LMS365 notifications: overview and management

Introduction

LMS365 includes a range of notifications that are automatically sent to users by email, Microsoft Teams notifications (individually enabled by the user), and push notifications in the mobile app.

The notifications cover training and compliance flows such as confirming enrollment or unenrollment, reminding learners of an expired certificate, prompting learners to sign up for a session in a course, sending calendar invitations, etc. The course catalog admin can customize these notifications and control which of them should be sent.

This guide provides an overview of the LMS365 notifications and how they can be managed: where to manage notifications, how to enable LMS365 to send email notifications, overview of the Notifications page, notification types and templates, how to enable/disable templates, and how to edit and reset notification templates.

Where to start

Required role: Course catalog admin.

Notifications for each course catalog are managed by its course catalog admins in the LMS365 Admin Center > Catalog Settings > Notifications.

Notifications that are sent to admins to alert them about an expiring LMS365 license and exceeding the number of users are managed on the License Information page by the LMS admin, Microsoft 365 global admin, or SharePoint admin.

Enable LMS365 to send notifications

Required role: Course catalog admin.

To enable LMS365 notifications for a course catalog, you need to configure the Microsoft 365 Connection Settings of the course catalog in question. Find more information in the Enable LMS365 to send email notifications, book rooms, and create Microsoft Teams meetings article.

Notifications page overview

Required role: Course catalog admin.

The Notifications page in the LMS365 Admin Center provides a list of all the available notification templates, together with a range of filtering and sorting options.

By default, all notification templates are enabled.

Columns on the Notifications page are clickable and can be used for sorting:

  • Name. Shows the name of the template. This can't be edited.
  • Enabled. Shows whether notifications are enabled, and therefore being sent to users.
  • Template. Shows whether notifications are in the default format or have been edited (customized).
  • Recipients. Shows the recipients notifications.
  • Type. Shows the type the notification: as an email, a notification in Microsoft Teams, as a scheduled appointment, or in the mobile app alone.
  • Relates To. Shows if the notification is related to a course, training plan, or course catalog.

The menu bar of the Notifications page provides search and filtering options:

  • Use the Search field to find the relevant template. The search can be used on template names only.

  • Filter by statuses (All Statuses, Enabled, or Disabled).

  • Filter by template (All Templates, Default, or Custom).

  • Filter by recipients (All Recipients, By Role, or By User).

  • Filter by notification type (All Types, Email, Email, Teams, Appointment, or Mobile).

  • Filter by the application area that notifications relate to (All Relates To, Course, Training Plan, or Course Catalog).

Notification types and templates

Many events and course types in LMS365 have dedicated templates. The articles in the following list provide details about notifications that relate to the various course types, training plans, certificates and skills, and LMS365 licenses:

Enable/disable templates

Requires role: Course catalog admin.

Enabling/disabling notification templates won't change the content of the template fields. Therefore, templates aren't registered as customized with this action.

To control what notifications that are sent:

1. In the LMS365 Admin Center, go to Catalog Settings and select Notifications. The Notifications page opens, where you can see the list of notification templates.

2. On the Notifications page, select the notification templates for which you want to control sending. The Actions panel opens with further options.

3. On the Actions panel, select either Disable Notification to ensure the selected notification templates won't be sent, or Enable Notification to reactivate disabled notification templates.

When notifications are enabled, the value under the Enabled column on the Notifications page is set to Yes and the Disable Notification action becomes available from the Actions panel.

When notifications are disabled, the value under the Enabled column on the Notifications page is set to No and the Enable Notification action becomes available from the Actions panel.
