Course Completion Sets: creating and managing

Introduction

LMS365 enables you to specify requirements for training completionthis is done via Course Completion sets. A Course Completion Set consists of the learning items that learners are required to finish in order to complete the entire course.

In this guide, we provide an overview of the Course Completion Set functionality, where to set up course completion sets, how to set a default course completion set, how to create a new course completion set, edit, or delete existing sets, and what nuances that need to be taken into account when working with course completion sets.

 

How Course Completion Sets work

Courses can have one or more Course Completion Setsthe default set and custom set(s).

Upon course creation, the system automatically sets up a default Course Completion Set that can be edited and renamed. Every learning item that is added to the course will be added to the default Course Completion Set. By default, items added to this set are marked as required to complete the course, but you can edit or delete these items and unmark items as required.

LMS365 allows you to create as many course completion sets as needed. This enables you to allow learners to complete a course in different ways.

For each Course Completion Set, you can select items you want users to complete. In the Course Completion Sets in a course, these items can be the same to some extent or completely different. So, the Course Completion Set option allows you to create different variants of requirements for completion of the course, depending on your goals. Perhaps, you offer a course that includes a video as well as a text version of the same training content, and you want the learners to have completed the course even if they have just completed one of these items. In this case, you can set up two completion sets—one Course Completion Set only has the video as a required item, and the other Course Completion Set only has the text as a required item. Completing either the text or the video will bring the learner to complete the course.

 

Where to manage Course Completion Sets

Course Completion Sets can be managed by course catalog and course admins in the LMS365 Admin Center > Training Management > Select a course > from the Course Management panel, select Course Completion Settings.

From the Course Completion Settings panel, you can see all completion sets of the course with the learning items they consist of by collapsing/expanding a completion set.

The Course Completion Settings panel presents information in the following columns:

  • Name - Shows the name of the Course Completion Set. When the completion set is expanded, you can find all the learning items of the set listed in this column.
  • Type - Shows whether the Course Completion Set is the default set. It also shows the type of the learning items the set consists of. In the column, you'll find listed the following items: Content Package, Quiz, Learning Module, Attendance, Assessment, External App.
  • Items - Shows the number of learning items the Course Completion Set consists of.

IMPORTANT   

The course will be marked as completed the moment learners pass the last of the items that are marked as required from any of the Course Completion Sets. So please be aware that in case you want users to complete a specific set, all other sets that does not include the same required items should be deleted. Otherwise, any of these sets can let the learner complete the training.

For example, if you have three sets: 1st set with a video and a quiz and you want learners to complete these required items, 2nd set with a video, and the 3rd set only with a quiz. In this case, learners who are done with any of the items will successfully complete the course because there are completion sets that allow the learner to complete the training with completion of only the video or quiz. So you need to delete the sets that does not match your goal.

 

All items that are included in a course completion set are set as required to compete. All these learning items that are required to complete in order to complete the course have a star icon mceclip0.png, Required For Completion, when tracked on the course Progress panel.

Once there is more than one completion set, the Required For Completion icon mceclip1.png on the course Progress panel will depend on the learner's progress with the required items. 

For example, if there are two completion sets, set 1 and set 2, and the learner's progress with required learning items for set 1 is 50% and 70% for set 2, the Required For Completion icon will be shown next to the learning items of set 2 as the learner's progress with this set is higher.

 

How to create a new Course Completion Set

To create a new Course Completion Set, follow these steps:

1) From the Course Completion Settings panel, select Add a Course Completion Set.

2) Complete the form and select the items that are required to complete the course.

Name - Enter the name of the new completion set.

Default Course Completion Set - Define whether the completion set is the Default one for the course by dragging the toggle to On. Only one completion set can be set as the Default. If you set a new completion set as Default, the completion set that was originally marked as Default will lose this status.

Learning Items - Shows all the learning items that form part of the course. Select the items that are required to complete the course. To select all the listed items, select the Name checkbox.

Selected - Shows only the items that are marked as required for completion of the course.

Name - Shows the names of the learning items.

Type - Displays the type of the learning items in the course: Content Package, Quiz, Learning Module, Attendance, Assessment, and External App.

Required result ≥ - Allows you to define the minimum attendance percentage or required passing score for Assignments/Gradebooks to complete the course, if applicable. 

Published - Shows whether the item is available for learners.

3) Select Save or Cancel. If you select Cancel, you will be redirected to the Course Completion Settings panel.

 

Changing the default course completion set

A course must have a course completion set, but only one course completion set can have the Default status. The Default Course Completion Set toggle is set to On and is inactive.

Changing the default course completion set removes the default status from the original course completion set.

You can change the default course completion set either:

  • When creating a new course completion set, by setting it as the Default. This will remove the default status from the original set.
  • Or, by selecting from the list of existing completion sets:

    1) From the LMS365 Admin Center > Training Management > Select a course > from the Course Management panel, select Course Completion Settings.

    2) From the Course Completion Settings panel, select the course completion set you want to set as the default.

    3) From the Actions panel, select Edit Course Completion Set.

     4) On the Edit Course Completion Set panel, set the toggle to On under Default Course Completion Set.

Editing a course completion set

NOTE   

Changes to Course Completion Settings will not affect the status of courses that have already been completed.


1)
From the LMS365 Admin Center > Training Management > Select a course > The Course Management panel > Course Completion Settings.

2) Select the relevant course completion set.

3) From the Actions panel, select Edit Course Completion Set.

4) Make the relevant changes and select Save or Cancel to discard.

Deleting a completion set

To delete a completion set, follow these steps:

1) From the LMS365 Admin Center > Training Management > select the relevant course > Course Completion Settings.

2) Select the completion set you want to delete.

3) From the Actions panel, select Delete Course Completion Set. A confirmation message will ask you to confirm the action.

NOTE   

  • You can't delete the Default course completion set. The Delete Course Completion Set action will be disabled for the default set. To delete this course completion set, you must first set a different completion set as the default set for this course.
  • Learners will only be able to complete the course if one or more learning items from any associated course completion set are marked as required to complete the course.

 

Managing Attendance in the course completion set

For Instructor-Led training, the main attendance settings are modified during course creation. Once the course has been created, the course or course catalog admin can manage attendance settings from the course completion set in edit mode. The settings available in edit mode will differ depending on the enrollment type of the course. 

1) For the Enroll user into a single course session and the Enroll user into all course sessions enrollment types, you can:

  • Set attendance as required if it was originally set as not required. Change the status of attendance to not required by clearing the checkbox of the Registered Attendance item.
  • Change the percentage of attendance required for completion by selecting the required option from the drop-down list.

2) For the Enroll user into multiple course sessions enrollment type, you can:

  • Set attendance as required if it was originally set as not required. Change the status of attendance to not required by clearing the checkbox of the Registered Attendance item.
  • Specify whether attendance is required for All enrolled sessions or a Defined number of sessions. The default setting is All enrolled sessions with the average of percentage that was set from the course create/edit panel. This setting can also be changed here.

  • When you select Defined number of sessions, in the any text box, specify the number of sessions in the course that a learner must attend to complete the course. From the with the average of drop-down list, select the attendance percentage that is required of the learner to complete the course. The set percentage value will be calculated as an average of the set number of sessions in the any field.

Select Save at the bottom of the page to apply the changes or Cancel to discard.

Searching and filtering options

To find a specific completion set, you may:

  • Use the Search field.
  • Select the Name column heading to sort by name.
  • Select the Items column heading to sort by the number of items in the course completion sets.
