How to read the learner's completion status in the "Course/Training Plan Progress" dashboard

Introduction

Each course may consist of several learning items for learners to complete step by step, allowing them to progress at their own pace.

The course administrator can track a learner’s completion status at each step of their training, and see which learning items are completed, failed, or not started. This guide gives information on where to view the completion status of a particular learner on a particular training, a learner's progress page overview and an explanation of statuses.

 

Where to view

To view a learner’s completion status in the course/training plan progress report, follow the steps:

1) Go to LMS365 Admin Center > Training Management > Select the course/training plan:

  • Near the selected course/training plan, select the Course/Training Plan Progress icon 6-14.png.
  • On the Course/Training Plan Management panel, select the Course/Training Plan Progress action link.

You will land on the course/training plan Progress dashboard.

Course Progress page overview

The course Progress page gives detailed information about the progress of each learner who is enrolled in this particular course.

Select the Summary of Progress for Selected Course expand icon to expand or collapse the information.

On the course Progress page, you can view learners' completion status under the Status column.

If the course was completed and then retaken, there will be an additional column where you can track the last completion date. The column has no heading in the dashboard, and is located between the Status and CEUs columns. It contains a grey tick icon for any courses that have been completed but the learner has retaken them.

To see more course progress details for a particular learner, select the expand icon near the name.

Training plan Progress page overview

The training plan Progress page gives detailed information about the progress of each learner who is enrolled in this particular training plan.

Select the Summary of Progress for Selected Training Plan expand icon to expand or collapse the information.

On the training plan Progress page, you can view learners' current completion status of the training plan under the Status column. To see the current status of courses included in the training plan, select the expand icon near the learner's name.

If a course in the training plan was completed and then retaken, there will be an additional column on the dashboard where you can track the last completion date of this course. The column has no heading and is located between the Status and CEUs columns. It contains a grey tick icon for any courses that have been completed but the learner has retaken them.

Course completion statuses explanation

You can find the following course completion statuses in the Status column: Completed, Not Started, and In Progress. The Status column reflects the status of the current attempt to complete the course.

 

NOTE   

Previously completed course 

If the course was previously completed and was then retaken, the previous completion records can be tracked in the additional column that has no heading in the dashboard, located between the Status and CEUs columns. In such a case, this column contains a grey tick icon. Hover over the icon to see the last completion date of the course. 

If the course was completed several times, only the last completion date is shown.

CompletedThe course status is set to Completed in the following cases:

  • Completion progress of all the learning items in the course correspond to the course completion settings, meaning all learning items required for course completion are successfully completed by the learner.
  • For Instructor-Led Training, in addition to the learning items in the course (if they exist), the registered attendance percentage matches that required for course completion. For Instructor-Led Training with a defined number of sessions, learners must attend the required number of sessions.

IMPORTANT   

For courses that have the multiple-session enrollment type with a defined number of sessions, the course progress and completion depends on whether the learner meets the required attendance percentage, as well as the number of sessions set as required to be enrolled in.

If a learner is enrolled in fewer sessions than is required, the course will always be In Progress and can' be completed by the learner.

EXAMPLE

On the image below, the learner has completed all the required learning items and visited two sessions with 100% registered attendance. However, the course completion set requirement is to be enrolled in three sessions. As a result, the learner's attendance is set as 0%, the course isn't completed and has the In Progress status.

The course progress (83.3%) is calculated as an average of all the items that are required to complete: 100+100+100+100+100+0%/6=83.3%

  • If the course completion status is set manually, the status is Completed
  • When Importing External Training via the Users page, the status is set to Completed and the Progress to 100%.

NOTE   

Courses with the Completed status may include learning items with the Not Started and In Progress statuses if these items are not marked as required mceclip0.png in any Course Completion Set, therefore not affecting the course completion process.

If there is more than one completion set in the course, the location of the required for completion icon mceclip1.png on the Course Progress page will depend on the learner's progress for the required items.

 


EXAMPLE

There are two completion sets: Set one (with the required items A and B), and set two (with the required items C and D). Let the learner's progress for required items for set 1 be 50 %, for set 2 - 70%. As the progress for set 2 (70%) is higher than that for set 1 (50 %), the required for completion icon will be displayed next to the required items from set 2. If the learner's progress for the required items changes, the icon will be shifted accordingly.

 

Not Started – The status is set to Not Started in the following cases:

  • When the learner who is enrolled in the course has not started the course yet.
  • The a learner who has previously completed the course has been forced to retake it, but hasn't started the new attempt yet. In this case, you will find the grey tick icon shows the last completed date.

For Instructor-Led training, the Not Started status is set:

  • When the course contains learning items and attendance is set as required, the Not Started status means none of the learning items has progress and attendance was set as Not Set/Absent/Absent (Informed) for all the sessions that are required for course completion.
  • When the course doesn't contain learning items and attendance is required, the Not Started status means attendance is set as Not Started/Absent/Absent (Informed) for all the sessions that are required for course completion.
  • When the course contains learning items and attendance isn't required, the Not Started status means none of the learning items has progress and attendance was set as Not Set/Absent/Absent (Informed) for all sessions.

In Progress – The status is set to In Progress in the following cases:

  • When a learner has started an e-Learning course but hasn’t successfully completed all of its required learning items. A learner may have completed one or more learning items, may not have started other items yet, or learning items can have a Failed status.
  • When all learning items in the course are Failed, the learner’s completion status remains In Progress until they have been completed successfully. In this case, all attempts to complete learning items are failed, and the admin must reset the learner's progress manually.

    Please see this article on creating and managing completion sets for more details on how to control which parts of a course must be completed for the status to change to Completed. 

     

  • For Instructor-Led Training without learning items with the required attendance, the In Progress status means that a learner’s attendance has been registered for at least one required session and the attendance progress is less the the required to complete the course. But if all the sessions that are required for course completion are set Not Started/Absent/Absent (Informed), the course will keep the Not Started status. 

 

NOTE   

If the registered attendance setting is set for the Defined number of sessions and a learner is enrolled in the number of sessions that is less than the defined number for course completion, the course and attendance progress won't reach 100% or the Completed status and will stay as In Progress.

EXAMPLE

On the image below, the learner is enrolled in and attended only two sessions out of the three sessions required for course completion. As a result, you can see 0% in course/attendance progress and the In Progress status.

  • For Instructor-Led Training with learning items and the required attendance, the In Progress status means that a learner has progress on at least one learning item in the course and/or the learner’s attendance has been registered for at least one required session, and the total attendance progress is less than what is required to complete the course. 

 

IMPORTANT

Training plan completion statuses explanation

You can find the following completion statuses of a training plan and the courses in it, in the Status column: Completed, Not Started, and In Progress. The Status column reflects the status of the current attempt to complete the training plan and the courses in it.

 

 

NOTE   

Previously completed training plan and the courses in it

If the training plan or a course in it was completed in one or more previous attempts and was then retaken, you can track the completion date of the most recent previous attempt in the following ways:

  • If a course in a training plan was completed in a previous attempt and was then retaken, the previous completion details of this course can be tracked in the dashboard, under an additional column that has no heading and is located between the Status and CEUs columns. In such a case, this column contains a grey tick icon. Hover over the icon to see the last completion date of the course. If the course has been completed several times, only the completion date of the last attempt is shown.

To track the status of courses in the training plan, select the expand icon near the learner's name. Hover over the grey tick icon located near the relevant course to see the last completion date.

  • To check if the training plan was previously completed and its last completion date, you should download the report by selecting Download Report. This is necessary because the Status and the Completed columns on the dashboard display the current status of the retaken training plan.

In the downloaded Excel report, refer to the Previously Completed column, where the last completion date of the training plan is shown.

CompletedThe status of the training plan is set to Completed in the following cases:

  • All the courses in the training plan have been successfully completed by the learner.
  • If all the courses in the training plan are manually set to Completed
  • If the training plan was successfully completed, but individual courses in the training plan have been retaken. These courses may have the Not Started or In Progress status, as well as the previous completion icon, as you can see on the image below.

NOTE   

Training plans with the Completed status may include courses with Not Started and In Progress statuses if these courses are not set as required for completion (they don't have the start icon mceclip0.png), thus not affecting the training plan completion process.

In Progress – The status is set to In Progress when a learner has started the training plan but hasn’t successfully completed all its required for completion courses. A learner may have courses with the Completed status, but other courses may be Not Started or In Progress.

Not Started – The status is set to Not Started when the learner who is enrolled in the training plan has not started a course in the training plan.
