Quizzes: editing and managing

Introduction

The LMS365 quiz functionality allows for creating and employing quizzes as an intermediate or final test. Adding quizzes to courses and training plans provides you with the tool to keep track on progress of learners and test their received knowledge.

This article describes how to edit and delete a quiz on the course catalog level as well as how to manage quizzes from the course, how to view learner's details on quizzes progress and on question statistics.

 

Edit quizzes 

There are several ways to edit a quiz:

  • On the course catalog level from the Content area.
  • Directly in the course.

NOTE   

Edits on a quiz will be applied to the quiz in all courses in the course catalog that employs the quiz.

 

To edit a quiz from the Content area, follow the steps below:

1) From the LMS365 Admin Center > Content > Quizzes > select a quiz > from the Actions panel, select Edit Quiz.

2) On the Edit Quiz page, make the relevant changes in the fields and sections.

IMPORTANT   

If you change Quiz Passing Score, the updated passing score will be applicable for new and incomplete attempts of learners. Changes will be applied when a learner continues the attempt and submits an answer. The passing score will not be changed for completed attempts.

 

Editing of the question pool questions in the quiz is done the following way:

  • When the Fixed type was used to add questions to the quiz, you can edit and delete the questions from the Quiz Editor. The changes won't affect the question pool.
  • When the Random type was used to add questions to the quiz, the questions aren't shown in the Quiz Editor as separate questions but as a separate group of questions with the question pool title. In the brackets, you can find the number of questions that are used in the quiz. In this case, the Edit button will open the Questions from Question Pool page. Here, you can't edit the individual questions, but only adjust your settings on the Questions from Question Pool page. The Delete button will delete the entire group of questions. The changes will not affect the question pool.

At the top-left corner of the page, you find the This Quiz is used in these Courses link. Select this link to see the list of all courses the quiz is used in.

The list of courses contains the titles of the courses and contact(s). Selecting the eye icon in the Actions column will redirect you to the course home page.

3) To save the introduced changes, select the Save button. The system only saves the last made changes. The previous settings of the quiz can not be restored.

When you Save the amended quiz, you will be redirected to the Quizzes page, where all quizzes in the current course catalog are listed. 

NOTE   

  • If a required field is empty, the quiz will not be saved. You will see the notification 'The field is required'.
  • If you select the Return to Quizzes button before the quiz is saved, the system will warn you that data you have entered may not be saved. Select Ok to proceed. Select Cancel to cancel the action.

After editing a quiz, the data on the learners' progress will not be lost. The changes will only be applied to the not completed and new attempts of learners. Learners will be able to continue their old attempts or start new attempts.

 

Delete quizzes

To delete a quiz, follow the steps below:

From the LMS365 Admin Center > Content > Quizzes > select a quiz > and from the Actions panel, select Delete Quiz.

If the quiz is not used in any course, you will see the Delete Confirmation message. To confirm the deleting of the selected quiz, select Delete. To cancel the action, select Cancel.

In case the quiz is used in at least one course, the Delete Confirmation message will contain the list of courses where the quiz is used. The list of courses can be sorted by the Name column. Selecting the eye icon will redirect you to the course home page.

The Delete Confirmation message notifies that the action can't be undone. To confirm the deletion of the selected quiz, select Delete. To cancel the action, select Cancel.

The quiz will be deleted from all the courses and training plans listed in the Delete Confirmation message.

 

 

Manage quizzes in courses

To add and manage quizzes of a course, follow the steps below:

1) In the LMS365 Admin Center, go to Training Management and select a course.

2) From the Course Management panel, select Manage Course Content and navigate to the Content section of the course editing panel.

3) From the course Content section, select the quiz to manage to open its Actions panel.

4) From the Actions panel, select the relevant action link:

 

 

Add quizzes to courses

To add a quiz to a course, in the Content section of the course configuration panel, select + Add Learning Item and Quiz.

On the opened Quiz panel, select one or several quizzes you would like to include in the course, or select + Create Quiz to create a new quiz to include in the course. After creating a new quiz from this view, the newly created quiz will automatically be added to the course.

 

 

View Learner's Details

The View Learner's Details action allows you to view the progress on the selected quiz of the learners enrolled in the course, the number of attempts made by specific learners, the details of each attempt, and download the report.

NOTE   

To view the details of unenrolled learners, the admin must re-enroll these learners in the course.

 

To download the report, select the Export to Excel button.

 

To view a learner's details, follow the steps below:

1) In the LMS365 Admin Center, select the relevant course to open the Course Management panel.

2) From the Course Management panel, select Manage Course Content to open the course editing panel.

3) On the course editing panel, navigate to the Content section and select the relevant quiz to open its Actions panel.

4) From the Actions panel, select View Learners' Details.

5) From the View Learners' Details page, select the collapse/expand button next to the name of individual learners to see information about all their attempts.

On the View Learners' Details page, you can find the following information:

  • In the Name column, the list of learners who are enrolled in the current course. 
  • In the Passed column, it is specified with Yes or No if learners have passed:

 a) The last attempt to complete the quiz, when the information is collapsed.

 b) All the attempts of a learner, when the information is expanded.

  • In the Score column, the received score percentage:

 a) Of the last attempt to complete the quiz, when the information is collapsed.

 b) For each separate attempt of a learner, when the information is expanded.

  • In Passing Score column, the passing score to complete the quiz.
  • In the Status column, the current progress status of the attempt: Not Started, In Progress, Completed, Failed, or Out of Attempts.
  • In the Date Completed column, the completion date and time of the completed attempt.
  • In the Time Spent column, the time that the learner has spent on the attempt. If an attempt is In Progress, the value is empty.
  • The Date Created column is only seen when expanding the learner's details. The column displays date and time when the attempt was started by the learner.
  • The Actions column contains the actions that are only seen when expanding the learner's details. The action icons—View Learner's Attempt and Delete Learner's Attempt—are available for learners that have started at least one attempt to complete this quiz.
  • To download the information about quiz details, select the Export to Excel button.

 

Column filters

To search for a specific details of a learner, a particular result, to narrow the search results, you can use the column filters. Each column on the page can be filtered. Filters differ depending on the column.

1) Select a column you want to filter by and select the Filter icon.

2) Fill in the relevant fields in the form.

3) Select the >Filter button to apply the set filters to the column. To clear the filter results, select Clear in the filter form.

The View Learner's Attempt (an eye) icon in the Actions column opens a page where you can see the quiz details as well as all questions with the learner’s answers. The questions that are not answered by the learner are displayed without answers.

For the Free Text Answer question, you can edit the number of points earned by the learner. To do that, select the Edit button next to the number of points. The completion status of the attempt as well as the score will be recalculated after you have changed the number of earned points.

For the Multiple answers question with the Show correct answers option enabled, correct answers will be checked green and learner's answers will have a blue background.

NOTE   

When the admin manually sets the completion status, this completion will be registered as a new attempt. The quiz details page will display "The Answer is missing" message for all quiz questions as questions were not answered by the learner in this attempt.

Selecting the Delete Learner's Attempt icon in the Actions column will delete this attempt of the learner. You will need to confirm the action in the confirmation window by selecting OK. To cancel the action, select Cancel.

 

 

Question Statistics

The Question Statistics action is available for quizzes and can show statistics information for each quiz question and individual learner progress on it.

NOTE   

To view the learner's details of the unenrolled learners, admin must re-enroll them in the course.

 

To view question statistic details, follow the steps:

1) In the LMS365 Admin Center, select the relevant course to open its Course Management panel.

2) On the Course Management panel, select Manage Course Content to navigate to the course editing panel.

3) On the course editing panel go the Content section and select the relevant quiz to open its Actions panel.

4) From the opened Actions panel, select Question Statistics.

5) On the opened Question Statistics page, from the Group by drop-down list, select the way you would like to group the quiz question statistics: By Questions or By Learners.

 

 

When Grouped by Questions, the information is grouped by quiz question and presented the following way:

  • In the Question column, the quiz questions are listed. Select the collapse/expand button next to the question to see detailed information on an individual learner.
  • In the Total Answers column, the total number of answers to this question of all the enrolled in the course learners is listed. For an individual learner – the total number of answers provided by this learner is specified.
  • In the Correct Answers % column, the total percentage of correct answers to this question of all the enrolled in the course learners is stated. For an individual learner – the total percentage of correct answers to this question provided by this learner is specified.
  • In the Incorrect Answers % column, the total percentage of incorrect answers to this question of all the enrolled in the course learners is stated. For an individual learner – the total percentage of incorrect answers to this question provided by this learner is specified.
  • In the Progress column, the progress bar displays the progress on this question of all the enrolled in the course learners. For an individual learner – the progress of the learner on this question is specified. If you hover over the progress bar, you will see the detailed percentage of correct and incorrect answers.

 

 

When Grouped by Learners, the quiz statistics is presented the following way:

  • In the Name column, the learners are listed. Select the collapse/expand button next to the learner's name to see detailed information on each quiz question of the current quiz.
  • In the Total Answers column, the total number of answers to all the questions of the current quiz provided by an individual learner is listed. For each question – the total number of answers provided by this learner is specified.
  • In the Correct Answers % column, the total percentage of correct answers to the questions in the current quiz provided by the learner is stated. For an each question – the percentage of correct answers to this question provided by this learner is specified.
  • In the Incorrect Answers % column, the total percentage of incorrect answers to the questions in the current quiz provided by the learner is stated. For an each question – the percentage of incorrect answers to this question provided by this learner is specified.
  • In the Progress column, the progress bar displays the progress of the learner on the quiz questions. For each question – the progress of the learner on this question is specified. If you hover over the progress bar, you will see the detailed percentage of correct and incorrect answers provided by the learner to this question.

 

 

Column filters

Edit Quiz

When you select the Edit Quiz action link on the Actions panel, you will be directed to the Quiz Edit page of the selected quiz.

On the Edit Quiz page, make required changes in the fields and sections.

 

 

To save the introduced changes, select the Save button. You will be directed to the course Content section, where you started quiz editing.

If you select the Return to Manage Course Content button before the quiz is saved, the system will warn you that data you have entered may not be saved.

In the confirmation window, select OK to proceed. To cancel the action, select Cancel.

Hide Quiz/Make Quiz Visible

With the Hide Quiz/Make Quiz Visible action, you will change the visibility status of the quiz and hide the quiz from learners or make it visible for them. Hiding a quiz for learners makes the quiz invisible on the course home page and in the LMS365 Player where the learner takes the course. However the learner's progress will not be affected.

To hide or make quiz visible, follow the steps:

1) In the LMS365 Admin Center, select the relevant course to open the Course Management panel.

2) From the Course Management panel, select Manage Course Content to navigate to the course editing panel.

3) On the course editing panel go to the Content section and select the relevant quiz to open its Actions panel.

4) From the opened Actions panel, select Hide Quiz/Make Quiz Visible (depends on the current visibility status of the quiz).

An eye icon in the column of the Content section shows that the learning item is hidden.

 

 

Remove Quiz from Course

The Remove Quiz from Course action allows you to remove the selected quiz from a specific course.

In the confirmation message, confirm your action. Select Remove to confirm, or Cancel to cancel deletion.

NOTE   

After removing a quiz from the course, the quiz will be deleted from the course content but not from the quizzes storage.

 

Quiz language settings

LMS365 allows you to customize language files, change the wording of specific translations, or to change the entire language of all product text.

By default, the LMS365 Quiz Builder language is English. The LMS365 Quiz Builder language can be customized. The custom translation will be applied to the whole tenant.
