The Learner's Progress dashboard: overview and available options

Introduction

To understand the training status of specific learners in a course catalog, LMS365 offers catalog admins an overview of the training progress of individual learners in the Learner's Progress dashboard and report.

This guide covers how to find the Learner's Progress dashboard and report and how to manage the progress of learners from this view.

 

How to find the Learner's Progress dashboard and report

Required role: catalog admin.

To find the Learner's Progress dashboard and report, go to the LMS365 Admin Center > Users > Select the relevant learner > View Learner’s Progress.

This opens the Learner's Progress panel, which displays the learning progress of the selected learner in a dashboard overview, as shown in the following image.

Overview of the Learner's Progress dashboard

Required role: catalog admin.

 

NOTE   

The Learner Progress dashboard and the Excel report present information based on all data available for the learner, that is not only the current enrollments. This means that all courses and training plans that the learner has ever been enrolled in are displayed.

 

The Learner's Progress dashboard consists of several sections with information on the learner's progress:

  • Summary of Progress for Selected Learner displays the charts with the summarized information about learners' progress. Here, selecting the Download Report button, you can also download a report in the Excel file with data on the course progress.

Select the expand arrow of Summary of Progress for Selected Learner to expand or collapse the summary information.

  • Right below the charts, you can find the search and filtering tools of the dashboard:
    • In the Search field, enter the title of a course or a training plan or part of the name to search for specific training. 
    • Select the title of a column, to sort the information in it either in alphabetic order or in ascending-descending order. 
  • In the columns, you can find detailed information about the learner's progress for the courses and training plans, and the tools to manage progress.

To see details on a learner's progress for each learning item of the course or for each course of a training plan, select the expand arrow next to the relevant training title. The learning items that are set as required for completion are identified with the start icon.

Managing options of the Learner's Progress dashboard

Required role: catalog admin.

Besides providing metrics on the learner's progress on courses and training plans, the Learner's Progress dashboard also provides the following options to manage learners' progress:

  • Edit learners' progress and change the completion status.
  • Delete user's progress.
  • Force retake the training and reset learner's progress.
  • Manage learner's certificates.
  • Download the learner's progress report.

 

Edit learner's progress and completion status

For courses

By selecting the expand arrow next to a course name, catalog admins can see and edit the learner's progress selecting the Edit icon in the learner's name row.

On the opened panel, you find the list of all learning items that can be managed from here. You can change their completion status manually.

For instructor-led training of the Enroll user into a single- and multiple- course sessions enrollment types with the Allow enrollment without session registration option enabled, regardless of whether attendance is set as required for course completion, if the learner is enrolled in the course without any session registration, there will be no field for attendance management on the opened panel. 

The course completion toggle allows you to settle the whole course as Completed regardless of the status of its learning items and whether these learning items are required. 

When you enable the Completed toggle to Yes:

  • The course will be set as Completed regardless of the status of its learning items and whether these learning items are required for completion. 
  • The Completion Date field opens where you can manually set the completion date. By default, it shows the current date.
  • If the course has set CEUs, the CEUs field will open. Here, you can see and edit the number of CEUs learner will acquire for this course completion.

Select Save to save changes or close the panel to discard.

 

For training plans

To edit a learner's progress with the training plan, you should edit the progress of the relevant courses included in the training plan. To see a learner's progress on each course in the training plan, select the expand arrow next to training plan title.

Select the Edit icon next to the course for which you want to edit the learner's progress.

On the opened panel, the course Completion toggle and the list of learning items in this course are displayed. The tools available here enable you to manage the progress and completion of this course.

Completing all courses in a training plan automatically brings the training plan status to Completed.

You can manage the progress of each learning item in the course by selecting the relevant status for each item from the drop-down list. If you set all learning items to Completed, it'll make the course automatically Completed as well.

You can also complete the course if you drag the Completed toggle to Yes:

  • The course will be set as Completed regardless of the status of its learning items and whether these learning items are required for completion.
  • The Completion Date field opens and enables you to manually set the completion date. This defaults to the current date.
  • If the course has set CEUs, the CEUs field opens. Here, you can edit the number of CEUs that a learner will acquire for completing this course in the training plan. However, the CEUs for the course aren't included in the CEUs that a learner can acquire for completing the training plan. 
  • If you don't manually change the status of individual learning items, they retain their status.

Select Save to save changes or close the sidebar to discard.

Delete user's progress

You can delete learner's whole progress of a course or training plan, last attempt or all attempts to complete separate learning items in a course, or progress for individual courses in the training plan.

For courses

You can delete a learner's attempt of a separate learning item in the course or delete the learner's course progress.

 

NOTE   

  • On the Learner's Progress panel, you can track a separate progress of learning modules, content packages, quizzes, and assessments. Quizzes and content packages are displayed as well when they are a part of a learning module. Progress on other content items of a learning module aren't tracked on the Learner's Progress panel but can be viewed via the View Learners Progress link of the learning module in question from the course Content section.
  • If a course was marked manually as Completed but none of its learning items were marked as Completed, then no attempt will be available to delete.

 

To delete a learner’s attempt on a learning item in a course:

1. Select the expand arrow next to the course title to see all learning items in this course.

2. Select the red cross icon next to the relevant learning item.

3. In the confirmation dialogue, select the checkbox of the relevant action to perform:

  • All attempts will delete all attempts statuses and bring the status of this learning item to Not Started. 
  • If the learning item progress has more than one attempt, there'll be the Previous status field with the relevant information. Selecting the Last Attempt will bring the status of the learning item to the specified Previous status.

  • When you select to Delete Attendance progress for the Instructor-Led Training, you'll delete attendance in all sessions that the learner was enrolled in. The Attendance status will be changed to Not Started. This applies to all types of the Instructor-Led Training enrollment.

To Delete User's Progress for a course:

1. By selecting the Delete User's Progress icon next to the course title, you can delete learner's course progress that includes learner’s existing certificates, granted skills, and attendance. The status of the course and the learning items in it in this case will be set to Not Started.

2. On the opened panel, select the learning items to delete.

By default, only the completed items will be selected for deleting. The In Progress learning items are listed but not selected for deletion. The Not Started learning items aren't listed here. To select all listed items for deletion, select the Name check box.

Select the Delete button to delete the course progress of the learner.

 

NOTE   

If a course was marked manually as Completed but none of its learning items were marked as Completed, then no learning items will be available to select and delete. In this case, select the Delete button to delete the course progress.

 

For training plans

Selecting the Delete User's Progress icon, you can delete the user's progress either for the whole training plan or for individual courses in the training plan.

The icon is located near the training plan title if there is progress recorded for any of the courses in the training plan. The icon is also located near the course if the learner has started this course.

To delete a user's progress with the training plan, select the Delete User's Progress icon near the training plan title.

This opens a panel where you can select all courses in the training plan. By default, all courses with the Completed status are selected for deletion. The In Progress courses are listed but not selected for deletion. The courses with the Not Started status aren't listed here.

To select all listed courses on the panel, select the Name checkbox. 

Select Delete to complete the training plan progress deletion.

Deleting a user's progress with the training plan:

  • Brings the user's progress status for the training plan and its courses to Not Started.
  • Deletes valid and expiring training plan certificates as well as granted skills of the training plan.
  • Deletes valid and expiring certificates of a separate course if the certificate was received within this training plan.

To delete a user's progress with a separate course within the training plan, select the Delete User's Progress icon near the relevant course title. This opens a panel where you can manage the course deletion by selecting the relevant learning items:

  • By default, all learning items with the Completed status are selected for deletion. The In Progress and Failed learning items are listed but not selected for deletion. The learning items that have the Not Started status aren't listed here. To select all listed learning items on the panel, select the Name check box.
  • If the course was manually completed and the learning items in it have the Not Started status, there'll be no learning items displayed on the panel. In this case, select Delete to delete the course progress.

As a result, deleting course progress within a completed training plan doesn't influence the Completed status of the training plan because it only brings the course progress to Not Started. If a learner received a certificate for completing the course within the training plan, the valid course certificate will also be deleted.

 

Force retake

You can force a learner to retake the completed course or training plan, or individual courses in a training plan. This action resets the progress of the completed course or training plan, or individual courses in a training plan.

To reset the learner's progress for a course or training plan, select the Force retake icon of the relevant course or training plan. The learner, in their turn, will have to retake the completed course or training plan again.

After you've reset the progress:

  • The course status will be updated to Not Started, but the learner’s previous completion will still be in the learner’s record. You'll be able to see the last completion date by hovering over the grey tick icon next to the status. For more detailed information, read this guide on course retake.
  • The progress of the training plan will be reset meaning that the progress of all the courses in the training plan will be reset as well. The training plan status and the courses in it will be set to Not Started. The learner’s previous completion will still be registered in the learner’s training record. To track the last completion date of the whole training plan if it was previously completed before the retake, download the Learner's Progress report and refer to the Previously Completed column.

To force the retake of an individual course in a training plan, select the Force Retake icon of the relevant course in the training plan. This resets the progress of the course and brings it to Not Started but the training plan status won't be changed.

You can see the last completion date of the completed retaken course if you hover over the grey tick icon next to the course status.

Manage learner's certificates

If a course or a training plan enables learner to acquire a certificate upon completion, you'll see the eye icon in the Certificate column. This means that the user has acquired a certificate upon completion of a course or training plan. This can be imported external training, currently available training, or the training that has been deleted.

If a separate course within the training plan awards a certificate, the eye icon will be placed near this course, meaning you can manage the certificate.

From the Learner's Progress dashboard, you can view, download, or delete certificates.

To manage a learner’s certificates:

1. In the Certificate column, select the View Certificate icon near the relevant course, training plan, or a course in the training plan.

2. On the opened panel, the list of all the learner's certificates will be displayed. The list provides information about the status of the certificates (Valid, Expiring, Expired), the issue date, and the expiry date.

Here, you can perform actions:

  • Download a certificate by selecting the Download Certificate icon.
  • Delete a certificate by selecting the Delete Certificate icon.

Download learner’s progress report

Selecting Download Report on the dashboard you'll download the learner’s progress report in the Excel file to your device. The report will display information in the language of your browser, if this language is supported by LMS365. Otherwise, it'll be displayed in English.

The exported report contains information about the learner's progress for each training activity.
