Adding SCORM/AICC, courses, and course completion records to LMS365 via the LMS365 Import Tool

Introduction

LMS365 allows customers to mass download and integrate SCORM and AICC content, external courses, course completion records into the LMS365 platform via the LMS365 Import Tool.

This is helpful if you need to migrate content from a legacy LMS into LMS365 or if you have a lot of self-created/third-party content from another content provider.

The intent of this guide is to provide explanation and guidance of what is required and recommended for a successful import of content packages, courses, and course completion records into LMS365.

 


IMPORTANT:
The actual data processing must be performed, operated, and managed by an LMS365 consultant or a certified LMS365 partner.

 

LMS365 import capabilities

There are three main items that can be mass imported into LMS365:

  • SCORM/AICC content packages
  • Courses
  • Course Completion records

Imported SCORM/AICC content packages allow LMS365 catalog and course administrators to:

  • Preview SCORM/AICC content packages from the LMS365 Admin Center.
  • Connect content packages to LMS365 courses.
  • Report and track all SCORM/AICC attempts and report information.

Imported SCORM/AICC content packages allow learners to attempt and complete SCORM/AICC content packages within LMS365 courses.

 

Imported courses allow:

  • LMS365 catalog and course administrators to edit and manage course content, and access with LMS365 course catalog.
  • LMS365 catalog and course administrators to enroll groups and learners into imported courses.
  • Import of completion records into new courses that will enroll and complete learners.
  • Learners to access and complete imported LMS365 courses.

Mass import of training records allows:

  • Learners to see all training completed inside and outside of LMS365 on the dashboard and transcript.
  • Managers to have insight on learning progress of employees inside and outside of LMS365.
  • LMS Administrators to report and track all training completed inside and outside LMS365.

SCORM/AICC content packages import

SCORM and AICC content can be mass imported to the LMS365 Content Package Storage from where it can be used in current and future courses. 

To start with import process, customers must provide the SCORM/AICC files in the .zip file format and the SCORM/AICC Import file. 

The SCORM/AICC files are the files, containing all the information to be imported and packaged into a ZIP archive.

The SCORM/AICC Import file is an xlsx file that is completed by the customer with required SCORM completion information such as: title, description, content type, ZIP path, number of attempts and other general advanced SCORM settings.

Courses import

LMS365 supports mass import and creation of courses. The course import process creates a new LMS365 course within your LMS365 course list and defines all the configuration parameters of the course including, if it needs, to be associated with a SCORM/AICC file and/or already created LMS365 Quiz or Quiz that is being imported. LMS365 allows import of courses with learning modules as well.

 


NOTE:
Due to SharePoint limits it is not recommended to download more than 2,000 courses per course catalog. Otherwise performance may be impacted.

 

To proceed, the customer must provide the course import file. 

The Course Import File is an xlsx file that is completed by the customer with required course information such as: course title, short description, enrollment flow, course publishing, shown in catalog, course teachers, course type, category, course URL, certificate template, and the association of SCORM content to be included in created course.

The following requirements should be followed during course import file preparation:

  • Prepare for course import by creating multiple import files if more than 100 courses to be imported.
  • Teacher(s) assigned to imported course must be entered as an email address (for example, t.vilkers@lms365.com) and cannot be a group name.
  • Multiple teachers should be separated by a semi-colon (for example, t.vilkers@lms365.com; e.prinstel@lms365.com).
  • Course URL must be a unique URL and cannot be an existing URL address.
  • Course URL cannot contain invalid characters. The invalid characters are: " # % & * : < > ? \ / { | } ~ [ ] ` ' ^ and space.
  • If course image is required for imported course, client must provide the physical image file (png, jpeg, etc.), not an image URL.
  • Image Path information should include the course image file name and the location information (for example, Courses\image.png - it is the location that will be created by LMS365 consultant during import process).
  • Category can be an existing category in LMS365 or a new one.
  • Multiple categories should be separated by a semi-colon (for example, required training; HR; Onboarding).
  • SCORM to be included in course import should match the SCORM title in SCORM.xlsx import file.
  • SCORM to be included in course completion should match the SCORM title in SCORM.xlsx import file.
  • Multiple SCORM packages should be separated by a semi-colon (for example, SCORM1; SCORM2; SCORM3).

Possible solution to avoid manual input

To avoid manual input into xlsx files when preparing import files, you can investigate the download capabilities of the legacy LMS.

If there is an ability to export a list of courses or download full course packages along with description files, this can be used as a source for the import files.

If applicable (as in the case for LinkedIn Learning courses), you need to map the fields from the LiL description file with the SCORM.xlsx and Courses.xlsx files. Also, you need to install an SSO LiL application for this to work.

Once the two description files are populated and the SCORM/AICC content is downloaded, you can proceed with running the LMS365 Import Tool.

Course completion records import

LMS365 platform supports mass import of course completion records. To start with import process, customers must provide the Certificate Import file

The Certificate Import file is an xlsx file that is completed by the customer with required course completion records information.

 After the Certificate Import file has been formatted correctly, it must to be forwarded to EFI for review and import.

Options on certificate import:

  • The existing certificates of the completed external training (formats supported: .jpg, .png, .jpeg, .gif, .pdf) will be imported.
  • A new certificate will be generated in LMS365 by specifying an existing LMS365 certificate template.

The following requirements should be followed during the certificate import file preparation:

  • Certificates will be imported into customer's LMS365 catalog. The course catalog URL must be provided by customer.
  • Email notifications should be disabled before import so that users do not receive enrollment and course completion emails.
  • Users identified in the certificate import file must be active users in Office365. If the user accounts are disabled, the certificates will not be imported.


IMPORTANT:
Only one column out of two must be filled in: Image (Certificate) Path or Certificate Template.
