Overview of My Training Dashboard and its capabilities

Introduction

My Training Dashboard is the user's personalized training dashboard that provides each user with a personalized overview of training they are enrolled in, their training progress, status, and transcripts.

The dashboard also gives line managers insights into their teams training progress. Therefore, the dashboard includes additional sections that only users with the line manager role can see.

My Training Dashboard has a left navigation that allows users to view different aspects of their training status. Below, we will go through the menu points of this navigation one by one.

In this article, we will provide an overview of the functionality of My Training Dashboard and go through how users can employ the dashboard to get a personalized overview of their training status.

Overview

With five sections for the line manager, and four sections for other users, the Overview section provides an overview of the training status of the team (only for the line manager) and of the user's own training status.

This section can be hidden from the navigation by the admin.

My Team’s Training Status

 

NOTE   

This section is only available for line managers in Overview

My Team's Training Status gives an overview of the training status of the line manager's team as well as insights into individual team members’ progress.

My Team’s Training Status is divided into Direct Reports Summary, Direct Reports’ Subordinates Summary, and List of Learners.

If you select the arrow icon next to My Team’s Training Status, you will be directed to the LMS365 Line Manager Dashboard in the LMS365 Admin Center.

Direct Reports Summary

This section contains the following information:

  • Enrollment Requests from Direct Reports - Shows the number of enrollment requests from Direct Reports that are pending the line manager approval and those that are added to the waiting list.
  • Direct Reports - Shows the number of users who are managed by and report directly to the line manager.
  • Direct Reports with Overdue Training - Shows percent of Direct Reports who are enrolled in but not completed the Overdue Training.
  • Overdue Training enrolled, not Completed by Direct Reports - Shows percent of overdue training (including courses inside training plans) among all uncompleted training. The inactive training that have the overdue status are not counted here.
  • Training Completed by Direct Reports - Shows percent of training (including courses inside training plans) completed by Direct Reports. The completed inactive training will be counted here as well. The training that were retaken will not be counted here.

NOTE   

Each course inside the training plan is counted, but the training plan itself is not counted in.

 

Direct Reports’ Subordinates Summary

In this section, you can find the following information:

  • Enrollment Requests from Direct Reports’ Subordinates - Shows the number of enrollment requests from Direct Reports’ Subordinates that are pending the line manager approval and those that are added to the waiting list.
  • Direct Reports’ Subordinates - Shows the number of users who are managed by and report to the Direct Reports.
  • Direct Reports’ Subordinates with Overdue Training - Shows percent of Direct Reports’ Subordinates who are enrolled in but not completed the Overdue Training.
  • Overdue Training enrolled, not Completed by Direct Reports’ Subordinates - Shows percent of overdue training (including courses inside training plans) among all uncompleted training. The inactive training that have the overdue status are not counted here.
  • Training Completed by Direct Reports’ Subordinates - Shows percent of training (including courses inside training plans) completed by Direct Reports’ Subordinates. The completed inactive training will be counted here as well. The training that were retaken will not be counted here.

List of Learners

The List of Learners section contains information about the learners in your team, their subordinates, training progress overview, and the number of overdue training.

If the learner has subordinates, you can select the expand icon to see the detailed information on their subordinates.

My Training Status

This section sums up your own progress, while more detailed information for training activity is available in the charts.

NOTE   

Each course inside the training plan is counted, but the training plan itself is not counted in.

My Training Status contains the following information:

  • Total Training Enrolled - Shows the number of training that you have been enrolled in including completed inactive training (deleted or imported), those that are pending approval, and those that you have been added to the waiting list, and each course inside the training plan.
  • Training Completed - Shows the number of training that you have already completed including each course inside the training plan. The completed inactive training will be counted here as well. The training that were retaken will not be counted here.
  • Training Planned - Shows the number of training including each course from the training plan that you have any progress (Not Started or In Progress) in as well as those that are pending the approval and those that you have been added to the Waiting List.
  • Training Overdue - Shows the number of training including each course inside the training plan that have not been completed up to the Due Date. The inactive training that have the overdue status are not counted here.
  • Total CEUs Earned - Shows the total number of CEUs that you have received for the completed training both courses and training plans.
  • Active certificates - Shows the number of valid and expiring certificates from both course and training plans.

 

Training to Complete

In the Training to Complete section, you can find the number of the trainings that you have started, but not completed yet. The training plans itself as well as inactive training and those that are pending or waiting list are not counted here.

The charts contain the following information on training:

  • Overdue - Shows the number of training that have not been completed up to the Due Date. The inactive training that have the overdue status are not counted here.
  • Due Date - Shows the number of training and each from the training plan that have the due date.
  • No Due Date - Shows the number of training without due date.
  • Mandatory - Shows the number of training that are mandatory to complete. Training plans are not counted here.
  • Optional - Shows the number of training that are not mandatory to complete.

 

Planned Training

In the Planned Training section, you can find the total number of training that you are enrolled in but have not completed yet as well as those that are pending the approval and those that you have been added to the Waiting List. The training plans and inactive training are not counted here.

  • Pending - Shows the number of training that are pending approval as well as training that you have been added to the Waiting List.
  • Not Started - Shows the number of training that have been enrolled in but not started yet.
  • In Progress - Shows the number of training that have been started but not completed yet.
  • Waiting for Approval - Shows the number of training that you have been enrolled in, but the enrollment request is pending approval.
  • In Waiting List - Shows the number of the Instructor-Led training that you have been added to the Waiting list.

 

Certificates & Skills

NOTE   

If you do not have the Skills section, it means that the license for skills is not activated by the Microsoft 365 global administrator.

In the Certificates & Skills section, you can find the total number of certificates and skills you have acquired and their statuses.

The Acquired Certificates section shows the total number of valid, expiring, and expired certificates acquired upon completion of courses and training plans. If you have aqured more than one certificate for a training, only the last certificate will be counted. Planned certificates are not counted here.

The Acquired Skills section shows the total number of valid and revoked skills that you have aquired. The skills are counted here, but not the skill level. If your skills have at least one valid level, it will be counted as a Valid competency. If all levels of your skill are revoked, they will be counted as Revoked.

 

Training

In the Training section, you will find an overview of all training you are enrolled in across all course catalogs in the tenant. For your convenience, you can use Card View or List View.

Search and filtering options

In the Training section, different filters are available to search for relevant training.

The following filters are available to search for the relevant training:

 

1) To filter training by Status, from the Card View and List View, select relevant actions.

From the Card View, select the arrow up and down icon and select from Planned, Completed, or All from the drop-down menu to filter training.

  • Planned – Displays courses and training plans that you have any progress as Not Started or In Progress. As well as those that are Pending Approval and those that you have been added to the Waiting List.
  • Completed – Displays courses and training plans that you have already completed. It could be either published or unpublished as well as imported, deleted training and training, from the deleted course catalog.
  • All – Displays all courses and training plans from the whole tenant in which a user is a learner regardless their statuses.

From the List View, select the name of the Status column to filter trainings.

 

You can view the following completion statuses on the training cards from the Cards View and List View according to the progress:

  • Completed – It means that you have already completed the training. The completion date is stated above Completed on the training card in the Card View, or in the Status column in the List View.

  • Not Started – It means that you have enrolled or been enrolled in but have not started the training yet.
  • In Progress – It means that you have started but have not completed the training yet.
  • Pending Approval – It means that your enrollment in the training is pending approval.
  • Waiting List – It means that you have been added to the waiting list for a session or course itself in the Instructor-Led training. Once the vacant seat appears, you will be enrolled automatically.

2) To filter training by the training type, click Select Filter.

From the Training Type filter, select from e-Learning, Instructor-Led, and Training Plan. This filter is applicable for both the Card and List View.

From Other Filters, select either Mandatory Only or Hide Inactive. The Hide Inactive option is checked by default.

From the List View, select the Mandatory column to filter trainings.

 

NOTE   

When the Hide Inactive option is selected, the training that are unpublished, deleted, or imported will not be displayed on the dashboard. If you want to view all training including inactive, unselect the Hide Inactive option. 

The course is marked as Mandatory if it was set as required while creating or editing.

The training plan is marked as Mandatory if it was set as required while creating or editing or if at least one of its courses is set as required.

3) To filter training by the Due Date, select the Due Date filter.

From the drop-down list, select Due Date with the arrow up to get the training that is due the soonest (or which due date is passed) to be dispalyed first in the list, or Due Date with the arrow down to get the training that is due the latest to be displayed first in the list.

The training due date is stated on the training card in the Card View or in the Due Date column in the List View.

4) To filter Completed and All training by their completion date, from the Completion Date drop-down list, select Completion Date arrow up to filter training with the latest completion date first or Completion Date arrow down to filter training with the closest completion date first.

5) To search for a relevant training across the whole dashboard, use the search field.

Actions available for training from the training card

Depending on the training, you will find the following actions on the training card:

  • View Course/Training Plan.
  • Play Course.
  • List of Courses included into the training plan.
  • Sessions Details.
  • Retake Course/Training Plan.
  • Cancel Request if you have been added to the Waiting List or your enrollment request is pending approval.
  • Unenroll.

 

View Course/Training Plan

Select the View Course/Training Plan action to navigate to the training home page.

To view the training, follow one of the options:

  • Select the title of the training.
  • Select the arrow icon.
  • From the vertical ellipsis menu, select View Course/Training Plan.

The View Course or View Training Plan actions will not be available on:

  • Trainings that are unpublished, but have the Not Started, In Progress, Completed statuses.
  • Imported courses.
  • Completed courses that were deleted.
  • Completed courses from the deleted course catalog.

Play Course

To play course that includes learning items, select the course image or select Play Course from the elipsis menu. You will be redirected to the LMS365 Player.

NOTE   

You can play only the active training that are In Progress, Completed, or Not Started.

List of Courses

To see the list of courses included in a training plan, select List of Courses on the training plan card.

NOTE   

If the prerequisites are set for some courses from the training plan, you will be required to enroll in the course or complete firstly all preceding courses before you will be able to access the locked ones.

Sessions Details

To view the sessions details of the Instructor-Led training, select either the information icon or the Sessions details link from the ellipses menu.

On the opened right-side panel, you will see the dates of the upcomming sessions, contacts – the sessions instructors who you can reach to, the location, or meeting URL for the sessions.

NOTE   

In Contacts you will see either instructors or course administrators if there is any instructor assigned to this session.

 

Retake Course/Training Plan

To retake training, if the certificate has expired or is about to expire, or if the LMS365 Administrator enables the Voluntary Retake option, select the retake icon or Retake Course/Training Plan from the ellipses menu.

When you select Retake for the training plan, the progress of both the training plan and all courses within this training plan will be reset. You will be able to complete them again.

NOTE   

Once the course catalog was deleted:

  • The completed courses from this catalog will be displayed on the dashboard but the title will be disabled and the View Course, Retake, Unenroll buttons will be hidden.
  • The training that was not started or in progress will not be displayed on dashboard any longer.

 

Cancel Request

To cancel your training request, select Cancel Request from the ellipses menu.

In the Cancellation Message form, enter the cancellation message.

Unenroll

To unenroll from the training, from the ellipses menu, select Unenroll.

In the Cancellation Message form, enter the cancellation message.

NOTE   

Learners can't unenroll from the training if:

  • They were enrolled in a course via an Active Directory group.
  • The option Unable to Unenroll is enabled for the training.
  • They have already completed the training.
  • If the course catalog was deleted, learner will see the deleted course, but 
  • the title will be disabled and the View Course, Retake, Unenroll buttons will be hidden.

 

Once the course catalog was deleted:

  • The completed courses from this catalog will be displayed on the dashboard but the title will be disabled and the View Course, Retake, Unenroll buttons will be hidden.
  • The training that was not started or in progress will not be displayed on dashboard any longer.

 

Certificates & Skills

The Certificates & Skills area provides users an overview of their certificates and skills and the status of these.

To quickly find the certificates or skills of the relevant status, from the Select Status filter, select the relevant status.

 

NOTE   

 

Certificates

The Certificates tab is divided into the following sections:

Training Name – displays the title of the course or training plan.

Status – displays certificate status. It can be: Valid, Expiring, Expired, or Planned.

NOTE   

Expiring status depends on the Certificate Expiry Reminder settings that is set in the Notifications section. By default, 60/30/14/7 days before certificate expires are set. For example, 60 days before certificate expiration its status will be changed to the Expiring and a notification about that will be sent to a user.

Issued Date – displays the date when the certificate was issued.

Expiry Date – displays certificate expiry date.

Selecting the horizontal ellipses menu, will open the list of actions availabe for the selected certificate:

  • Download Certificate.
  • View Course/Training Plan.
  • Retake Course/Training Plan.
  • Sessions Details.

For a course/training plan that is under retake you will see a duplicate with a Planned status.

NOTE   

You can download the certificates from the deleted completed courses or training plans. But the titles of these trainings are not clickable, so it's impossible to access them.

 

Skills

The Skills tab contains information in the following columns:

Skills – displays the title of the skill and its level.

Granted by – displays information:

  • The training this skill is related to. If the training link is blue, you can click it and will be redirected to the training home page. If the training link is is grey - it is disabled, because the training is deleted, ended, or unpublished. 
  • The name of the person who has manually granted the skill from the Users page or Line Manager Dashboard without you being assigned to a specific training. You can contact this person via email by clicking their name.

Status – displays the status of the skill: Valid, Revoked, or Planned.

  • Valid - the skill is valid. If you see the exclamatory sign near the valid skill, it means that the training is being retaken. The valid status of the skill is your previous achievement. The skill with the planned status will be listed below as well.

  • Revoked – the skill has been revoked.
  • Planned – the skill is planned to be granted upon your training completion.

 

Achievement Date – displays the date when the skill has been granted.

Revocation Date – displays the date when the skill will be revoked.

 

Additional information and action links on the training are available on the right column:

  • By clicking the ellipses menu, you may see the action links: view course or training plan, session details, unenroll, retake training.
  • By selecting the retake icon retake.png, you may retake the training.
  • By selecting the info icon info.png, you will open the course sessions panel.
  • By selecting the arrow icon arrow.png, you will be redirected to the training home page.

Transcript

In the Transcript section, users will see an overview of all training they are enrolled in, all planned, valid, expiring, and expired certificates, and all planned, valid, and revoked skills.

From the Select Filter drop-down list, select the item to get the transcript of: Training, Certificates, Skills.

NOTE   

This section can be hidden from the navigation by the admin.

 

Filtered by Training

If filtered by Training, you will find all the training that you are enrolled in (with Not Started, In Progress, and Completed statuses).

You will see a duplicate of a course/training plan that is being retaken. Its status can be Not Started or In Progress.

NOTE   

  • If you filter by Training, you will find all completed training that were cancelled, unpublished, deleted, and imported sorted alphabetically by name. The training from the deleted course catalog will be displayed in this list as well. If the training has been unpublished, deleted or imported, its title will not be clickable, and it is impossible to access it.
  • You will not see the training, certificates and competencies associated with the training once:
    1. You have been added to the waiting list.
    2. Your enrollment request has not been approved yet.
    3. You have been unenrolled from the training.
    4. The training you are enrolled in but not started is unpublished.

 

In the CEUs column,  you can track the earned CEUs that have been received after training completion, planned* that will be received after the training completion and total CEUs are displayed under the Training section.

 

Filtered by Certificates

Under Certificates, all learner’s certificates with their validity status (planned that is assigned for the learner and will be granted once they complete the training, valid, expired and expiring), issued and expiry dates are shown. By default, certificates are sorted by issued date.

If you have more than one certificate for the course or training plan, all certificates will be shown in this section.

 

Filtered by Skills

When you filter the transcript according to the Skills, you will get the result including all the information on the learners' skills.

 Select the Export to PDF button to download the whole transcript, including skills, certificates, and the trainings the learner is enrolled in.

The transcript supports multiple languages characters.

The downloaded report contains the detailed information on Training, Certificates, Skills.

Training section:

  • Training Name – shows the title of training plans and courses.
  • Status – shows learner’s completion status. It can be Not Started, In Progress or Completed.
  • Completion Date – shows the date of training completion.
  • CEUs - shows number of Continuing Education Units assigned to learner for course/training plan completion.

Certificates section:

  • Training Name – shows the title of training plans or courses.
  • Status – shows certificate status. It can be Valid, Expiring, or Expired.
  • Issued date - shows certificate issued date.
  • Expiry Date - shows certificate expiry date.

Skills section:

  • Skills – shows the title of the skill with its level.
  • Granted by – shows the title of the training by completion of which user has been granted this skill or the name of the person who has manually granted the skikll from the User section.
  • Status – shows the skill status. It can be Valid, Revoked, Planned.
  • Achievement Date – shows the date on which the skill has been granted.
  • Revocation Date – shows the date on which the skill will be revoked.

CEUs

In the CEUs section, users can get an overview of their CEUs.

This section can be hidden from the navigation by the admin.

 

To quickly find the needed information, choose the status (all, earned - CEUs that were already received after training completion or planned – CEUs that will be received after the training completion) or date range when the training was completed.

NOTE   

You will not see the training that do not have CEUs in this list.

The CEUs section is divided into:

Training Name – displays the title of the course or training plan.

Status – displays the status. It can be earned CEUs that were already received after training completion, planned that will be received after training completion. You can see an overview of earned, *planned and total CEUs under the CEUs section.

Completion Date – displays the date when you completed the Training.

CEUs – displays number of CEUs earned.

NOTE   

  • To see the CEUs per each course inside the training plan, click Expand.

Actions available from the CEUs tab

According to the training, you can view, retake or unenroll from the training as well as see session details.

How training retake affects your CEUs

When you retake a course or a training plan you will see its duplicate with a Planned status and an explanation tooltip notifying that the training is being retaken and this is your previous achievement with the Earned status.

In case, the number of CEUs for the course/training plan is changed you will see the difference in the duplicate course/training plan CEUs field with a tooltip notifying that the training is being retaken and in the CEUs column you can see the difference between the previous value and the new one (which will be granted on the training completion).

After the retake completion the number of CEUs earned will be updated and the duplicate will be deleted.

The CEUs from the completed deleted training are displayed in CEUs tab as well, but it is impossible to access the training as their titles are not clickable.

 

Leaderboard

The Leaderboard section displays the ranking based on the total number of earned CEUs Earners, Training Completed, and Certificates Acquired.

The learners from the whole tenant are listed here.

In the All Time drop-down menu, you can select the required time to sort the learners.

All Time - displays top learners based on their achievements for all the time.

This Week - displays top learners based on their achievements for the current week.

This Month - displays top learners based on their achievements for the current month.

This Year - displays top learners based on their achievements for the current year.

Dates are set according to the regional settings of the current site.

Maximum 10 learners are shown on the Leaderboard at a time.

NOTE   

If several learners have the same number of CEUs/Trainings/Certificates, the learner who has first completed the training or received the certificate or CEUs will be on top.

The learner can track their personal results below the tables, if their result in sot included in the ten highest ranked or equal to zero.

NOTE   

  • This section can be hidden from the navigation by the admin.
  • If you have different pictures in Office 365 and SharePoint profile, you will see a picture from Office 365 profile on Leaderboard.
  • External users can see profile pictures of other external users of the same domain and SharePoint profile pictures. Internal users will see pictures from SharePoint profiles and Office 365 (provided they have a configured Office 365 profile).
  • If the certificate has already expired or has been deleted, it will not be counted and displayed in the certificate acquired section.
  • In case, the number of CEUs for the course/training plan is changed the number of CEUs earned will be updated after the course/training plan retake.

 

Personal Preferences

In the Personal Preferences section, users can enable or disable LMS365 notifications in Microsoft Teams. When this option is enabled, users will receive the same notifications, they receive per email, in Microsoft Teams as well.

This option is disabled by default.

Settings

The Settings section is visible on My Training Dashboard for LMS administrators only. From this section, LMS administrators can control the left navigation of the dashboard, globally for all learners, to decide which information learners will have available from the dashboard.
