Learning via the LMS365 mobile app

Introduction

The LMS365 app offers learners the full LMS365 learning experience via their mobile device. 

This guide provides you with an overview of the mobile app from the learners' perspective and what information and actions that are available to learners in the mobile app.

 

Finding and selecting the training

When the learner is logged in, the app will automatically open on the Dashboard tab > Training section > Planned training.

The Dashboard tab displays all courses and training plans the learner is enrolled in (or is on the waiting list for or pending approval for enrollment in) from all course catalogs the user has access to. The training will be displayed in cards.

The learner can filter and search to find the relevant training in this view. Filtering and search is available from the top right corner of the Training section tap.

From the training card, by tapping the training title or the arrow icon, learners will be led to the course or training plan page from where they will have a selection of actions available that are related to the training.

From the Catalog tab, learners can see all published courses and training plans in a course catalog. From this tab, learners can switch between available course catalogs from a selector placed at the top of the screen to see the courses and training plans within a particular course catalog.

Learners can also filter and search from the Catalog tab to find relevant training in a course catalog. Also, from the Catalog tab, learners will see the training displayed in cards from where they can be led to the course or training plan page.

 

Course and training plan pages

Course and training plan pages can be reached from either the Catalog tab or from the Training section of the Dashboard tab.

When learners select a course or training plan from either of these views, they will be directed to the page of the course or training plan which will include information of the course or training plan in question and provide access to a selection of available actions.

At the top of the page, the course and training plan pages will display:

  • Title of the training
  • Thumbnail image of the course
  • Course rating
  • The user's progress with the training
  • Information about the date the learner enrolled in the training.
  • If the training is completed by the learner, the completion date will be displayed as well.

  • Sessions (for session-based training types only)

Description - Shows the short description of the course or training plan made by the admin during the training creation or editing.

Information - Shows details of the training depending on the training type and settings: Course/training plan name, category, type, duration, ID, CEUs, due date, enrollment flow type, enrollment deadline, and contact(s).

The Information section also provides information about the certificate(s) and competency(ies) the course or training plan will grant, and the training plan(s) the course is part of (for courses only).

The icon of shown training plans and valid certificates will be active links that will redirect the learner, respectively, to the pages of the training plans and certificates.

The Competencies block displays competency title, level, status, achievement date, and revocation date (if set).

NOTE: If the course/training plan contact person has an email registered at their profile, learners will create an email to the person by tapping their name from the course or training plan page. Contact persons with no email registered at their profile can't be reached this way. 

For example, if three contact persons are displayed at a course page, but only two of these have an email registered, when the learner taps on the contacts, the system will only show course/training plan contacts with a registered email address. If no course/training plan contact has an email registered, the dialog will be empty.

Sessions - Shows session details for Classroom & Blended Training and Webinar courses.

Depending on the course and session settings, the section will show the following information:

  • Number of sessions in the course.
  • Date, time, and location of sessions.
  • The meeting URL, which will be an active link.
  • Start and end dates and time of the sessions.
  • Enrollment deadline for courses with the enrollment type Enroll user into a single course session (if set).
  • Additional information provided for the session
  • Instructor(s).

Show more sessions/Show less sessions allows to collapse or expand the list of all sessions of the course. The amount of sessions displayed on the page is configured on the course catalog level.

Below the Description, Information, and Sessions blocks, a selection of actions will be available to learners.

Under these actions, learning modules (if any in the course) will be shown for courses. For training plans, courses are shown.

 

Course and training plan actions and capabilities

A selection of actions are available to learners from training cards, the vertical ellipsis menu at the top right corner of a course or training plan pages, and under the Description, Information and Sessions blocks on course or training plan landing pages.

The available actions depend on the training type, its settings, and the learner's progress with the course or training plan in question.

General available actions

Depending on settings for the individual course or training plan, the available actions can be the following for all types of training:

 

Enroll to Course/Training Plan

This option is available from the course and training plan landing page and allows learners to enroll in the course or training plan. Depending on the enrollment flow settings, learners will either be automatically enrolled after tapping this button, or an enrollment request will be sent to the approver. In case approval is needed, the status Pending Approval will be shown to the user on the course or training plan landing page.

After approval, learners will be automatically enrolled in the course or training plan.

NOTE: The option to enroll in a training will only be available from the Catalog tab where learners can find all courses and training plans of the current course catalog. On the Dashboard tab, learners will only see training that they are already enrolled in or have a pending approval for.

 

 

Retake Course/Training Plan

The Retake Course and Retake Training Plan option allows learners to retake completed training.

 


NOTE:
The option needs to be enabled during the course or training plan creation or editing process in order to be present for learners. When the Voluntary Retake option is disabled the retake option will only be available for learners in case the certificate for the course or training plan is expiring.

 

The Retake Course and Retake Training Plan option for completed courses and training plans will be displayed under the Description and Information tabs and on the training card in the Dashboard. The Retake option is not available from the vertical ellipsis menu.

Cancel Request

The Cancel Request option allows learners who have requested to enroll in a course or training plan to cancel the enrollment request, when the approval is still pending. 

The option is available from the vertical ellipsis menu. The learner will be asked to fill in a cancellation message where the reason for cancelling the enrollment request can be described.

 

Download Course

The Download Course option makes it possible for learners to download course content so it can be consumed offline. 

This option is available from the vertical ellipsis menu for courses with at least one content package (SCORM) or a quiz (if the quiz is a separate learning item or a part of a learning module).

 

 

NOTE:

  • The learner needs to be enrolled in the course in order to download it.
  • Only courses with at least one quiz or SCORM content package can be downloaded.
  • AICC content packages does not work in offline mode.

All learning modules of downloadable courses will be downloaded when the learner downloads the course, but only SCORM content packages and quizzes will be available for the learner to take.

Delete Downloaded Course

If learners have downloaded a course for offline use, the course content can be deleted again if the learner selects the Delete Downloaded Course option.

The option is available from the vertical ellipsis menu.

 

Unenroll from Course/Training Plan 

The option Do not allow unenrollment must be disabled by the admin in the course or training plan creation/editing panel in order for this option to be available. If disabled, learners can unenroll from courses that are not yet completed by selecting the Unenroll from Course/Unenroll from Training Plan option.

The option to unenroll is available from the vertical ellipsis menu.

 

Open in Browser

If the option is enabled in the LMS365 Mobile app settings, learners can open courses and training plans in a browser in their mobile device.

The option is found under the learning modules on the course landing page.

 

Actions specific for Classroom & Blended Training and Webinar courses

Due to the session-based type of these courses, unique and additional actions are available for courses of the type Classroom & Blended Training and Webinar. 

 

Enroll to Course

The Enroll to Course option allows learners to enroll in course sessions.

For courses with the Enroll user into a single course session enrollment type, the Enroll to Course link only becomes active after a session is selected. For courses with the Enroll user into all course sessions enrollment type, the enrollment will automatically enroll the learner in all course sessions and the Enroll to Course link is active from the start.

Add Me to Waiting List

In case there are no available places in session-based courses, learners can be added to the waiting list if the Waiting List option is enabled for the course in question.

For courses of the Enroll user into all course sessions enrollment type, that does not have available places, learners will see the Add me to Waiting List option.

When learners have been successfully added to the waiting list, the status You are on Waiting List will be shown on the course home page. 

For courses of the Enroll user into a single course session enrollment type, the Enroll to Course button will change into Add Me to Waiting List for sessions with no available places. When learners have been successfully added to the waiting list the status You are on Waiting List will be shown on the course home page, and in the Sessions tab the learners will only see information related to the session they are on the waiting list for.

When learners select a session from the Session tab and select Add me to Waiting List they will see a message asking them to select either Add me to the selected Session Waiting List or Add me to the Course Waiting List.

If the Waiting List option is not enabled, learners will not be able to enroll in the course until they select a session with available places (for the single-session enrollment type) or more places become available in the course (for the all-sessions enrollment type).

 

Show Available Sessions

This option is only displayed for courses with the Enroll user into a single course session enrollment type which the learner is not enrolled in. By tapping Show Available Sessions, the learner will be redirected to the Sessions tab where a list of the course sessions with detailed information is displayed.

After the enrollment, learners will see the information only about the session they are enrolled in to.

Make Request for Session

If the Make Request for Session option is enabled for the course in question, learners can request new course sessions by selecting this action.

The learner will need to fill in a text field describing the request. The course admin(s) will be notified of new requests.

Set Attendance

If the option Allow learners to register their own Attendance via the LMS365 Mobile App is enabled for the the session in question, the Set Attendance option will be available for learners, allowing them to register their attendance at sessions.

Learners register their attendance from the course page. The process differs depending on the Enrollment Type of the course. Please find more details on self-registration by learners here.

Register Attendance

The Register Attendance option allows instructors to manually register learners attendance in course sessions via the LMS365 mobile app. 

The option will be found under Sessions. Here, the instructor will need to select the session in which to register attendance. Please find more information on attendance registration by the instructor here.

 

 

NOTE:

  • It's impossible to register attendance for sessions with a future start date.
  • If the instructor selects several learners (with or without attendance registered) the registered attendance will be applied to all of the selected learners and will replace their previous attendance with the new.

 

 

Generate QR code

If the option QR Code is required is enabled under Allow Learners to register their own Attendance via the LMS365 Mobile App is enabled, instructors can generate a QR code for learners to self-register their attendance in a session.

The option Generate QR code will be found under Sessions on the course home page.

When the QR code has been generated, it can either be printed, shared, or, for example, inserted in a slide deck for the audience to scan during the session. Accessing the learning content

The content of courses and training plans can be found and entered at the bottom of course and training plan pages.

  • For courses, a block called Learning Modules with all learning items of the course (that are not hidden) will be shown. From here, learners can enter the content to start the learning.
  • For training plans, a block called Courses will display all courses that are part of the training plan. From here, learners can enter the courses to start the learning.

 

Taking courses via the LMS365 mobile app

For courses, a block with training content will be shown at the bottom of the course page. This block will show all learning items of the course with all visible (not hidden) learning items in the order in which they are arranged by the admin.

Learners will see the title, description (if any provided), the learner's progress (Not Started, In Progress, Completed, or Failed), and an action button for each learning item of the course. The action button of the learning item will depend on the learner's progress with the learning item in question and the learning item settings:

  • Start - for learning items that have not been started by the learner. Selecting this option, the learner will start the training. 
  • Continue - for learning items that the learner is in progress with. Selecting this option, the learner will continue the training from their previous progress.
  • Review - for learning items that are completed by the learner or for which the learner has no more attempts left to complete. This option will allow the learner to review the content of the learning item.
  • Locked - for learning items that are locked until all preceding learning items in the course have been completed or for learning items of a course the learner is not yet enrolled in. This button does not allow the learner to take any action, but will change once the learning item has been unlocked.

 

NOTE: Hidden learning items will not be displayed in the Learning Modules block of course pages. If a hidden learning item is required in order to progress with or complete the course, learners will be unable to do this without help from the admin.

 

 

Some learning items in courses can be learning modules, whereas other learning items are separate items like, for example, a single quiz.

The difference between learning modules and separate learning items (quizzes and content packages) is that learning modules can contain one or more learning items. To get an overview of the learning items in a learning module, learners can tap the collapse/expand button on the course page or while within the learning content.

Each learning item in a learning module will be shown with a checkbox. If the learner has not yet started the learning item, the checkbox will be empty. If the learner is in progress with, have completed, or have failed a learning item, the checkbox will have has a mark that will be blue for learning items in progress, green for completed learning items, and red for failed learning items. A lock will be displayed next to learning items with set prerequisites.

Taking training plans via the LMS365 mobile app

For training plans, a block called Courses at the bottom of the page will display all courses of the training plan.

Learners will see the title, description, the learner's progress (Not Started, In Progress, Completed, or Failed), and an action button for each course of the course. The action button of the learning item will depend on the learner's progress with the course in question and the course settings:

  • Start - for courses that have not been started by the learner. Selecting this option, learners will enter the course from where they can start the training.
  • Continue - for courses that the learner is in progress with. Selecting this option, learners will enter the course from where they cab continue the training from their previous progress.
  • Review - for courses that are completed by the learner or for courses in which the learner has learning items with no more attempts left to complete. This option will allow the learner to review the content of the course.
  • Locked - for courses that are locked until all preceding courses in the training plan have been completed, or for courses in a training plan the learner is not yet enrolled in. This button does not allow the learner to take any action, but will change once the course has been unlocked.

When selecting an action button, a message will make the learner choose between either opening the course by selecting Open Course and, thereby, being redirected to the course page from where the learner can start to engage with the training of the course, or Cancel to close the message again and cancel the action.

Online vs. offline availability of training content

Learning via the LMS365 mobile app can be done in two modes - online and offline.

Online mode means that the internet connection and synchronization with the LMS365 server is enabled.

In offline mode, it's only possible to take training that have been downloaded in online mode. To quickly check your connection to the internet and server, go to the Settings tab at the bottom of the mobile app screen.

The content of courses will be fully available in online mode, but in offline mode there will be some differences and limitations:

  • Only downloaded courses will be available.
  • Only courses that have at least one SCORM content package or a quiz can be downloaded.
  • AICC content packages does not work in offline mode.
  • All learning modules of downloadable courses will be downloaded when the learner downloads the course, but only SCORM content packages and quizzes will be available for the learner to take.
  • The quiz questions type Matching will have a different view in offline mode. Here, learners will need to match items from the middle with items at the top and at the bottom.
