Overview of the Line Manager Dashboard and its capabilities

Introduction

This article provides an overview of the Line Manager Dashboard and its capabilities. You'll see how line managers can observe and manage the training activity of their subordinates, view the data from a particular course catalog or all course catalogs, manage enrollment requests and assessments, view and download reports, filter or search for a training or user, manage user's enrollment and unenrollment, grant or revoke skills, import an external training data, and download certificates.

Find the Line Manager Dashboard

IMPORTANT   

To employ all features of the Line Manager Dashboard, you organization hierarchy must be set up with appropriate manager relationships. For more details about how to set up the organization hierarchy, see this article.

 

Line managers can observe and manage the training activity of their subordinates from the Line Manager Dashboard.

To go to the Line Manager Dashboard, line managers follow these steps:

1. Navigate to My Training Dashboard.

2. From the left-menu of My Training Dashboard, select the Line Manager Dashboard link that's displayed only for line managers.

Line managers will be directed to the LMS365 Admin Center, LMS365 Line Manager Dashboard of the course catalog from which line managers started their navigation. The name of this catalog will be listed in the catalog selector at the top of the LMS365 Line Manager Dashboard.

The Line Manager Dashboard page has the following options on the top bar: 

  • The switcher between the view with direct reports of the line manager and subordinates of the direct reports of the line manager. Find more details in the Filter data on the Line Manager Dashboard page section of this article.

  • The Export option to download reports. Find more details in the Export data section of this article.

  • The Filter by Training option to apply various filters to the users on the page. 

  • The Enrollment Requests view, which displays only users who currently have enrollment requests pending approval.

Select the course catalog

From My Training Dashboard, line managers are directed to the LMS365 Admin Center, LMS365 Line Manager Dashboard of the course catalog from which line managers started their navigation. The name of this catalog will be listed in the catalog selector of the LMS365 Line Manager Dashboard.

If this is the only catalog the line manager has access to, there will be no other catalogs listed in the catalog drop-down list.

If the line manager has access to several course catalogs or all catalogs of the tenant, these catalogs will be listed in the catalog drop-down list and available for selection. The All Catalogs option is available in the drop-down list and enables the line manager to see the summary of the subordinates' learning progress across all catalogs the line manager has access to.

The line manager will see a catalog in the catalog drop-down list if they meet one of the following criteria:

  • They're a catalog admin of this catalog.
  • They've been added to the Users list of this catalog.
  • They're an LMS admin. In this case, the line manager will see all course catalogs of the tenant in the list.

To change the catalog or view learning progress from all catalogs the line manager has access to, from the catalog drop-down list, the line manager selects a relevant catalog or All Catalogs

When a single catalog is selected, the line manager can track their subordinates' learning progress related to the current catalog.

When All Catalogs is selected:

  • The line manager will see an aggregated summary of the subordinates' learning progress across all catalogs the line manager has access to.
  • Some actions of the Line Manager Dashboard will be unavailable, like for example, enrolling users in a course or training plan.

Understand what users have access to the catalog

If a user listed on the LMS365 Line Manager Dashboard is shown with an icon icon.png next to their name, this means the user wasn't added to the current catalog via the Add or Invite User(s) option on the Users list from the LMS365 Admin Center or wasn't enrolled in a separate course or training plan as a learner

So, this user doesn't have any learning progress information displayed on the LMS365 Line Manager Dashboard. As a result, when the line manager selects their name, all the action links are unavailable on the opened Direct Reports Administration panel.

To manage learning progress of these users, they must be added to the current catalog.

All other users have access to the catalog, they may be enrolled in courses and training plans in the catalog, and they can be managed here. 

The column that indicates whether the user has access to the catalog has its own built-in filter, described in the Filter data by columns section of this article.

Filter data on the Line Manager Dashboard page

Find and filter users

Via the Direct Reports selector

NOTE   

Users with disabled Azure Active Directory accounts aren't shown as subordinates on the LMS365 Line Manager Dashboard.

By default, in the Name column of the LMS365 Line Manager Dashboard page, the line manager tracks the list of their direct reports.

To bring forward the direct reports' subordinates list, the line manager needs to select Direct Reports' Subordinates from the drop-down list at the top bar.

When Direct Reports' Subordinates are selected, the view of users will differ: the line manager will see their direct reports together with the direct reports' subordinates hidden under an expand arrow displayed next to their name. Expanding the arrow gives the line manager the view and access to management of both direct reports and direct reports' subordinates.

 

Via the search field

NOTE   

Users with disabled Azure Active Directory accounts aren't shown as subordinates on the Line Manager Dashboard.

The line manager can find users by entering all or part of their name in the search field. Only users whose information matches the search criteria will be displayed. The Name column has its own filter with the same logic applied. Selecting Export will download the results of the current view only.

Filter data by columns

NOTE

Line managers can filter the information on the LMS365 Line Manager Dashboard by its columns, and then download the result by selecting Export.

When a single catalog is selected, lines manager can track their subordinates' learning progress for the current catalog.

When All Catalogs is selected, line managers will see a summary of the subordinates' learning progress across all catalogs to which the line manager has access.

The information on the LMS365 Line Manager Dashboard is displayed in the following columns: Name, In Progress, Not Started, Completed, Overdue, Expired Certificates, CEUs.

NOTE   

The LMS365 Line Manager Dashboard columns:

  • Include data on courses only, training plans aren't counted here. To get an overview of the user's progress an all courses and training plans, select a user and then View Learner's Progress. For detailed information about how to read the individual user's progress presented on the user's progress dashboard with this data to be downloaded in the report, navigate to this article.
  • Don't include data on unpublished, incomplete courses because they aren't counted here.

 

The columns on the LMS365 Line Manager Dashboard contain the following information:

  • Name. Displays the names of users who are direct reports or subordinates of direct reports of the current line manager. The line manager can sort users by name in alphabetical order (ascending A-Z or descending Z-A) by selecting the column title.
    The Name column has its own filter, which has the same logic as the search field. Selecting the filter icon calls out the search field, where the line manager can enter all or part of a user's name. Only users who match the search criteria will be displayed. Selecting Export in this case will download the results of the currently displayed users only.

  • User is in the catalog. An icon of a person 2023-02-14_14_10_06-Line_Manager_Dashboard.png next to a user indicates that this user isn't added to the current catalog, so they don't have access to it. For more information, navigate here. Selecting the column filter enables line managers to filter users according to their access to the catalog. The options available depend on the users displayed on the page: Select all (default selection that's always available), User is in Course Catalog (if there are users with access to the catalog), and User is not in Course Catalog (if there are users who don't have access to the catalog).

  • In progress. Displays the number of currently published courses that users are currently enrolled in and have started (the In progress status in this course) but haven't yet completed. The line manager can sort users by the number of courses started but not completed by the user (ascending or descending) by selecting the column title.

  • Not started. Displays the number of currently published courses that the users are currently enrolled in but haven't started yet (the Not stared status in this course). The line manager can sort users by the number of courses not started by the user (ascending or descending) by selecting the column title.

  • Completed. Displays the number of courses that the users have already completed, regardless of whether the user is currently enrolled in this course, and whether the course is currently published. The line manager can sort users by the number of courses completed by the user (ascending or descending) by selecting the column title.

  • Overdue. Displays the number of currently published courses that the users are currently enrolled in but haven't completed up to the set due date. Such courses are counted as Overdue regardless of their completion status: Completed (the user has completed the course after the due date), In progress (the user is still in progress with the course after the due date), or Not started (the user hasn't started the course at all). The line manager can sort users by the number of overdue courses they have (ascending or descending) by selecting the column title.

  • Expired Certificates. Displays the user's expired certificates out of the total number of certificates acquired by this user. If a user has several expired certificates for a course or training plan, only the latest one is counted here. The line manager can sort users by the number of expired certificates they have (ascending or descending) by selecting the column title.

  • CEUs. Displays the total number of CEUs earned by user in the catalog. For the All Catalogs view selected, the number of CEUs displayed will be the total number of CEUs across all catalogs the user has any CEUs earned. 

The line manager can use multiple filtering and sorting options at the same time. For example, filter users who are in a course catalog, and then sort them by CEUs.

 

Filter by training 

The Filter by Training option enables the line manager to retrieve a list of users:

  • That aren't enrolled in any course or training plan.
  • That are enrolled in a particular courses or training plans.

Selecting Filter by Training opens the Filter by Course(s) & Training Plan(s) panel with multiple filters available: by date range, by publishing status and/or training type, by skills, using the search field, and by Filter by No Training at the bottom of the panel. To get the list of relevant users, line managers can apply the relevant filters.

Filter by publishing status and/or training type

By default, the Courses & Training Plans column on the Filter by Course(s) & Training Plan(s) panel contains all courses and training plans of the current catalog.

To find the users who are enrolled in specific courses and training plans, can be done in one of the following ways or by combination of filters:

  • Select the checkbox of the relevant courses and training plans. 
  • Use the search field to find the relevant course or training plan. Search runs by training name, category, and tag. 
  • From the All Training drop-down list, narrow down the list of courses and training plans by filtering on publishing status (Published, Unpublished, Scheduled, Ended) and e-Learning, Instructor-Led Training, or Training Plan, or combine filters. The default setting is All Training.

Select Filter at the bottom of the panel to apply the filter to the users listed on the Line Manager Dashboard page and only show users that are enrolled in the courses and training plans set in the filters.

The Filter by Course(s) & Training Plan(s) panel will stay open. Closing it won't reset the applied filters.

Selecting Export in this case will download the filtered result in an Excel file only.

Filter by date range

To filter users according to the courses and training plans they are enrolled in, that are started and not yet ended within a set date range, line managers follow these steps:

1. On the Filter by Course(s) & Training Plan(s) panel, select Date Range.

2. From the opened Date Range panel, select the start and end dates from the calendar. The present date on the calendar is marked blue. The selected date range will be replaced the Date Range column title.

To reset the applied Date Range filter, select the close icon near the Date Range filter.

In the Courses & Training plans column, you'll see the filtered course and training plans according to the set date range.

The filtered result of the courses and training plans displayed depends on the training type. 

For e-learning courses and training plans the filtered result depends on the start and end dates of the training and will include courses and training plans that live up to the following criteria:

  • Both the start and end dates of the course or training plan are within the set date range.
  • The start date of the course or training plan is within the set date range and the training has no end date set.
  • The training has no start date set, but the end date is within the set date range.
  • The course or training plan has no start or end dates set.

The filtered result won't include courses and training plans that:

  • Are unpublished.
  • Have a start date earlier than the start date of the Date Range filter and the end date within the set date range of the filter.
  • Have a start date within the set date range and an end date later than the set date range.
  • Have start and end dates outside of the set date range.

For instructor-led training, the filtered result depends on the start and end dates of the sessions (standalone or within groups) in the course. A course will be returned in the results when at least one session (standalone or within groups) in the course has both start and end dates within the set Date Range.

The filtered result won't include courses that don't have standalone sessions or session groups with sessions.

 

3. Under the Course & Training Plans column, from the list of the filtered courses and training plans, select the relevant courses or training plans to further filter users. To select all courses and training plans at once, hover over the Name column and select the checkbox that's displayed.

4. Select Filter at the bottom of the panel. 

The users on the LMS365 Line Manager Dashboard will be filtered accordingly. For instructor-led training, all users who are currently enrolled in the selected courses are listed in the results, regardless of the sessions or session groups for which they're registered. This is also the case if users aren't yet registered for a session or a session group but are enrolled in the course.

The Filter by Course(s) & Training Plan(s) panel will stay open. Closing it won't reset the applied filters.

The line manager can download the filtered results in an Excel file by selecting Export. The report will display information in the language of your browser, if this language is supported by LMS365. Otherwise, it will be displayed in English (United States).

 

Filter by no training

Line managers can use the Filter by No Training option to get a list of users who aren't currently enrolled in any courses or training plans in the catalog, 

To do this, on the Filter by Course(s) & Training Plan(s) panel, select Filter by No Training at the bottom of the panel. If any course or training plan is selected on the panel, Filter by No Training is replaced with Filter.

After selecting Filter by No Training, the Filter by Course(s) & Training Plan(s) panel will stay open. Closing it won't reset the applied filters.

The filtering will be applied to the users listed in the Name column on the Line Manager Dashboard page and only users that comply with the criteria of the set filter will be listed on the page. The line manager can download the filtered result in an Excel file by selecting Export on the Line Manager Dashboard page.

To reset the filters applied, select Reset.

Filter by training and skill

From the Filter by Course(s) & Training Plan(s) panel, line managers can, additionally, filter by skills to:

  • Find users that are enrolled in one or more courses and training plans that grant one or more particular skills.
  • Find users that are enrolled in one or more courses and training plans that don't grant any skills.

Line managers can use the Skills filter within the Filter by Course(s) & Training Plan(s) panel in the following way:

1. From the LMS365 Line Manager Dashboard, select Filter by Training. This opens the Filter by Course(s) & Training Plan(s) panel.

2. From here, select the Skills filter. This opens the Filter by Skills panel.

3. From the Filter by Skills panel, select the relevant skills by:

  • Selecting the relevant skills from the Skills tab. Here, all the skills in the current catalog are listed. 
  • Searching in the Search field for the relevant skills. The search runs by the name, category, or tag. Then, from the search result, select the relevant skills.
  • Selecting the Filter by No Skills option at the bottom of the panel. This'll show courses and training plans that won't grant a skill.
  • To select all skills displayed in the Skills tab, hover over the Name column and select the checkbox that appears.

When no skill filters are applied, the Filter by No Skills filter is available at the bottom of the panel and allows the filtering of courses and training plans that won't grant any skills.

4. Select Filter on the Filter by Skills page to filter courses and training plans on the Filter by Course(s) & Training Plan(s) panel according to the selected skills.

The filtered courses and training plans will be displayed in the Courses & Training Plans column.

The Skills filter icon will now be blue, meaning that the listed courses and training plans are filtered according to a set Skills filter. The line manager can select Skills to go back to the Filter by Skill panel. The Reset option will be active on the Filter by Skill panel allowing to quickly reset the filters applied and selections made.

5. From the Courses & Training Plans column, select the courses and training plans to further filter users. To select all the courses and training plans in the column, hover over the Name column and select the Name checkbox. If you have to hover over the column to see it, use the updated purple text.

6. Select Filter to apply the set filters to the users who are currently enrolled in the courses and training plans selected in the filter.

The Filter by Course(s) & Training Plan(s) panel will stay open. Closing it won't reset the applied filters.

The line manager can download the filtered result in an Excel file by selecting Export.

 

User administration

Actions on the Direct Reports Administration panel

The line manager subordinates that are given access to a catalog, a course, or a training plan will be listed on the LMS365 Line Manager Dashboard and can be managed. The line manager subordinates that don't line up with this criterion are listed with a special icon and can be managed only after they're added to the relevant course catalog.

Selecting a user, allows the line manager to perform a series of actions from the opened Direct Reports Administration panel:

  • View Learner's Transcript.
  • View Learner's Progress.
  • Enroll in Course(s) & Training Plan(s).
  • Unenroll from Course(s) & Training Plan(s).
  • Unenroll from all Course(s) & Training Plan(s).
  • Enrollment Requests approval.
  • Assessments approval.
  • Download Certificate(s).
  • Import external training records.
  • Grant Skill.
  • Revoke Skill.

Line manager may find some actions on the Direct Reports Administration panel as inactive for the following reasons:

  • The action requires a single user to be selected.
  • The action requires a single course catalog to be selected.
  • One or more selected users are outside of the selected course catalog.

The LMS admin can limit management capability of the line manager to enroll and unenroll users in courses and training plans, award and revoke skills, manage enrollment requests and assessments, and import external training data. In such a case, from the opened Direct Reports Administration panel, the line manager can perform the limited number of actions: 

  • View Learner's Transcript.
  • View Learner's Progress.
  • Enrollment Requests approval.
  • Assessments approval.
  • Download Certificate(s).

View Learner's Transcript

The View Learner's Transcript action is available for an individual user only.

The View Learner's Transcript section provides the line manager with a view of the user's learning progress information, certificates, and skills with the possibility to export this information to a PDF file. The downloaded user's transcript PDF file supports multiple languages characters.

To view transcript of a user, the line manager follows these steps:

1. Select the relevant user with a given access to a catalog, a course or a training plan on the LMS365 Line Manager Dashboard.

2. From the opened Direct Reports Administration panel, select View Learner’s Transcript.

3. This brings forward the user's Transcript panel. Here, select the relevant tab: Courses, Certificates, Skills.

The Export to PDF option is available from each tab and downloads the entire user's transcript to the local device.

Courses

On the Courses tab, the line manager finds information in the following columns:

  • Training Name. Displays the titles of the courses and training plans that the user is or has ever been enrolled in, as well as the title of imported courses. 

    If a user is currently enrolled in the training and has more than one attempt to complete it, the line manager sees the training title listed once for each attempt the user has for this training, as well as the attempt statuses: Completed (with the completion date in the Completion Date column), In Progress, and Not Started. 

    If a user is unenrolled from the training, only the Completed statuses of the attempts for this training are listed in the transcript, as well as the training title. Only attempts with the Completed statuses for this training are included in the transcript.

  • Status. Displays the progress status of the user's attempt to complete the training: Completed, In Progress, Not Started. The line manager can sort the column according to the status selecting the Status column title.

    If a user is currently enrolled in the course or training plan and has more than one attempt to complete it, the line manager sees statuses of all the attempts listed in the Status column: Completed (with the completion date in the Completion Date column), In Progress, and Not Started

    If a user is unenrolled from the course or training plan, only attempts of the Completed status for this training are listed in the transcript. Only attempts with the Completed statuses for this training are included in the transcript.

  • Completion Date. Displays the completion date for the attempts of the Completed status.

  • CEUs. Displays the number of CEUs earned for each course or training plan. The CEUs earned for the completed training are green. The planned CEUs are marked with an asterisk.

    At the panel bottom, the line manager finds the total CEUs numbers that are Earned (green color)/ *Planned (marked with an asterisk)/ Total CEUs.

The line manager can sort each column by selecting its title.

 

Certificates

On the Certificates tab, the line manager finds the information in the columns:

  • Training Name. Displays the courses and training plans that the user's certificates relate to.

    If a user is currently enrolled in the training and has several attempts to complete it, the training title is listed once for each attempt, as well as the status of the certificate associated with this attempt: Valid, Expired, Planned, Expiring. 

    If a user is unenrolled from the training, only certificate of the Valid, Expiring, and Expired statuses for this training are listed in the transcript. Certificate of the Planned status for this training isn't included in the transcript.

  • Status. Displays the status of the certificate: Valid, Expired, Planned, Expiring.

  • Issued Date. Displays the date the certificate was awarded.

  • Expiry Date. Displays the expiry date of the certificate (if set).

The line manager can sort each column by selecting its title.

Skills

On the Skills tab, the line manager finds the columns with the following information:

  • Skills. Displays the title of the skill and its level.

The skill with a certain level can be listed several times in the following cases:

1. If the skill with a certain level is associated with different courses, training plans, and persons that are listed in the Granted by column.

2. If a user has several attempts to complete the course or training plan, where each attempt has its own separate skill status. If the user is currently enrolled in the training, all the relevant skill statuses can be tracked in the transcript: Valid, Revoked, Planned. If the user is unenrolled from the training, only the Valid and Revoked skills statuses can be tracked in the transcript.

  • Granted by. Displays information one of the following ways:

1. The name of the person who has manually awarded the skill from the Users panel or Line Manager Dashboard without the user being enrolled in a specific training. The line manager can contact this person via email by selecting their name if the name is an active link.

2. The training title this skill is related to. If the training link is blue, the line manager can select it and will be redirected to the training home page. If the training link is grey, it means the training is deleted, ended, or unpublished.

  • Status. Displays the status of the skill: Valid, Revoked, or Planned.

  • Achievement Date. The date when the skill was awarded.

  • Revocation Date. The date when the skill was revoked (if set).

 

View Learner's Progress

The View Learner's Progress action is available for an individual user only.

To view the user's training progress, the line manager follows these steps:

1. Select the relevant user on the LMS365 Line Manager Dashboard page to open he Direct Reports Administration panel.

2. From the Direct Reports Administration panel, select the View Learner’s Progress action link.

3. On the opened Progress panel, the line manager has the overview of the course and training plan progress of the selected user.

From the Progress panel, line managers can:

  • See full details of a specific user's learning progress. For detailed information about how to read user's progress displayed on the Progress panel, see this article.
  • Download user's progress report in the Excel file by selecting Download Report. For more information about how to read the report, see this article.
  • Manage user's certificate.
  • Sort and filter columns to find user's progress for the relevant course or training plan. To filter the information in the Status, Completed, and Certificates columns, the line manager will select the filter icon in the relevant column heading to open the filtering options. The filter in the Status column enables you to filter learners according to the Completed, In progress, and Not started statuses. In the Completed filter, set a date range to filter the information by the courses and training plans completed within this period. The Certificates filter enables you to filter training according to the certificates received.

 

To download or delete certificates for the existing, imported external training, or already deleted courses and training plans, the line manager follows these steps:

1. Select the required course or training plan.

2. In the Certificate column, select the eye icon. From the opened panel, select the relevant action icon: download or delete.
If a user has more than one certificate, the list of all the user's certificates is displayed.

Enroll in Course(s) and Training Plan(s)

To enroll users in courses and training plans, the line manager follows these steps:

1. Select the relevant learner on the LMS365 Line Manager Dashboard.

2. From the opened Direct Reports Administration panel, select the Enroll in Course(s) & Training Plan(s) action. This opens the Enroll in Course(s) & Training Plan(s) panel.

3. Expand Learner(s) to Enroll to see the selected users. By default, the list is collapsed. Line manager can delete the users from this list, if required.

4. On the Enroll in Course(s) & Training Plan(s) panel, in the Name column select the relevant course or training plan.

It's possible to select only one course or training plan to enroll a user in at a time.

 

NOTE   

  • If a course or training plan is unpublished or the Show in Course Catalog option is disabled for it, it won't be shown in the Name column.
  • The course with a targeted audience won't be shown in the Name column if Course Targeting is enabled from the Global Settings. Additionally, the line manager isn't the course admin or instructor in this course, not in the target audience of the course, or the line manager isn't the catalog admin.
  • The course with a targeted audience will be shown in the Name column if Course Targeting is disabled in Global Settings. For more information on course targeting, refer to this article.
  • The course with a targeted audience will be shown in the Name column if Course Targeting is enabled from the Global Settings. Additionally, the line manager must be the course admin or instructor in this course, or catalog admin, or the line manager must be in the target audience of the course. For more information on course targeting, refer to this article.

 

To narrow down the search of the courses and training plans, the line manager can filter courses and training plans by using the Date Range filter (specifying the start and end dates), the filter by training type (e-Learning, Instructor-Led Training, or Training Plan), publishing status (Published, Unpublished, Ended, or Scheduled), and skill, or using the search field.

5. Select Enroll to enroll the users in the selected course and training plan.

The selected users will be added as learners to the corresponding courses and training plans, and they'll be enrolled in all unlocked courses of a training plan. The enrolled users will receive relevant notifications depending on the course type. For more information about notifications, see this article.

 

Unenroll from Course(s) and Training Plan(s)

To unenroll users from selected courses or training plans of the current catalog, the line manager will follow these steps:

1. Select relevant users on the LMS365 Line Manager Dashboard.

2. From the opened Direct Reports Administration panel, select Unenroll from Course(s) & Training Plan(s).

3. Expand Learner(s) to Unenroll to see the selected users. By default, the list is collapsed. Here, the line manager can delete users to correct the selected list of users if required.

4. In the Courses & Training Plans column, line manager can track a list of training where the selected users are enrolled in. If several users are selected, only training where all of them are enrolled in are displayed in the list. Select the relevant courses and training plans to unenroll the users from. To select all courses and training plans in the column, select the Name checkbox.

To narrow the search for the relevant training, line managers apply filters.

To narrow down the search of the courses and training plans, the line manager can filter courses and training plans by using the Date Range filter (specifying the start and end dates), the filter by training type (e-Learning, Instructor-Led Training, or Training Plan), publishing status (Published, Unpublished, Ended, or Scheduled), and skill, or using the search field.

5. Select Unenroll.

As a result, the selected learners will be removed from the corresponding courses and training plans, enrollment requests will be cancelled, learners will receive notifications about cancelled enrollments, and calendar invites will be deleted.

 

NOTE   

When line manager tries to unenroll learners who were originally enrolled via an Azure Active Directory group, a notification (under the bell icon) will inform them that this can't be carried out. In the notification, select the Details link to view the courses and training plans in which the user is enrolled via an Azure Active Directory group.

To unenroll these learners from courses and training plans, catalog admin can do one of the following:

 

Unenroll from all Courses and Training Plans

To unenroll users from all courses and training plans of the current catalog, the line manager follows these steps:

1. Select the relevant user on the LMS365 Line Manager Dashboard.

2. From the opened Direct Reports Administration panel, select Unenroll from all Courses & Training Plans.

3. In the Confirmation window, select OK to proceed. Select Cancel to cancel the action.

The selected learners will be removed from the corresponding courses and training plans, enrollment requests will be cancelled, they will receive notifications about cancelled enrollments, and calendar invites for instructor-led training will be deleted.

Enrollment Requests

By default, the line manager will see the pending enrollment approval from the direct reports only. To view the requests from both the direct reports and from the subordinates of the direct reports, the line manager will filter the users in the Name column by selecting Direct Reports' Subordinates from the drop-down menu on the LMS365 Line Manager Dashboard if there are currently any enrollment requests the line manager is to manage.

The Enrollment Requests icon with the number of requests will be displayed in the top right-hand corner of the LMS365 Line Manager Dashboard.

The line manager can select the Enrollment Requests icon to filter the users with requests.

To approve or reject enrollment requests, the line manager follows these steps:

1. On the LMS365 Line Manager Dashboard, select the icon with the number, as in the image above.

2. From the filtered list of users, select the relevant user in the Name column or the icon with the number near this user. This is the number of requests from this user.

3. From the opened Direct Reports Administration panel, select Enrollment Requests.

4. On the opened Enrollment Requests panel, select the relevant course or training plan enrollment request to activate the Approve and Reject buttons.

Requests for instructor-led training of the single- and multiple- enrollment types contain the List of Sessions link. Selecting this link, the line manager can track the sessions and/or session groups for which the learner requested to register. The all- enrollment course type shows All sessions because the learner will be registered for all sessions and session groups in the course.

  • To reject the enrollment request, select Reject. Enter the reject message and select Reject in the confirmation dialog. The user will see the rejection message in the email notification the receive.

  • To approve the enrollment request, select Approve.

As a result, the user will be enrolled:

  • In the requested e-learning course or training plan.
  • In the instructor-led training course if the request was to only enroll in the course, without a request for registering for any sessions or session groups. If there was a request for a standalone session and/or session group, then depending on the course enrollment type, the user will be registered for all standalone sessions and session groups of the all- enrollment type course; in all requested standalone sessions and/or session groups of the multiple- enrollment type course; or in the requested standalone session or the session group of the single- enrollment type course.

If the user requested to be registered for standalone sessions or session groups with vacant seats and a waiting list, the line manager will be able to approve only the sessions with vacant seats. The waiting list can be approved only by the course or catalog admin.

 

The Enrollment Request panel contains the following columns:

  • Course name. Displays the title of the course or training plan for which the user has requested enrollment.

  • Course type. Displays the type of course or training plan for which the user has requested enrollment.

  • Sessions Start Date & Location. Displays the sessions for which the user requested enrollment registration. This column is empty for e-learning courses, training plans, and for instructor-led training in which the user requested only to enroll, without registration for any specific sessions or session groups.
    If a user requested enrollment and registration for standalone sessions or session groups, line managers will track: List of Sessions for multiple- and single- enrollment type courses; All Sessions is displayed for all- enrollment type courses. Selecting the List of Sessions link, the line manager can track the sessions and/or session groups for which the learner requested to register. The all- enrollment course type shows All sessions because the learner will be registered for all sessions and session groups in the course. 
  • Requested At. Displays the date and time of the user requesting for enrollment.

 

Assessments

When a line manager is assigned as a supervisor for a course assessment, they'll find the assessment tasks on the LMS365 Line Manager Dashboard. The Assessments icon in the top right-hand side of the page notifies them of this.

By default, the line manager will see assessments for their direct reports. To view assessments for both their direct reports and subordinates of their direct reports, the line manager should filter the users by selecting Direct Reports' Subordinates from the drop-down list.

To manage assessment tasks, the line manager should select the relevant user. On the opened panel, they can see the Assessments action link and the number of assessments for this user.

Selecting Assessments opens the user's assessments panel, which displays the user's assessment information in two columns:

  • Assessment. The title of the assessment task. This column can be sorted alphabetically, either ascending (A-Z) or descending (Z-A).

  • Training. The title of the course that to which the assessment task relates. This column can be sorted alphabetically, either ascending (A-Z) or descending (Z-A).

To limit the items displayed, line managers can use the Search field to search for assessment titles and course titles. 

 

Selecting an assessment opens its Actions panel, which has the following managing options:

  • View assessment.
  • Approve assessment.
  • Email learner.
  • View course.

View assessment

Select View assessment to open a side panel that shows details of the assessment. The panel displays the assessment title at the top, the title of the course to which the assessment relates, the course type (e-learning or instructor-led training), the name of the user to assess, and the assessment description. Approve assessment

Select Approve assessment to open a confirmation message, which enables the line manager to approve the user's assessment. Once approved, the status of the assessment changes to Completed. Select Cancel to leave the assessment waiting for approval.

When approving an assessment, the line manager can optionally provide feedback to the user (up to 300 characters). The feedback will be displayed in the Assessment Reviewed notification, which is sent to the user once the assessment is approved. Email learner

Select the Email learner option to send an email to the user directly from the assessment. Selecting this option opens the Email Learners panel, which contains the Subject and Body fields.

In the Subject field, enter the subject of the email message.

In the Body field, enter the text you want to send to the learner. By default, the field contains the following text "This is a message regarding your assessment "title" in course "title", where the course title is a hyperlink to the course home page. Line managers can add, edit, or delete text.

View course

Select the View course option to open the course home page.

 

Download Certificate

To download certificates of the one or more users selected, the line manager follows these steps:

1. Select the relevant users on the LMS365 Line Manager Dashboard. 

2. From the Direct Reports Administration panel, select Download Certificate(s). Under Notifications (the bell icon), line manager will see the progress of preparing an archive with the users' certificates.

3. Select the link to download certificates to your local device.

Certificates will be downloaded in the .zip file to the line manager's device. Certificates will be grouped by users (folders with users’ names). Each folder contains user’s certificates with Valid, Expiring, or Expired statuses. All certificates are downloaded in PDF format.

Import External Training 

The line manager can import training records both into courses that are already in the catalog and new ones. When importing into an existing course, a new enrollment will be created if a user has completed the course. Otherwise, completion will be added to a current enrollment. Enrollment with the most recent completion date will be visible for a user on the course home page. All enrollments are still tracked from My Training Dashboard and in the transcript.

 

To import an external training record for an individual user, the line manager follows these steps:

1. Select the relevant user on the LMS365 Line Manager Dashboard.

2. From the opened Direct Reports Administration panel, select Import. The Import External Training panel opens.

3. On the Import External Training panel, complete the fields:

  • The Course field is required. In the Course field, line manager can select an existing course in the catalog from the drop-down list or enter the title of a new course.

  • The Course Type filed. If the line manager enters the title of a new course in the Course field, they need to set the course type (e-learning or instructor-led training) in the Course Type field. If the line manager enters the title of the existing LMS365 course, the Course Type field is inactive.

  • The Categories field is optional. If the line manager enters the title of a new course in the Course field, the Categories field will be active, and the line manager may select the category to the course from the drop-down list of the existing categories or create a new one. If the line manager entered the title of the existing course in the Course filed, the Categories field will be inactive.

  • The Completion Date field is required. Select the calendar icon to call out the calendar. In the calendar, select the date of the course completion. The present date is marked blue.

  • The CEUs field isn't required. Here, the line manager may specify the number of CEUs granted to the user. The CEUs field is optional.

4. When all the required fields are completed, select Next to proceed.

5. To upload or generate a certificate for this course, select from the following options:

  • Under Upload Certificate, select Upload to upload a certificate from the local device in the following formats: JPEG, BMP, GIF, PNG, and PDF.
  • Select the certificate template to generate the certificate in the drop-down menu under or generate it from Certificate Template.

In the Expiry Date field, select the calendar icon to call out the calendar. In the calendar, select the date of the certificate expiration. The present date is marked blue. The Expiry Date field is optional.

6. Select Save to complete the process of external training data import or Back to return to the previous step.

Users won't receive notifications when external training records are imported. If the imported training record has an associated certificate with a set expiry date, the user receives the Certificate Expiry Reminder and Certificate Expiry notifications. 

The imported training data is displayed on My Training Dashboard, on the LMS365 Line Manager Dashboard, and the Users panel via View Learner's Transcript and View Learner's Progress, and in the Training Reports that include Deleted courses.

The imported training records aren't displayed in the catalog and on the Training Management panel in the LMS365 Admin Center.

If a certificate is imported into an existing course, where the user is enrolled in (with the Enrolled or Cancelled statuses) and the enrollment date is later than certificate issue date, the user won't see this certificate on My Training Dashboard.

 

Grant Skill

NOTE   

The skills granted via Grant Skill won't be associated with a specific course or training plan. Users can track these skills from My Training Dashboard.

 

To grant skill to the users, the line manager will follow these steps:

1. From the LMS365 Line Manager Dashboard, select the relevant users. To select all the users in the list, select the Name checkbox.

2. From the Direct Reports Administration panel, select Grant Skill.

Expand Learner(s) to Enroll to see the selected users. By default, the list is collapsed. Line manager can delete the users from this list, if required.

3. On the opened Grant Skill panel, the line manager can expand Learners to Grant Skill to view and correct the list of the selected users. Here, by selecting the cross icon, the line manager can delete users that aren't relevant any more to the selected skills granting. 

To close the list, select Learners to Grant Skill.

4. On the opened Grant Skill panel, complete the fields:

  • Place cursor in the Skills field to call the drop-down list of all the existing skills in the present catalog and select the relevant skills. It's possible to select multiple skills, however, the same skill with different scale levels can't be selected.
  • Place cursor in the Revocation Date field to select the date from the calendar to schedule the skill revocation date. This field is optional.

5. Select Grant to grant skills to the selected users.

Revoke Skill

To revoke skill from the users, the line manager will follow these steps:

1. From the LMS365 Line Manager Dashboard, select the relevant users. To select all the users in the list, select the Name checkbox.

2. From the Direct Reports Administration panel, select Revoke Skill.

3. From the opened Revoke Skill panel, select the skills to revoke. To select all the skills in the list, choose the Name checkbox.

If several users are selected, only these skills that all these users have are listed in the Name column.

4. To see and correct the list of the selected users, select Learners to Revoke Skill. The list of the selected users will open. Here, by selecting the cross icon, the line manager can delete users that aren't relevant any more to the selected skills revocation. 

To close the list, select Learners to Revoke Skill.

5. Select Revoke to revoke the selected skills from the selected learners.

After revocation, the selected skills acquire the Revoked status.

Export data 

The line manager can download data from the LMS365 Line Manager Dashboard page using the export function. Select Export to download the data in the current view. This means, that if the line manager has applied any filters to the page, they will only download the data that has been returned as a result of filtering.

The exported data is downloaded to the local device as an Excel file. The report displays information in the language defined by the browser settings, if this language is supported by LMS365. Otherwise, it's displayed in English (United States).
