Attendance registration through the LMS365 mobile app

Introduction

Attendance in sessions can be registered through the LMS365 mobile app.

The LMS365 mobile app allows instructors to manually register learners' attendance on session-based training, or to let learners self-register their attendance on sessions.

This article describes the two approaches to attendance registration on sessions through the LMS365 mobile app - manual registration by the instructor or self-registration by the learner.

 

Registration by the instructor

 


NOTE
: Only users with a session instructor role can register learners' attendance on sessions in the LMS365 mobile app.

 

Manual registration

Instructors can manually register learners' attendance in a session through the LMS365 mobile app by following the steps below:

1) Sign in to the LMS365 mobile app.

2) In the relevant course catalog, select the relevant course.

3) On the course page, select the session in which the learners' attendance should be registered.

There are three entrances to find sessions of a course:

  • Under the Description tab, select Show Available Sessions.
  • Under the Information tab, select Show Available Sessions.
  • Under the Sessions tab, all the course sessions are listed.

4) After you select the checkbox of the relevant session, Register Attendance becomes available.

NOTE:
Attendance can't be registered for sessions with future start dates and time.

5) Select the checkbox(es) of the relevant learner(s) in the learner list and select Register Attendance. Or select the checkbox next to Name to register attendance of all listed learners.

In the opened Attendance registration options list, select the relevant value: Absent, Absent (Informed), 25%, 50%, 75%, 100%, or select Cancel to leave the panel.

IMPORTANT: The selected attendance value is applied to all chosen learners thus overwriting their previous attendance (if any).

6) When the registration of learners' attendance is completed, the registered attendance status will be displayed under the Attendance column for every learner that was selected. 

The set attendance can also be tracked in the LMS365 Admin Center.

Generate the QR code for attendance registration

Instructors can generate a QR code for specific sessions in the LMS365 mobile app. Learners will then be able to register their attendance at the session by scanning the QR code through the LMS365 mobile app.


NOTE:

 

 

To generate and share a QR code through the LMS365 mobile app, instructors must follow the steps below:

1) Sign in to the LMS365 mobile app.

2) In the course catalog, select the course and then the relevant session.

3) Tap Generate QR code.

NOTE:
Each session requires a separate QR code.

 

4) When the QR code is generated, it can be shared with learners through the share icon at the top-right corner of the screen.

The sharing options may differ depending on the mobile device and the available apps, but available options can be: send via email, share via social networks, save to a storage and share access, send as a message, download, share via Bluetooth, print, and share on an external monitor.

Self-registration by the learner

If the admin has enabled this, learners can register their own attendance through the LMS365 mobile app. 

 


NOTE:
Learners will not be able to register attendance for sessions with the following settings:

  • A future date and time.
  • Has exceeded the allowed period of time for registration set by the admin.
  • The learner's attendance has already been set.

 

Learners can register their attendance in a session through the LMS365 mobile app in several ways:

  • Through the Set Attendance button.
  • Through a QR code. 
  • By providing a signature. 

To set attendance, learner should be logged in to the LMS365 mobile app.

In the selected course, learners select a session to register their attendance.

There are more options to navigate to the course sessions list under the Sessions tab:

  • Under the Sessions tab, learners select a session to set attendance.
  • Under the Description tab, learners select Set Attendance > Select Course Session > tap OK and select the relevant session.
  • Under the Information tab, learners select Set Attendance Select Course Session > tap OK and select the session.

Register attendance through the Set Attendance button

To register their attendance through the Set Attendance button, learners, first, select the session:

a)  For a course with the all-sessions enrollment type, learners select the checkbox of the relevant session and tap Set Attendance.

b) For a single-session enrollment course, there will be only one session listed. Learners tap Set Attendance to register attendance.

In this way, learners registered attendance for the selected session. Attendance can now be tracked by the instructor and admin.

In courses of the all-sessions enrollment type, the checkbox will not be available any more for learners whose attendance has been already registered.

Register attendance through the QR code 

 


NOTE:

 

Depending on the way the QR code has been shared, learners can register their attendance in the following ways

  • By scanning the QR code with the camera of their device .
  • By detecting the QR code directly on the mobile device. 

 

Scanning QR codes with a device camera

When the QR code is provided, for example, on a presentation slide, learners can scan it directly from the screen by pointing the device camera to this QR code.

To register their attendance, learners will follow the steps below:

1) Logged in to the LMS365 mobile app, in the relevant course, select the relevant session and tap Set Attendance.  

2) A window opens with the instructions to Hold your device over the QR code and will inform that the QR code will be scanned automatically.

3) Point the device camera towards the QR code. The scanning is automatically conducted.

4) When the QR code scanning is completed, the attendance will automatically be registered for the selected session.

5) Wait until the sessions page is refreshed.

 


NOTE:
In courses of the all-sessions enrollment type, the checkbox will not be available any more for learners whose attendance has been already registered.

Detecting the QR code directly on the mobile device

The learner may receive the QR code via email, social networks, a shared link, or shared access to a storage.

In all these cases, learners can register their attendance through the LMS365 mobile app by detecting the QR code directly in their mobile device. QR code detecting depends on the capabilities of the learner's mobile device and the installed software for QR code reading.

Generally, the attendance registration process includes the following steps:

1) The learner opens the received QR code on their mobile device. The QR code file will be in PNG format.

The image below is an example of a mobile view of an Outlook email containing the QR code for session attendance registration.

2) The learner reads the QR code with a suitable app installed on their mobile device. Some apps may require to download the QR code before scanning it.

3) The learner taps the scanning result with the LMS365 web site link.

4) In the dialog window, the learner selects the option to open the link with the LMS365 mobile app.

5) In the LMS365 mobile app, the learner is directed to the course, where the session attendance should be automatically registered.

6) If attendance still appears as not registered, the learner must wait until the page is updated.  

In this way, learners registered attendance for the selected session. Attendance can now be tracked by the instructor and admin.

 

Register attendance with a signature 

If the Signature is required option is enabled by the admin under Allow Learners to register their own Attendance via the LMS365 Mobile App, learners will have to provide their signature to register attendance through the LMS365 mobile app.

To register attendance this way, learners will follow the steps below:

1) In the LMS365 mobile app, select the course.

2) Select the checkbox of the relevant session and tap Set Attendance.

3) Provide signature directly on the mobile device screen.

Clear will clear the screen and allow the user to correct the signature.

4) When the signature is ready, select the checkmark ✓ to complete the registration of attendance.

The user will be directed to the sessions list where the session attendance should be registered.

 


NOTE:
In courses of the all-sessions enrollment type, the checkbox will not be available any more for learners whose attendance has been already registered.

Learners' signatures can be tracked and printed out on the Attendance Sign-In Sheet by catalog admins, course admins, and session instructors from the LMS365 Admin Center.
