here even if they have completed the training plan before.

 

2. Total Learners who have completed the training plan

Displays the total number of learners who have ever completed the training plan. If a learner completed the training plan and afterwards was unenrolled from it, they will still be counted here. If a learner retakes the training plan after completion, the new completed attempt will not be counted here. The report doesn't contain this information.

 

3. Average Training Plan Rating

Displays the average number of all ratings this training plan received. The hidden rating won't be included in the average calculation. The report doesn't contain information on rating.

 

4. Completed

Displays the number of currently enrolled learners who have completed the training plan. A learner is calculated as having the Completed status for the training plan in the Status column on the dashboard (number 9). In the report, refer to the Completion Status (number 32).

 

5. In Progress

Displays the number of enrolled learners who have started the training plan but haven't completed it yet. A learner is calculated as having the In Progress status for the training plan in the Status column on the dashboard (number 9). In the report, refer to the Completion Status (number 32).

 

6. Not Started

Displays the number of enrolled learners who have not started the training plan. A learner is calculated as having the Not Started status for the training plan in the Status column on the dashboard (number 9). The learners who have previously completed the training plan, forced to retake but haven't started the new attempt yet, are also counted because they have the Not Started status for the new attempt. In the report, refer to the Completion Status (number 32).

 

7. Overdue

Displays the number and percentage of enrolled learners who haven't completed the training plan by the due date. They have the In Progress or Not Started status for the training plan in the Status column. Once the due date has passed and the learner completed or was unenrolled from training plan, they won't be counted here.

 

8. Name

Displays the learner's name. Selecting the expand arrow, you can track the course titles the training plan consists of. In the report, refer to number 24 - Learner’s name.

 

9. Status

Displays Not Started, In Progress, or Completed – the learner’s status of the current attempt to complete the training plan. Select the expand arrow next to the learner’s name to see the status of the courses included in the training plan. In the Excel report, refer to number 32– Completion status. For more information on the completion statuses of the training plan, navigate to this article.

 

10. This column has no heading in the dashboard

It's located between the Status and CEUs columns. It may contain the grey tick icon.

The icon is located near each course of the training plan (not the training plan title) and only for the courses that have been previously completed and retaken. Select the expand icon near the learner's name to see the details of each course in the training plan. Hover over the icon of individual courses to see the last completion date.

If an individual course was retaken and completed several times, only the last completion date is shown.

To track the last completion date of the training plan, if it was previously completed before the retake, refer to the Excel report number 33 – Previously completed.

 


EXAMPLE

The training plan is completed. However, there are courses in the training plan that were completed and retaken by this learner. These courses have the grey tick icon that you can hover over for more details. 

Courses that have been completed and not retaken don't have the grey tick icon.

11. CEUs

Displays the number of CEUs earned by a learner for the training plan completion, if CEUs have been set for completion of this training plan.

Expand the learner's name to see the number of CEUs that they may receive for each course in this training plan, if they have been set for an individual course. The earned CEUs for each course of the training plan isn't included in the number of CEUs of the training plan.

In the report, refer to number 22.

 

12. Progress

A learner’s progress on the current attempt to complete the training plan is indicated near the learner's name. Select the expand arrow near the learner's name to track progress of the current attempt of each course in the training plan. In the report, refer to number 30.

On the Training Plan Progress dashboard and report, the learner's training plan and course progress calculations differ from the one applied on the training plan home page so the progress values differ from the values learners can see in the Learning Progress section on the training plan home page and the progress of each course.

 

13. Score

Learner’s score on the current attempt to complete the training plan is stated near the learner's name. Select the expand arrow near the learner's name to track the score on the current attempt of each course in the training plan. The training plan score is calculated as the average of the score received by the learner for each course.

In the report, refer to number 31.

 

14. Completed

Displays the date the learner completed the training plan. To see the completion date of each course of the training plan, select the expand arrow near the learner's name.

In the report, refer to number 36 - Date completed

 

15. Certificate

If the column displays the eye icon meaning the user has acquired certificate(s) upon completion of the training plan. For more information on how to manage the learner's certificate(s), navigate to this article.

If a separate course in the training plan contains the eye icon, this means the learner has acquired a separate certificate for completion of this course. In the report, refer to numbers 38-40.

 

 

The training plan progress report

Selecting the Download Report button on the dashboard will download the training plan report to your device. Compared to the dashboard view, the training plan report contains some extra information that is not displayed on the dashboard. In some cases, the dashboard view displays information in more details. All these is mentioned in the description of each point.

The training plan report contains the following information:

 

16. Training plan Name

Displays the name of the training plan. The dashboard view contains more details, refer to number 8.

 

17. Category

Displays the categories specified for the training plan. If no category was applied to the training plan, the cell remains empty. The dashboard view doesn't contain this information.

 

18. Course Type

Displays Training Plan.

 

19. Training Plan ID

Displays the training plan ID if it was specified. If no, the cell remains empty. The dashboard view doesn't contain this information.

 

20. Training Plan Duration

Displays the duration of the training plan the way it was specified in the Duration field on the training plan configuration panel. If the duration wasn't specified, the cell remains empty. The dashboard view doesn't contain this information.

 

21. Training Plan Duration (minutes)

Displays the duration of the training plan if it was set in the Duration (standard format) field on the training plan configuration panel. The data in this report column is automatically converted into minutes and displayed as a numeric value. As a result, the data can be further used for calculation purposes. The numeric value is converted as following: 1 hour is 60 minutes; 1 day is 24 hours.


EXAMPLE

If the duration set in the Duration (standard format) field is specified as 1 day 5 hours 30 minutes, the Training Plan Duration (minutes) column will automatically convert this data to 1770 minutes.

22. CEUs

The CEUs that learners can acquire upon completion of the training plan if this was set. If CEUs aren't set for the training plan, the field remains empty. For the detailed dashboard view, see number 11.

 

23. Enrollment Flow

Displays the type of the enrollment flow: Automatic, Line Manager, or Administrator Approval. The dashboard view doesn't contain this information.

 

24. Learner's name

Displays the names of the currently enrolled learners in this training plan. For the dashboard view, refer to number 1.

 

25-29. Additional information about learners

Displays additional information about learners enrolled in the training plan: Email, Department, Office, City, Country. The dashboard view doesn't contain this information.

 

30. Progress

The progress percentage of the learner's current attempt to complete the training plan.

The dashboard view (number 12) contains detailed information on the progress of each course of the training plan. More information about calculation of the training plan progress is given in last paragraph of this article.

 

31. Score

Displays learner’s score for the training plan. The dashboard view (number 13) contains detailed information on the progress of each course of the training plan.

 

32. Completion status

The report contains the status of the learner's current attempt to complete the training plan: Completed, In Progress, Not Stated. The dashboard view (number 9) contains more details on the completion status of each course of the training plan.

 

33. Previously completed

Displays the date when the training plan was previously completed if the training plan was retaken. If the training plan was completed several times, only the date of the last completion is specified. For the dashboard view, refer to number 10.

 

34.Overdue status

On Time/Overdue shows whether the learner is on time with the training plan completion.

 

35. Due date

Displays the date when enrolled learners must complete the training plan. The due date depends on the set Due Date option for the training plan. If number of days after enrollment is set, the due date in the report will depend on the enrollment date for each learner. If the fixed date option is set, the due date will be the same for all learners. The dashboard doesn't contain this information.

 

36. Date completed

Displays the completion date of the training plan. If the current attempt to complete the training plan isn't completed, the cell remains empty. For the detailed dashboard view, refer to number 14.

 

37.Time completed

Displays the time when the learner completed the training plan. The dashboard view doesn't contain this information.

 

38. Certificate for current progress

Yes means the learner acquired a certificate for the current attempt to complete the training plan. The empty cell means no certificate was acquired. For the detailed dashboard view, refer to number 15.

 

39. Certificate expiry date

Displays the certificate expiry date if the date was set. This field is empty if there is no expiration date set for the certificate. For the detailed dashboard view, refer to number 15.

 

40. Certificate expired

Yes means the certificate is expired. For the detailed dashboard view, refer to number 15.

 

 

Calculation of the training plan progress 

Calculation of progress of a training plan depends on the courses that are set as required for completion.

The training plan progress is calculated as the average of all the courses that are set as required to complete. If there are courses that are not required for completion, their progress won't be included in the total progress calculation of the training plan.

 


EXAMPLE

On the image below, the training plan progress is 52.4% and is calculated the following way: the total progress of all three courses required for completion (0%+57.1%+100)/3=52.4%

The progress of the course that isn't required for completion doesn't influence the total progress of training plan.

The total progress of the training plan may be 100% containing the courses with 0% in progress. This means that the training plan and all the required courses have been previously completed but separate courses were retaken by the learner as the result not affecting the total progress of the training plan. The last completion date of such a course can be tracked when hover over the grey tick icon in the next column.


EXAMPLE

On the image below, the total progress of the training plan is 100%, although the first course and the last two courses have 0%. This means that they have previously been completed and now are retaken with the current status of Not Started (refer to dashboard view numbers 9 and 10).
