The course reports on content packages, learning modules, and quizzes

Introduction

With the Course Reports, LMS365 allows for creating reports on a specific course for course admins to view data related to the completion progress of the learning items by learners. 

In this guide, you find the instructions on how to create different types of course reports related to content packages, learning modules, and quizzes, how to download, and read them.

How to create Course Reports

The Course Reports functionality is available for admins in the administration back-end.

1) From the LMS365 Admin Center > Training Management > Select a course > Course Reports on the Course Management panel.

2) From the opened Course Reports panel, set the relevant values in the fields to customize your course report:

Report Type – Select the checkbox of the learning item for your report to be built on: Content Package, Learning Module, or Quiz. The selection defines the values options in the next Group by section.

Group by – Under Group by, select the relevant value—Learner or a learning item—the information will be grouped by in the first column of the report. The selected value in the Group by section determines the value of the information that will be listed in the Select Scope drop-down list—Learner or a learning item.

  • Learner – In the report, the information on the selected learning item will be grouped by learner(s).

  • The learning item: Content Package, Learning Module, or Quiz. The value coincides with the set value from the Select drop-down menu. In the report, the information on the selected learning item will be grouped by the learning item.

Include Learners – Select the checkbox of the type of learners the report should include: Active Learners, Inactive Learners, or All Learners. The selected value in the Include Learners section determines the list of learners in the Select Scope drop-down list when in the Group by filed, the Learner value is set.

  • Active LearnersThe default value of the Include Learners section. When Active Learners is selected, the report will include the learning item progress data of the learners that are currently enrolled in the course. In this case, only active learners will be listed in the Select Scope drop-down list.
  • Inactive Learners When Inactive Learners is selected, the report will include the learning item progress data of the learners that were unenrolled from this course either by the admins or by themselves, or their account was disabled or deleted in Azure Active Directory. If this option is set, only inactive learners will be listed in the Select Scope drop-down list. 
  • All Learners – When All Learners is selected, the report will include the learning item progress data of the Active and Inactive Learners. If this option is set, the active and inactive learners of this course will be listed in the Select Scope drop-down list.

Select Scope – The selected values in the Group by and Include Learners sections control the list of options in the Select Scope drop-down list: the values will be either the learner list or the learning items.

Start Date / End Date – If you would like to generate a report that will include the data on the learners' attempts made within this period, set the relevant start and end dates.

The default values of the Start/End Date fields are empty. This means if you generate the report with the empty Start/End Date fields, the report will be generated based on the date of the first learners' attempt or on the enrollment date of the first enrolled in the course learner if there were no attempts to complete the learning item. 

If the Start Date field is left empty, the report's start date is learners' first attempt date or the enrollment date of the first enrolled in the course learner if there were no attempts to complete the learning item.

If the End Date field is left empty, the report's end date is the date of the report creation. 

Export to Excel – To download a report to your device based on the filters you have defined, select the Export to Excel button at the page bottom.

Content package reports

Content Package – Learner report

The Content Package-Learner report is generated to track how a specific learner, a particular group of learners, or all learners of the current course succeed with content packages completion, as well as track general data on the attempts to complete the content packages of the current course.

This report on content packages will be grouped by learner meaning the first column of the report will contain the learners' names and the rest information will be grouped accordingly. 

To generate the report, follow the steps:

1) From the LMS365 Admin Center > Training Management> Select a course > Course Reports on the Course Management panel.

2) Under Report Type, select Content Package.

3) Under Group by, select Learner.

4) Under Include Learners, select the type of learners the report should include: 

  • Active Learners – Is the default value of the Include Learners section. The report will include the general data on content package(s) completion and the number of attempts of the learners that are currently enrolled in the course. In this case, only active learners will be listed in the Select Scope drop-down list.
  • Inactive Learners  The report will include the general data on content package(s) completion and the number of attempts of the learners that were unenrolled from this course either by the admins or by themselves, or their account was disabled or deleted in Azure Active Directory. If this option is set, only inactive learners will be listed in the Select Scope drop-down list. 
  • All Learners  The report will include the general data on content package(s) completion and the number of attempts of the Active and Inactive Learners of the current course. If this option is set, the active and inactive learners of this course will be listed in the Select Scope drop-down list.

5) In the Select Scope drop-down list, select one of the following values:

  • All – To include all the learners that were defined in the Include field.
  • The relevant learner– To generate the report only on the selected learner.

6) In the Start Date / End Date fields, set the relevant start and end dates if you would like to generate a report that will include the data on the learners' attempts made within this period. 

The default values of the Start/End Date fields are empty. If the End Date field is left empty, the report's end date is the date of the report creation. 

7) To download a report to your device, select the Export to Excel button at the page bottom.

The downloaded report contains the following information:

  • Learner’s name - Learner’s name as it is stated in the user account in Azure Active Directory.
  • Email - Learner’s email address as it is stated in the user account in Azure Active Directory.
  • Department, Office, City, Country - Learner’s data that is taken from the user account in Active Directory.
  • Number of training packages - Displays the total number of training packages in the course and their titles. The grey content package title means this content package is hidden.
  • Completion status - The percentage of the content packages that each learner has completed. For a separate content package, the status of the current attempt is specified. When there are several attempts to complete the content package, the progress of the last one will be displayed.
    • Not Started - The content package has not been started yet. 
    • In Progress - The learner is in progress of passing of the content package. 
    • Completed - The content package has been completed by the learner.
    • Failed - The learner has failed the current attempt to pass the content package, but there are remaining attempts.
    • Out of attempt - The learner has failed the attempt to pass the content package, and there are no more attempts left.
    • Locked - The content package has prerequisites and can't be started by the learner.
  • Date completed - The date when this content package was completed by a learner.
  • Passed (scorm only) - The percentage of the learner’s attempt that was passed. It is applicable only for SCORMs.
  • Score - The score received by each learner if score is provided by the content package.
  • Average time - Average attempt time the learner has spent on completing the content package(s). Attempt time is calculated from the moment an attempt was first started till it was finished. So, if a learner started an attempt and after some period selected Continue, the attempt time includes all the period till the attempt is finished.
  • Attempts - Number of attempts that the learner made to complete the content package(s).
  • Course site - Shows the title of the site which the attempt was made on. The name is a clickable link which opens the site.

The order of the learning items in the report coincides with the order of the learning items in the training Content section. 

 

NOTE   

To view detailed information on progress to complete a content package of the current course for Active Learners only, the admin will need to navigate to Manage Course Content of the course in question > Content Package > View Learner's Details.

To view detailed information on attempts of Inactive (unenrolled) learners of the current course via View Learner's Details, these learners must be re-enrolled in the course.

 

Content package – Content package report

The Content Package-Content Package report is generated to track general data on content packages completion and the number of attempts to complete the content packages of the current course by a specific learner, a particular group of learners, or all learners of this course. This report on content packages will be grouped by content package meaning the first column of the report will contain the content packages titles of the current course and the rest information will be grouped accordingly. 

To see how learners are progressing with one or more course content packages:

To generate the report, follow the steps:

1) From the LMS365 Admin Center > Training Management> Select a course > Course Reports on the Course Management panel.

2) Under Report type, select Content Package.

3) Under Group by, select Content Package.

4) Under Include Learners, select the type of learners the report should include: 

  • Active Learners – Is the default value of Include Learners section. The report will include the general data on content package(s) completion and the number of attempts of the learners that are currently enrolled in the course. 
  • Inactive Learners  The report will include the general data on content package(s) completion and the number of attempts of the learners that were unenrolled from this course either by the admins or by themselves, or their account was disabled or deleted in Azure Active Directory.
  • All Learners  The report will include the general data on content package(s) completion and the number of attempts of the Active and Inactive Learners of the current course.

5) In the Select Scope drop-down list, select one of the following values:

  • All – To include data of all the content packages of the current course in the report.
  • The relevant content package – To generate the report only on the selected content package.

7) To download a report to your device, select the Export to Excel button at the page bottom.

 

The downloaded report contains the following data:

  • Package name - The name of the content package. The content package name of grey color means this content package is hidden.
  • Upload date - The date when the content package was uploaded.
  • Learner's name - Displays the learner’s name as it is stated in the user account in Azure Active Directory.
  • Email - Learner’s email address as it is stated in the user account in Azure Active Directory.
  • Department, Office, City, Country - Learner’s data that is taken from the user account in Active Directory.
  • Tags - Tags assigned to the content package.
  • Status - Shows the completion status of the content package for the individual learners. If the individual learner has more than one attempt to complete the content package, the status of the last one will be displayed.
    • Not Started - The content package has not been started yet.
    • In Progress - The learner has started the attempt but has not completed it.
    • Failed - The learner has failed the current attempt to pass the content package, but there are remaining attempts.
    • Out of attempts - The learner has failed to pass the content package and there are no more attempts left.
    • Locked - The content package has prerequisites and can't be started by the learner.
    • Completed - The learner has successfully completed the content package.
  • Passed (SCORM only) - It is applicable only for SCORMs. Displays Yes or No when the SCORM was passed or no by an individual learner.
  • Number of learners - Shows the total number of learners the report is built on.
  • Number of attempts - Shows the total number of attempts made for a separate content package by learners. For the individual learner, the personal number of attempts to complete this content package is specified.
  • Average time - Reflects the time each learner has spent on completing the content package. The average time depends on the number of attempts the learner has made.
  • Score - Shows the average score received by learners in the report for this content package. For individual learners, the personal score to complete this content package is specified.
  • Date completed - Shows the date when the learner completed this content package.
  • Course site - Shows the course title of the site where the attempt was made on. If you click the course title, you will be redirected to the course home page.

The order of the learning items in the report coincides with the order of the learning items in the training Content section. 

 

NOTE   

To view detailed information on progress to complete a content package of the current course for Active Learners only, the admin will need to navigate to Manage Course Content of the course in question > Content Package > View Learner's Details.

To view detailed information on attempts of Inactive (unenrolled) learners of the current course via View Learner's Details, these learners must be re-enrolled in the course.

 

Learning module reports

Learning module – Learner report

The Learning Module-Learner report is generated to track how a specific learner, a particular group of learners, or all learners of the current course succeed with learning modules completion, as well as track general data on the attempts to complete the learning modules of the current course.

This report on learning modules will be grouped by learner meaning the first column of the report will contain the learners' name and the rest information will be grouped accordingly. 

 

To generate Learning Module-Learner report, follow the steps:

1) From the LMS365 Admin Center > Training Management> Select a course > Course Reports on the Course Management panel.

2) Under Report Type, select Learning Module.

3) Under Group by, select Learner.

4) Under Include Learners, select the type of learners the report should include: 

  • Active Learners – Is the default value of the Include Learners section. The report will include the general data on learning modules completion and the number of attempts of the learners that are currently enrolled in the course. In this case, only active learners will be listed in the Select Scope drop-down list.
  • Inactive Learners  The report will include the general data on learning modules completion and the number of attempts of the learners that were unenrolled from this course either by the admins or by themselves, or their account was disabled or deleted in Azure Active Directory.     • Failed - The learner has failed an item (SCORM/AICC packages or Quiz) and there are no more attempts left in the learning module.
    • Locked - The learning module has prerequisites and can't be started by the learner.
    • Completed - The learner has successfully completed the learning module.
  • Date completed - Shows the date the learning module attempt has been completed by the individual learners.
  • Passed - Shows the passed percentage out of all the learning modules the learner is enrolled in.
  • Score - Shows the average score for learners, who have passed the learning module, as well as the score for the individual learner.
  • Average time - Reflects the average time the learner spent on the learning modules of the current course. If the learner starts the learning module and then makes a pause without leaving the browser session, the time counter will not be paused. The counter will continue tracking the time spent in the player. If the learner starts the learning module, and then, closes the window, the time counter will be stopped. The time tracking will be resumed once the learner is back to the learning module. In this case, the average time shows the exact time the learners spend in the learning module.
  • Attempts - The total number of attempts that each learner has made to complete all their learning modules. For the separate learning module, the separate number of attempts is specified.

The order of the learning items in the report coincides with the order of the learning items in the training Content section.

To view detailed information on attempts to complete a learning module of the current course for Active Learners only, the admin will need to navigate to Manage Course Content of the course in question > Learning Module > View Learner's Progress.

To view detailed information on attempts of Inactive (unenrolled) learners of the current course via View Learner's Progress, these learners must be re-enrolled in the course.

 

Learning module – Learning module report

The Learning Module-Learning Module report is generated to track general data on learning modules completion and the number of attempts to complete the learning modules of the current course by a specific learner, a particular group of learners, or all learners of this course. This report on learning modules will be grouped by learning modules meaning the first column of the report will contain the learning modules titles of the current course and the rest information will be grouped accordingly. 

 

To see how learners are progressing with all or a specific learning module in a course, follow the steps:

1) From the LMS365 Admin Center > Training Management> Select a course > Course Reports on the Course Management panel.

2) Under Report Type, select Learning Module.

3) Under Group by, select Learning Module.

4) Under Include Learners, select the type of learners the report should include: 

  • Active Learners – Is the default value of the  Include Learners section. The report will include the general data on learning modules completion and the number of attempts of the learners that are currently enrolled in the course. 
  • Inactive Learners  The report will include the general data on learning modules completion and the number of attempts of the learners that were unenrolled from this course either by the admins or by themselves, or their account was disabled or deleted in Azure Active Directory. 
  • All Learners  The report will include the general data on learning modules completion and the number of attempts of the Active and Inactive Learners. 

5) In the Select Scope drop-down list, select one of the following values:

  • All – To include in the report the data of all the learners that were defined in Include Learners.

  • Learning module title - Shows the title of the learning module. The title of grey color means that the learning module is hidden.
  • Created date - Shows the creation date of the learning module. The date of grey color means that the learning module is hidden.
  • Email - Learner’s email address as it is stated in the user account in Azure Active Directory.
  • Department, Office, City, Country - Learner’s data that is taken from the user account in Active Directory.
  • Completion status - Shows the completion status of learners with the learning modules. If there are several attempts, the status of the last one will be specified: 
        • Not Started - The learning module has not been started yet.
        • In Progress - The learner has started the attempt but has not completed it.
        • Failed - The learner has failed an item (SCORM/AICC packages or Quiz) and there are no more attempts left to pass the learning module.
        • Locked - The learning module has prerequisites and can't be started by the learner.
        • Completed - The learner has successfully completed the learning module.
  • Number of learners - Number of the reported learners enrolled with this learning module. 
  • Number of attempts - Shows total number of attempts made for this learning module by a separate learner and all the learners that are currently enrolled in the course.
  • Average time - Reflects the time each learner has spent on completing the learning module. The average time is calculated among learners that have already started the learning module.
  • Score - Average received score for this learning module as well as the score received by individual learners. The average score is calculated among learners who have already started an attempt.
  • Date completed - Shows date when the learner completed this learning module.

The order of the learning items in the report coincides with the order of the learning items in the training Content section.

Quiz reports

Quiz – Learner report

The Quiz-Learner report is generated to track how a specific learner, a particular group of learners, or all learners of the current course succeed with quiz(zes) completion, as well as track general data on the number of attempts to complete the quiz(zes) of the current course.

This report on quizzes will be grouped by learner meaning the first column of the report will contain the learners' name. 

To generate the report, follow the steps:

1) From the LMS365 Admin Center > Training Management> Select a course > Course Reports on the Course Management panel.

2) Under Report Type, select Quiz.

3) Under Group by drop-down list, select Learner.

4) Under Include Learners, select the type of learners the report should include: 

  • Active Learners – Is the default value of the Include Learners section. The report will include the general data on quiz(zes) completion and the number of attempts of the learners that are currently enrolled in the course. In this case, only active learners will be listed in the Select Scope drop-down list.
  • Inactive Learners The report will include the general data on quiz(zes) completion and the number of attempts of the learners that were unenrolled from this course either by the admins or by themselves, or their account was disabled or deleted in Azure Active Directory.  If this option is set, only inactive learners will be listed in the Select Scope drop-down list. 
  • All Learners The report will include the general data on quiz(zes) completion and the number of attempts of the Active and Inactive Learners. If this option is set, the active and inactive learners of this course will be listed in the Select Scope drop-down list.

  • Completion status - Shows the completion status of the learner’s last attempt to complete the quiz:
        • Not Started - The quiz attempt has not been started yet.
        • In Progress - The quiz attempt has been started but has not been finished yet.
        • Completed - The quiz attempt has been successfully completed.
        • Failed - The learner has failed the current quiz attempt, but there are remaining attempts.
        • Out of attempts - The learner has failed the quiz attempt and there are no more attempts left.
        • Locked - The quiz has prerequisites and can't be started by the learner.
  • Date completed - The date when the quiz attempt was successfully completed by learner.
  • Passed - Shows percentage of the quizzes learners have passed among all quizzes of the course. For a separate learner, the status is specified as Yes or No.
  • Score - Shows learner’s average score for quizzes in the course.
  • Passing score - Shows each learner's average passing score for of all quizzes in the current course.
  • Attempts - Shows the total number of attempts that a separate learner made to complete quiz(zes) in the course. With regard to a separate quiz, it shows the number of attempts the learner made to complete this particular quiz.

The order of the learning items in the report coincides with the order of the learning items in the course Content section. 

 

NOTE   

To view detailed information on each attempt to complete a quiz of the current course for Active Learners only, the admin will need to navigate to Manage Course Content of the course in question > Quiz > View Learner's Details.

To view detailed information on attempts of Inactive (unenrolled) learners of the current course via View Learner's Details, these learners must be enrolled in the course again.

 

Quiz – Quiz report

The Quiz-Quiz report is generated to track general data on quiz(zes) completion and the number of attempts to complete the quiz(zes) of the current course by a specific learner, a particular group of learners, or all learners of this course. This report on quizzes will be grouped by quiz meaning the first column of the report will contain the quiz(zes) titles of the current course. 

 

To generate the Quiz-Quiz report, follow the steps:

1) From the LMS365 Admin Center > Training Management> Select a course > Course Reports on the Course Management panel.

2) Under Select, select Quiz.

3) Under Group by, select Quiz.

4) Under Include, select the type of learners the report should include: 

  • Active Learners – Is the default value of the Include Learners section. The report will include the general data on quiz(zes) completion and the number of attempts of the learners that are currently enrolled in the course. 
  • Inactive Learners The report will include the general data on quiz(zes) completion and the number of attempts of the learners that were unenrolled from this course either by the admins or by themselves, or their account was disabled or deleted in Azure Active Directory. 
  • All Learners The report will include the general data on quiz(zes) completion and the number of attempts of the Active and Inactive Learners. 

5) In the Select Scope drop-down list, select one of the following values:

  • All – To include data of all the quizzes of the current course in the report.
  • The relevant quiz – To generate the report only on the selected quiz.

  • Created date - Shows the date when the quiz was created.
  • Email - Learner’s email address as it is stated in the user account in Azure Active Directory.
  • Department, Office, City, Country - Learner’s data that is taken from the user account in Active Directory.
  • Completion status - Shows completion status of learner’s quiz attempt(s):
        • Not Started - The quiz attempt has not been started yet.
        • In Progress - The quiz attempt has been started but has not been finished yet.
        • Completed - The quiz attempt has been completed.
        • Failed - The learner has failed the current quiz attempt, but there are remaining attempts.
        • Out of attempts - The learner has failed the quiz attempt and there are no more attempts left.
        • Locked - The quiz has prerequisites and can't be started by the learner.
  • Number of learners - Specifies the total number of learners the current report is built on.
  • Number of attempts - Shows the total number of attempts made by learners in the report to complete the quiz. For a particular learner, this column contains the number of attempts made by this learner to complete the quiz.
  • Average time - shows average time that the learners in the report have spent on this quiz. For a particular learner, this column contains the average time that each learner has spent on this quiz.
  • Score - Shows average score of the learners on this quiz. For a particular learner, this column contains the score that each learner has received on this quiz.
  • Date completed - Shows the date when each learner has completed the quiz.

The order of the learning items in the report coincides with the order of the learning items in the training Content section. 

 

NOTE   

To view detailed information on each attempt to complete a quiz of the current course for Active Learners only, the admin will need to navigate to Manage Course Content of the course in question > Quiz > View Learner's Details.

To view detailed information on attempts of Inactive (unenrolled) learners of the current course via View Learner's Details, these learners must be enrolled in the course again.
