Overview of the LMS365 Mobile App Dashboard Tab

Introduction

The Dashboard tab in the LMS365 mobile app is the mobile version of My Training Dashboard.

This guide provides an overview of the Dashboard tab, describes the capabilities of each section in the tab, and goes through the available options in the tab for search and filtering.

 

Overview of the Dashboard tab

When users are logged in, the mobile app, per default, will open on the Dashboard tab and show the Training section.

As an LMS Admin, you can configure which sections will be available from the Dashboard tab in the LMS65 mobile app. To do this, go to the LMS365 Admin Center > Global SettingsMobile Configuration and select Dashboard Menu.

On the Dashboard tab, you will find a menu from where you can navigate to the sections made available by the LMS Admin. Possible sections in the Dashboard menu are: Overview, TrainingCertificates, Skills, Transcript, CEUs, and Leaderboard.

In the application’s header, tap the collapse/expand button to navigate between the sections of the menu.

Overview

The Overview section provides relevant information about current and upcoming training and is divided into two subsections:

  • My Team’s Training Status (available for line managers only) with an overview of the progress of the line manager's team as well as the progress of individual team members.
  • My Training Status with an overview of your progress.

 

My Team’s Training Status

My Team’s Training Status (available for line managers only) gives an overview of the progress of the line manager's team as well as the progress of individual team members. The My Team’s Training Status section is divided into Direct Reports Summary, Direct Reports’ Subordinates Summary, and List of Learners.

NOTE   

  • Direct reports are learners who are managed by a specific line manager.
  • Direct reports' subordinates are learners who are managed by a direct report of a specific line manager. In this case, the direct report is a line manager for these particular learners - subordinates.

 

 

Direct Reports Summary

Direct Reports Summary contains the following information:

  • Enrollment Requests from Direct Reports - Shows the number of enrollment requests from direct reports that are pending the line manager's approval.
  • Direct Reports – Shows the number of users who are managed by and report directly to the line manager in question.
  • Direct Reports with Overdue Training – Shows percent of the line manager's direct reports who are enrolled in but have not completed training with a passed due date.
  • Overdue Training enrolled, not Completed by Direct Reports – Shows percent of training with a past due date (including courses inside training plans) among all training the line manager's direct reports have not completed. Inactive training with a passed due date is not counted here.
  • Training Completed by Direct Reports – Shows percent of training (including courses inside training plans) completed by the line manager's direct reports. Completed inactive training will be counted here as well. Training that were retaken will not be counted here.

NOTE   

Each course inside a training plan is counted in this overview, but the training plan itself is not.

Direct Reports’ Subordinates Summary

In the Direct Reports’ Subordinates Summary, you'll see the following information:

  • Enrollment Requests from Direct Reports’ Subordinates – Shows the number of enrollment requests from direct reports’ subordinates that are pending the line manager's approval.
  • Direct Reports’ Subordinates – Shows the number of users who are managed by and report to the direct reports of the line manager in question.
  • Direct Reports’ Subordinates with Overdue Training – Shows percent of direct reports’ subordinates who are enrolled in but have not completed training with a passed due date.
  • Overdue Training enrolled, not Completed by Direct Reports’ Subordinates – Shows percent of training with a past due date (including courses inside training plans) among all training the subordinates of the line manager's direct reports have not completed. Inactive training with a passed due date is not counted here.
  • Training Completed by Direct Reports’ Subordinates – Shows percent of training (including courses inside training plans) completed by direct reports’ subordinates. Completed inactive training will be counted here as well. Training that were retaken will not be counted here.

NOTE   

Each course inside a training plan is counted in this overview, but the training plan itself is not.

List of Learners

List of Learners shows a list of people that report to the line manager. This list presents information about each learner, their subordinates, their training progress, and the number of overdue training.

Selecting a learner, you can view their progress and see the number of training they have completed, are in progress with, haven't started, and the number of training that is overdue. To close the learner progress view, tap any place outside of it on the screen.

You can expand learners to see the same information for their subordinates (if they have any).

My Training Status

The My Training Status section sums up the user's own progress and is divided into:

  • Total Training Enrolled - Shows the number of courses that the user has been enrolled in including completed inactive training (deleted or imported), courses that are part of a training plan the user is enrolled in and also courses that are pending approval, and courses that the user has been added to the waiting list for.
  • Training Completed - Shows the percentage and number of courses the user has completed, including each course inside a training plan. Completed inactive training will be counted here as well. Courses that have been retaken will not be counted here until these courses are completed by the user again.
  • Training Planned - Shows the number of courses the user is enrolled in, but has not completed, including courses in training plans the user is enrolled in, as well as courses that are pending approval, and courses the user has been added to the waiting list for.
  • Training Overdue - Shows the percentage of courses the user is enrolled in but has not completed before the due date (including courses inside training plans). Inactive training with a passed due date is not counted here.
  • Total CEUs Earned - Shows the total number of CEUs that the user has received for completing courses and training plans.
  • Active certificates - Shows the number of valid and expiring certificates the user has received from completing courses and training plans.

NOTE   

Each course inside a training plan is counted in this overview, but the training plan itself is not.

In the Training to Complete section, users can see the number of courses they have been successfully enrolled in but have not yet completed. Training plans themselves are not counted in this overview, only the courses within them. Also, inactive training and training that are pending approval or that the user is on the waiting list for is not counted here.

This Enrolled, not Completed Training section is divided into:

  • Overdue - Shows the number of courses and training plans that have not been completed by the user by the training due date. Inactive courses and training plans with overdue status are not counted here.
  • Due Date - Shows the number of courses and training plans with a set due date.
  • No Due Date - Shows the number of courses and training plans that do not have a set due date.
  • Mandatory - Shows the number of courses and training plans that are mandatory to complete. 
  • Optional - Shows the number of courses and training plans that are not mandatory to complete.

In the Planned Training section, users will see the total number of courses they are enrolled in but have not completed yet, as well as courses that are pending approval or that the user has been added to the waiting list for. Training plans themselves are not counted in this overview, only the courses within them. Inactive training is not counted in this view.

  • Pending - Shows the number of courses and training plans that are pending approval as well as courses that the user has been added to the waiting list for.
  • Not Started - Shows the number of courses and training plans that the user has been enrolled in but hasn't started yet.
  • In Progress - Shows the number of courses and training plans that the user has started but hasn't completed.
  • Waiting for Approval - Shows the number of courses and training plans where the user has a pending enrollment request.
  • In Waiting List - Shows the number of courses of the Instructor-Led Training course type that the user has been added to the waiting list for (courses of the e-Learning type, does not have a waiting list).

In the Certificates & Skills section, the user will see the total number of earned certificates and skills.

NOTE   

If you don't see a Skills section, this is because the license for skills is not activated by the Microsoft 365 Global Administrator. Please contact your Microsoft 365 Global Administrator to have this solved.

  • Acquired Certificates - Shows the total number of valid, expiring, and expired certificates. Certificates that the user has acquired after completing training plans are counted here as well. If there is more than one certificate for a training, only the last certificate will be counted. Planned certificates that will be granted when the user completes the training will not be counted here.
  • Acquired Skills- Shows the total number of valid and revoked skills that the user has earned. The skill level is not counted here. If a skill has at least one valid level, it will be counted as a valid skill. If all levels of a skill are revoked, this skill will be counted as revoked.

 

Training section

Training section overview

The Training section provides an overview of all courses and training plans the user is enrolled in, is on the waiting list for, and courses and training plans that the user is waiting for approval to be enrolled in. The view shows training across all course catalogs the user has access to.

The section is divided into three subsections - Planned, Completed, and All.

Planned – Displays courses and training plans that the user is enrolled in to, is on the waiting list for, and courses and training plans that the user is waiting for approval to be enrolled in but has not yet completed. This means these courses and training plans will have the training status Not Started, In Progress, Pending Approval, or Waiting List. 

Completed – Displays courses and training plans that the user has completed. This training counts published, unpublished, imported, and deleted training, as well as training from deleted course catalogs. Training in this display will be of the training status Completed.

All – Displays all courses and training plans from the whole tenant in which the user is a learner. Training of all training statuses will be displayed in this view.

The Training section displays training cards with information about the training type, the title of the training, the training plan the course is inside (if any), the due date of the training (if any is set), training progress, and a mark if the training is set as a required to complete.

NOTE   

By default, only active training will be displayed in the Training section. To display unpublished, deleted, or imported training, the user must enable the Include Inactive option in the filter at the top right corner of the screen.

On each training card, the user can view their progress of the training:

  • Completed - Means that the user has already completed the training.
  • Not Started - Means that the user has successfully enrolled in or has been enrolled in the training but has not started it yet.
  • In Progress - Means that the user has started but has not yet completed the training.
  • Pending Approval - Means that the training that the user has enrolled in to and is pending approval.
  • Waiting list - Means that the user has been added to the waiting list for the session or course. 

At the bottom of the screen, a bar will show a summary of the view enabling the user to see the number of training of different statuses.

Available actions

From each training card, the user can perform a selection of actions in accordance with the training type and settings:

  • Cancel their enrollment request for training.
  • View, retake, or unenroll from the course or training plan.
  • View the training plan the course is a part of.

  • See sessions details for courses of the Instructor-Led Training course type.

NOTE   

  • You can download courses to be able to view them offline if they have at least one content package (SCORM) or quiz.
  • If the training has been deleted, unpublished, or ended, it is impossible to access it. A message will notify that the training is no longer available, the training title will be grayed out, and no actions will be displayed on the training card.

Training search and filtering

The Training section includes the following search and filtering options:

  • Users can filter training by due date as well as by the name of the training by tapping the up and down arrows icon at the top right corner of the screen. Training can be sorted by name A-Z or Z-A and by the oldest or latest due date. By default, training of the oldest due date, and therefore the most urgent to complete, will be shown first.

  • To find specific training or to filter by the type, users can tap the filter icon at the top right corner of the screen. A panel with a search field and filters will open. Users can type in search terms to find training with these words in the title, and/or filter by training type(s), mandatory training, and downloaded training, and choose to include inactive training.

NOTE   

The selected search and filtering options affect which training that will be displayed in all subsections of the Training section - Planned, Completed, and All

For example, if the user types "LMS365" in the search field, the user will only see training that have this word in the title, both in the view for Planned, Completed, and All. 

When users have employed the search field or filtering option, they can reset either part or all of the search or filtering, that they have applied, by employing reset options.

To close the filter panel, the user can tap the filter icon or any place on the screen outside of the panel.

NOTE   

Filter settings will be applied until the user resets these or relog into the app.

 

Certificates

Certificates section overview

The Certificates section provides users an overview of their certificates and the status of these.

NOTE   

When retaking a training, a user will see two duplicate certificates with different statuses for one training. In this case, one of these certificates will be with a Valid/Expired/Expiring status and the other will be with a Planned one. A triangle with an exclamation mark on the training card for the Valid/Expired/Expiring certificate indicates that the training is being retaken. After the retake is completed, only one certificate will be valid and shown in the Certificates-  the Planned one will become Valid, the previous one with the Valid/Expired/Expiring status will remain in the Transcript.

At the bottom of the screen, a bar will show a summary of the view enabling the user to see the number of all certificates and their status.

 

Actions available

From each certificate card, the user can perform a selection of actions in accordance with the training type and settings:

  • View and download the certificate.
  • View or retake the training.
  • View session details for courses of the Instructor-Led Training course type.

To view available actions, tap the icons or the vertical ellipses menu on the certificate card.

To view the certificate (this option is not available for planned certificates), tap the second action icon on the card of the certificate. When the certificate is opened, you can download it from the LMS365 mobile app and either share or print the certificates directly from your mobile phone or tablet.

When selecting a certificate from the LMS365 mobile app, the PDF viewer installed on the learner's device will launch and open the certificate. The learner can then choose to store the certificate in the file system, share it via the share dialog, or print it. 

If there is no PDF viewer available on the learner's device, the LMS365 mobile app will offer to store the certificate in the Downloads folder of the device. 

 

Certificates search and filtering

The Certificates section includes the following search and filtering options:

  • Users can filter certificated by issued date as well as by the name of the training by tapping the icon with two arrows at the top right corner of the screen. Certificates can be sorted by name A-Z or Z-A and by the newest to oldest (arrow down) or oldest to newest (arrow up) issued date. By default, name A-Z is selected.
  • To find a specific certificate or to filter by the status of the certificate, users can tap the filter icon at the top right corner of the screen. A panel with a search field and filters will open. Users can type in search terms to find certificated with these words in the title, and/or filter by certificate status(es).

For example, if the user types "business" in the search field, the user will only see certificates that have this word in their title and, in the bar at the bottom of the screen, only these certificates will be counted in.

Skills

Skills section overview

The Skills section displays valid, revoked, and planned skills.

On the skill card, you can see the title of the skill, its status, the training that the user completed to achieve the skill or the user who granted the skill, the date when the skill was achieved, and when it will be revoked (if revocation date is enabled for this skill).

The skill status can be:

  • Valid - Means that the skill has been achieved.
  • Revoked – Means the skill has been revoked.
  • Planned – Means the skill will be achieved when the training is completed.

NOTE   

Granted by shows either the name of the person who has manually granted the skill via the LMS365 Admin Center > Users > Grant Skill to the user in question or the title of the training the skill is granted for.

At the bottom of the screen, a bar will show a summary of the view enabling the user to see the number of all skills and their status.

 

Actions available

From each skill card, the user can perform a selection of actions, depending on the type and settings of the training:

  • View or retake the training.
  • View session details for courses of the Instructor-Led Training course type.
  • Unenroll from the training.

To view available actions, tap the icons or the vertical ellipses menu next to the skill.

Skills search and filtering

The Skills section includes the following search and filtering options:

  • Users can filter certificated by achievement date as well as by the name of the skill by tapping the icon with two arrows at the top right corner of the screen. Skills can be sorted by name A-Z or Z-A and by the newest to oldest (arrow down) or oldest to newest (arrow up) achievement date. By default newest to oldest achievement date is selected.
  • To find a specific skill or to filter by the status of the skill, users can tap the filter icon at the top right corner of the screen. A panel with a search field and filters will open. Users can type in search terms to find skills with these words in the title, skill's level, in the title of the training the skill was granted for, or in the name of the person who has granted the skill. Filtering by skill status(es) is available here as well.

NOTE   

 

  • The applied search and filtering affects the view of the skills and, therefore, the number of skills shown in the bar at the bottom of the screen.

 

For example, if the user types "LMS" in the search field, the user will only see skills that have this word in the skill's title or level or in the title of the training the skill was granted for or the name of the person who has granted the skill. In the bar at the bottom of the screen, only these skills with the word(s) from the Search field will be counted in.

  • Filter settings will be applied until the user resets these or relog into the app.

 

To close the filter panel, the user can tap the filter icon or any place on the screen outside of the panel.

 

When users have employed the search field or filtering option, they can reset either part or all of the search or filtering, that they have applied, by employing reset options.

 

Transcript

In the Transcript section, users will see an overview of all training they are enrolled in, all planned, valid, expiring, and expired certificates, and all planned, valid, and revoked skills. The Transcript section includes no filtering and search options.

The Transcript section includes three subsections: Training, Certificates, and Skills.

Users will not see the training, certificates, and skills associated with training if:

  1. They have been added to the waiting list.
  2. They have sent the enrollment request, but it has not yet been approved.
  3. They have enrolled in the training, but the training was cancelled.
  4. They have enrolled in the training, but have not yet started the training, and the training has become unpublished.

Under Training, users can see all they are enrolled into with a title, status (Not Started, In Progress, or Completed), the completion date for completed training, and CEUs. The user can scroll horizontally to see all columns of this view.

Training from deleted course catalogs will be displayed in this list as well.

Tap on a specific training to go to its description and content.

NOTE   

If the Voluntary Retake option is enabled and the user is retaking the training, the status of this training will be Not Started or In Progress (depending on the user's progress), but the learner's previous completion will still be registered in the learner's training record.

When training is no longer available for the user (the training is cancelled, unpublished, deleted, or imported), the title of the training will be grayed out. If users tap the title, they will be notified that the training is not available.

 

Under Certificates, users can see all their certificates listed with title, validity status (Valid, Expiring, Expired, or Planned), the issued date (except for planned certificates), and expiry date (if the certificate expiry date is set).

The user can scroll horizontally to see all columns and tap a certificate to open the training description and content.

NOTE   

When training is no longer available for the user (the training is cancelled, unpublished, deleted, or imported), the title of the training will be grayed out. The user can no longer access the training by tapping the certificate.

Under Skills, users can see all their skills listed with title, validity status (Revoked, Valid, or Planned), achievement date (except for planned skills), and revocation date (if the skill revocation date is set). The user can scroll horizontally to see all columns.

CEUs

CEUs section overview

In the CEUs section, users can get an overview of their CEUs.

The section displays training cards on training that offers CEUs on which users can see the training title, type of training, amount of CEUs granted, and the user's status with these (Earned or Planned).

NOTE   

  • The number of CEUs that the user has earned for completing a training will not be updated if the number of CEUs earned for the training is changed after the learner completed the training.

 

For example, when a user completes a training, the number of CEUs earned for the training is 12. Sometime later the course admin changes the number of CEUs earned for the training to be 20. The user's CEUs earned for this training will not be updated and stay 12 until the user retakes the training.

 

  • After the user retakes the training, the number of CEUs that the user earns for completing the training will be updated. The change to the number of CEUs is displayed on the training card:

 

  1. If the number of CEUs earned for completing the training is not changed - the user will see +0* on the training card with Planned CEUs. CEUs will be updated after the retake is completed.
  2. If the number of CEUs earned for completing the training is increased by the admin - the user will see +(difference between the CEUs already earned and the new value set)* on the training card with Planned CEUs. CEUs will be updated after the retake is completed.

  3. If the number of CEUs earned for completing the training is decreased by the admin - the user will see -(difference between the CEUs already earned and the new value set)* on the training card with Planned CEUs. CEUs will be updated after the retake is completed.

At the bottom of the screen, a bar will show a summary of the view enabling the user to see the number of all CEUs and their status.

Leaderboard

The Leaderboard section displays the ranking of learners in a tenant based on the total number of earned CEUs, training completed, and certificates got. The user will view learners from the whole tenant.

The Leaderboard section has three subsections: Training, Certificates, and CEUs. By default, the Leaderboard section will open on the CEUs.

Filtering options at the top right corner allow the user to select the period of when the Leaderboard should count data: Weekly, Monthly, Yearly, or All Time (set by default).

Progress and achievements of the selected period will be displayed in all tabs of the Leaderboard subsections.

A maximum of 10 learners are shown on the Leaderboard at a time. Users can see their own score at the bottom of the list, even if they are not in the top 10.

If the user has not completed training or earned CEUs or certificates, the user will still be able to see themselves in the list, but they will see 0 points next to their name.

NOTE   

  • If learners have the same number of CEUs, the learner who has first earned the most CEUs will be on top.
  • If a certificate has expired or has been deleted, it will not be counted in and displayed in the Certificate subsection.
