The course reports on content packages, learning modules, and quizzes

Introduction

With the Course Reports, LMS365 allows for creating reports on a specific course for admins to view data related to the content of the course. 

This guide covers this reporting functionality. Here, you find how to create reports on course content, how to create different types of course content reports related to Content Packages, Learning Modules, and Quizzes, and how to download and understand them.

How to create course content reports

The Course Reports functionality is available for admins in the administration back-end.

From the LMS365 Admin Center > Course List> Select a course > Course Reports.

You will be offered the following filters to customize your course report:

  • Select - Select a learning item from the drop-down list: Content Package, Learning Module, or Quiz. The selection defines the next field.
  • Group by - This field allows two types of reports - by Learner or by Content Package, Learning Module, or Quiz. When the report is grouped by Learner, the report will take basis in the learner(s) and you will see information on learner(s) that have engaged with the content and their results. When the report is grouped by Content Package, Learning Module, or Quiz, the report will take basis in the content and you will get data on creation and completion of this content.
  • Include - Select type of learners: All, Active, or Inactive to include in the report. Inactive users are users whose account were disabled or deleted in Azure Active Directory or who have been enrolled into the course, but afterwards have cancelled their enrollment, or an administrator has cancelled their enrollment.


NOTE:
The value in the Include field determines the learners that can be selected from the Select Scope field. If Active Learners is selected, only active learners will be shown in the Select Scope drop-down list. If Inactive Learners is selected, only inactive learners will be shown in the Select Scope drop-down list. All Learners will show active as well as inactive learners.

 

  • Select Scope - Grouped by directly affects the Select Scope field. If the report is grouped by a content type, you can create a report for specific content. If the report is grouped by learner, you can create a report for a specific learner.

  • Start Date - Set start date for the period in which you would like to include data on attempts made by learner(s). If the field is left empty, the report will include information for the learner from their first attempt.

  • End Date - Set end date for the period in which you would like to include data on attempts made by learner(s). If the field is left empty, the report will include information for the learner till the time of report creation. 

  • Export to Excel - Download a report to your device based on the filters you have defined. Depending on the selection you have made, there will be differences in what is included in the report.

For some columns in the downloaded Excel sheet, you need to expand the rows to see all data.

 

Content package reports

Content package – Learner report

To see data on how one or more learners are progressing with content package(s) in a course:

1. Select the combination Content Package grouped by Learner

2. In the Select Scope field, select either All learners or a specific learner.

3. Select Export to Excel to download the report to your device.

The downloaded report contains the following data:

  • Learner’s name - Learner’s name as it is stated in the user account in Azure Active Directory.
  • Email - Learner’s email address as it is stated in the user account in Azure Active Directory.
  • Department, Office, City, Country - Learner’s data that is taken from the user account in Active Directory.
  • Number of training packages - Displays the total number of training packages in the course and their titles. The grey content package title means this content package is hidden.
  • Completion status - The percentage of the content packages that each learner has completed and the status.
    • Not Started - The content package has not been started yet. 
    • In Progress - The learner is in progress of passing of the content package. 
    • Completed - The content package has been completed by the learner.
    • Failed - The learner has failed the current attempt to pass the content package, but there are remaining attempts.
    • Out of attempt - The learner has failed the attempt to pass the content package, and there is no more attempt left.
    • Locked - The content package has prerequisites and can't be started by the learner.
  • Date Completed - Date when this package was completed by each learner.
  • Passed (SCORM only) - The percentage of the learner’s attempt that was passed. It works only for SCORMs.
  • Score - The score received by each learner, if this is provided by the content package.
  • Average time - Average attempt time the learner has spend on completing the content package(s). Attempt time is calculated from the moment an attempt was first started till it was finished. So, if a learner started an attempt and after some period of time selected Continue, the attempt time includes all the period till the attempt is finished.
  • Attempts - Number of attempts that the learner made to complete the content package(s).
  • Course Site - Shows the title of the site which the attempt was made on. The name is a clickable link which opens the site.

The order of the learning items in the report coincides with the order of the learning items in the training Content section.

Content package – Content package report

To see how learners are progressing with one or more course content packages:

1. Select the combination Content Package grouped by Content Package

2. In the Select Scope field, select either All content packages in the course of select the relevant content package. 

3. Select Export to Excel to download the report to your device.

The downloaded report contains the following data:

  • Package Name - The title of the content package. The content package title of grey color means  this content package is hidden.
  • Upload Date - The date when the content package was uploaded.
  • Learner's name - Displays the learner’s name as it is stated in the user account in Azure Active Directory.
  • Email - Learner’s email address as it is stated in the user account in Azure Active Directory.
  • Department, Office, City, Country - Learner’s data that is taken from the user account in Active Directory
  • Tags - Tags assigned to the content package.
  • Status - Shows the completion status of the content package for the individual learners.
    • Not Started - The content package has not been started yet.
    • In Progress - The learner has started the attempt, but has not completed it.
    • Failed - The learner has failed the current attempt to pass the content package, but there are remaining attempts.
    • Out of attempts - The learner has failed to pass the content package and there is no more attempt left.
    • Locked - The content package has prerequisites and can't be started by the learner.
    • Completed - The learner has successfully completed the content package.
  • Number of Learners - Shows the number of learners enrolled in to the course with this content package.
  • Number of Attempts - Shows the total number of attempts made for this content package by all learners that are currently enrolled in the course.
  • Average Time - Reflects the time each learner has spend on completing the content package. The average time depends on the number of attempts the learner has made.
  • Score - Show average received score for this content package as well as the score received by individual learners.
  • Date Completed - Shows the date when the learner completed this content package.
  • Course Site - Shows the title of the site where the attempt was made on.

The order of the learning items in the report coincides with the order of the learning items in the training Content section.

Learning module reports

Learning module – Learner report

To see how all or a specific learner is progressing with the learning module(s) in the course:

1. Select the combination Learning Module grouped by Learner

2. In the Select Scope field, select All learners or select the relevant learner.

3. Select Export to Excel to download the report to your device.

The downloaded report contains the following data:

  • Learner’s name - Learner’s name as it is stated in the user account in Azure Active Directory.
  • Email - Learner’s email address as it is stated in the user account in Azure Active Directory.
  • Department, Office, City, Country - Learner’s data that is taken from the user account in Active Directory.
  • Number of Learning Modules - Displays the total number of learning modules in the course and their titles. The grey color of the learning module title means this learning module is hidden in the course.
  • Completion status - Shows the completion status of the learning module for the individual learners.
    • Not Started - The learning module has not been started yet.
    • In Progress - The learner has started the attempt, but has not completed it.
    • Failed - The learner has failed an item (SCORM/AICC packages or Quiz) and there is no more attempt left in the learning module.
    • Locked - The learning module has prerequisites and can't be started by the learner.
    • Completed - The learner has successfully completed the learning module.
  • Date Completed - Shows the date the learning module has been completed by the individual learners.
  • Passed - Shows percentage of learner’s, that have completed the learning module, who have passed it.
  • Score - Shows the average score for learners, who have passed the learning module, as well as the score for the individual learner.
  • Average time - Reflects the average time the learner spends on the learning modules that have attempts. If the learner starts the learning module and then makes a pause without leaving the browser session, the time counter will not be paused. The counter will continue tracking the time spent in the player. If the learner starts the learning module, but closes the window, the time counter will be stopped. The time tracking will be resumed once the learner is back to the learning module. In this case the average time shows the exact time the learners spend in the learning module.
  • Attempts - The number of attempts that each learner has made to complete all their learning modules.

The order of the learning items in the report coincides with the order of the learning items in the training Content section.

Learning module – Learning module report

To see how learners are progressing with all or a specific learning module in a course:

1. Select the combination Learning Module grouped by Learning Module

2. In the Select Scope field, either select All learning modules in the scope or select the name of the specific learning module.

3. Select Export to Excel to download the report.

The downloaded report contains the following data:

  • Learning Module Title - Shows the title of the learning module. The title of grey color means that the learning module is hidden.
  • Created Date - Shows the creation date of the learning module. The date of grey color means that the learning module is hidden.
  • Email - Learner’s email address as it is stated in the user account in Azure Active Directory.
  • Department, Office, City, Country - Learner’s data that is taken from the user account in Active Directory.
  • Completion Status - Shows the completion status of learners with the learning modules: 
        • Not Started - The learning module has not been started yet.
        • In Progress - The learner has started the attempt, but has not completed it.
        • Failed - The learner has failed an item (SCORM/AICC packages or Quiz) and there is no more attempt left to pass the learning module.
        • Locked - The learning module has prerequisites and can't be started by the learner.
        • Completed - The learner has successfully completed the learning module.
  • Number of Learners - Number of learners that is enrolled into the course with this learning module. 
  • Number of Attempts - Shows total number of attempts made for this learning module by a separate learner and all the learners that are currently enrolled in the course.
  • Average Time - Reflects the time each learner has spend on completing the learning module. The average time is calculated among learners that have already started the learning module.
  • Score - Average received score for this learning module as well as the score received by individual learners. The average score is calculated among learners who have already started an attempt.
  • Date Completed - Shows date when the learner completed this learning module.

The order of the learning items in the report coincides with the order of the learning items in the training Content section.

Quiz reports

Quiz – Learner report

To see how all or a specific learner is progressing with the course quiz(zes):

1. Select the combination Quiz grouped by Learner.

2.  In the Select Scope field, select either All learners or select the specific learner.

3. Select Export to Excel to download the report.

        • Not Started - The quiz attempt has not been started yet.
        • In Progress - The quiz has been started but has not been finished.
        • Completed - The quiz attempt has been completed.
        • Failed - The learner has failed the current quiz attempt, but there are remaining attempts.
        • Out of attempts - The learner has failed the quiz attempt and there are no more attempts left.
        • Locked - The quiz has prerequisites and can't be started by the learner.
  • Date Completed - Date when the quiz was completed by each learner.
  • Passed - Shows percentage of the quizzes learners have passed among all quizzes in the course.
  • Score - Shows learner’s average score for quizzes in the course.
  • Passing Score - Shows each learner's average passing score for of all quizzes on the current site.
  • Attempts - Shows number of attempts that each learner made to complete quizzes in the course.

The order of the learning items in the report coincides with the order of the learning items in the training Content section. 

 

Quiz – Quiz report

To see how learners are progressing with all or a specific quiz in a course, select the combination Quiz grouped by Quiz and either include all quizzes in the course or select the relevant quiz in the Select Scope field.

  • Quiz Title - Shows the title of the quiz. The grey color of the quiz title means the quiz is hidden.
  • Created Date - Shows the date when the quiz was created.
  • Email - Learner’s email address as it is stated in the user account in Azure Active Directory.
  • Department, Office, City, Country - Learner’s data that is taken from the user account in Active Directory.
  • Completion Status - Shows completion status of learner’s quiz attempt(s):
        • Not Started - The quiz attempt has not been started yet.
        • In Progress - The quiz has been started but has not been finished.
        • Completed - The quiz attempt has been completed.
        • Failed - The learner has failed the current quiz attempt, but there are remaining attempts.
        • Out of attempts - The learner has failed the quiz attempt and there are no more attempts left.
        • Locked - The quiz has prerequisites and can't be started by the learner.
  • Number of Learners - Number of learners that are currently enrolled into the course where this quiz is included.
  • Number of Attempts - Shows total number of attempts made for the quiz/these quizzes by all learners that are currently enrolled in the course.
  • Average Time - shows average time that all learners have spent on the quiz(zes), and the average time that each learner has spent on a quiz.
  • Score - Shows average score of all learners, and the score that each learner has received.
  • Date Completed - Shows the date when each learner has completed the quiz(zes).

The order of the learning items in the report coincides with the order of the learning items in the training Content section.
