Retake courses and training plans

Introduction

Catalog and course admins can reset learners' progress either by forcing a retake of a course or training plan from the LMS365 Admin Center, or allowing learners to decide themselves if they would like to retake a course or training plan via the Voluntary Retake option.

The Voluntary Retake option allows learners to retake training to refresh their knowledge, improve their score, and update certificates and skills, etc.

This guide provides information about the retake option, how admins can initiate a retake for a course or training plan, and how learners can retake training when the Voluntary Retake option is enabled.

 

NOTE   

  • When learners retake a course, their progress is reset, and their course status is set to Not Started. Their progress for all learning items of the course is also reset, and this will be reflected in the catalog reports.
  • When learners retake a training plan, their progress is reset, and their training plan status is set to Not Started. Their progress for the training plan and all of its courses is also reset, and this will be reflected in the catalog reports.

Users can review the content of courses and training plans they're enrolled in at any time, even if the retake option isn't enabled. 

 

Retake an e-learning course

Initiated by an admin

Required role: catalog admin or course admin.

An admin can initiate a retake of an e-learning course for a user in two ways:

  • Via the LMS365 Admin Center > Users > select the relevant user > View Learner’s Progress > select the relevant e-learning course > select the Force Retake icon next to the course.

  • Via the LMS365 Admin Center > Training Management > select the relevant e-learning course > Course Progress dashboard panel > select the relevant user > select the Force Retake icon.

Either of these methods of initiating a retake of an e-learning course on behalf of a user will result in a confirmation message being displayed. The message informs the admin that the retake will reset the user's progress for the course, but information about the user's previous completion will still be registered in the user's training records.

 

When an admin initiates a retake of an e-learning course with:

  • Enrollment flow type: automatic approval

No email notifications are sent.

When the retake is confirmed, the course will be displayed with the Not Started status. To take and complete the course, learners should navigate to the course home page.

  • Enrollment flow type: line manager or administrator approval

1. The Course Enrollment Cancellation email notification is sent to the user.

2. The Course Enrollment Confirmation email notification is sent to the user.

When the retake is confirmed, the course will be displayed with the Not Started status. To take and complete the course, learners should navigate to the course home page.

 

Initiated by a learner

Required role: user who is enrolled in the course and has completed it.

If the Voluntary Retake option is enabled and the course is completed, learners can initiate a retake of the course either from My Training Dashboard or from the course home page.

To retake an e-learning course from My Training Dashboard, learners should select the Retake Course icon on the training card or from the ellipsis menu of the training card on the course catalog page.

To retake an e-learning course from the course home page, learners should select the Retake course option in the Information section.

Either of these methods of initiating a retake of an e-learning course will result in the confirmation message being displayed. The message informs learners that their course progress will be reset, and the course progress will change to Not Started. If they've completed the course before, their previous completion records will still be available in their Transcript.

Learners should select Retake to proceed. To cancel the action, select Cancel.

After confirmation, the learner's course progress will be reset.

 

When a learner initiates a retake of an e-learning course with:

  • Enrollment flow type: automatic approval

No email notifications are sent.

When the retake is confirmed, the course will be displayed with the Not Started status. To take and complete the course, learners should navigate to the course home page.

  • Enrollment flow type: line manager and administrator approval

1. The Course Enrollment Cancellation notification is sent to the user.

2. The Pending Approval Confirmation notification is sent to the user.

3. The approver (the course admin or line manager) will receive the Course Enrollment Approval Request, asking them to approve or reject the user's enrollment request.

4. If the enrollment request is approved, the user will receive the Course Enrollment Confirmation email notification. If rejected, the user will receive the Reject Confirmation email notification.

When the retake is confirmed, the course will be displayed with the Not Started status. To take and complete the course, learners should navigate to the course home page.

 

Retake an instructor-led course

Single-session course

Initiated by an admin

Required role: catalog admin or course admin.

An admin can initiate a retake of an instructor-led course for a user in two ways:

  • Via the LMS365 Admin Center > Users > select the relevant user > View Learner’s Progress > select the relevant an instructor-led course > select the Force Retake icon next to the course.

3. If the user registers for a session with available seats on the course home page, they will receive the Instructor-Led Training Enrollment Confirmation and the Instructor-Led Training Scheduled – Appointment Invite email notifications.

If the user selects a session that has no available seats and the Waiting List option is enabled in the course settings, the user and the course admin will receive the Adding to the Waiting List Confirmation email notification.

However, if attendance is required to complete the course, learners will have to register for a session and visit it to complete the course. If attendance isn't required, the learner can proceed with the retake and complete the course without session registration only by passing the content of the course. 

 

If the Allow enrollment without session registration option is enabled in the course settings:

1. If the user was registered for a course session at the time the course retake was initiated, the user will receive a canceled Instructor-Led Training Scheduled – Appointment Invite email notification for that session.

3. If the user registers for a session with available seats on the course home page, they will receive the Instructor-Led Training Enrollment Confirmation and the Instructor-Led Training Scheduled – Appointment Invite email notifications.

If the user selects a session that has no available seats and the Waiting List option is enabled in the course settings, the user and the course admin will receive the Adding to the Waiting List Confirmation email notification.

However, if attendance is required to complete the course, learners will have to register for a session and visit it to complete the course. If attendance isn't required, the learner can proceed with the retake and complete the course without session registration only by passing the content of the course.

Initiated by a learner

Required role: user who is enrolled in the course and has completed it.

NOTE   

  • The Retake course option is displayed only if the course has active sessions.
  • If users need to register for a session to retake the course, sessions that have no available seats are unavailable for the retake, even if the Waiting List option is enabled. In this case the Retake course option is inactive until an active session with available seats is selected. However, if the user is currently registered for a session that has no available seats, this session, when selected, activates the Retake course option.

 

If the Voluntary Retake option is enabled and the instructor-led course is completed, learners can initiate a retake of the course either from My Training Dashboard or from the course home page.

To retake an instructor-led course from My Training Dashboard, learners should select the Retake Course icon on the training card or from the ellipsis menu of the training card on the course catalog page.

 

Retake_ILT_from_MTD

 

To retake an instructor-led course from the course home page, learners should select the Retake course option in the Information section.

 

Retake_single_ILT_from_the_CHP

 

Either of these methods of initiating a retake of an instructor-led course will result in a confirmation message being displayed. The message informs learners that their course progress will be reset, and the course progress will show the status Not Started. If they've completed the instructor-led course before, their previous completion records will still be available in their Transcript.

Learners should select Retake to proceed. To cancel the action, select Cancel.

After confirmation, the learner's course progress will be reset.

 

When a learner initiates a retake of an instructor-led course with:

  • Enrollment flow type: automatic approval

If the Allow enrollment without session registration option is disabled in the course settings, the Retake course option becomes active when the user selects an active course session.

1. If the user was registered for a course session at the time the course retake was initiated, the user will receive a canceled Instructor-Led Training Scheduled – Appointment Invite email notification for that session.

2. The user will receive the Instructor-Led Training Scheduled – Appointment Invite email notification.

 

If the Allow enrollment without session registration option is enabled in the course settings, the Retake course option is active, regardless of whether the course has any active sessions or any session is selected by the user. 

1. If the user was registered for a course session at the time the course retake was initiated, the user will receive a canceled Instructor-Led Training Scheduled – Appointment Invite email notification for that session.

2. If the user doesn't select a session to register for on the course home page, they won't receive any appointment invite email notifications.

If the user selects a session that has available seats to register for on the course home page, they will receive the Instructor-Led Training Scheduled – Appointment Invite email notification.

If the user selects a session that has no available seats and the Waiting List option is enabled in the course settings, the user and the course admin will receive the Adding to the Waiting List Confirmation email notification.

However, if attendance is required to complete the course, learners will have to register for a session and visit it to complete the course. If attendance isn't required, the learner can proceed with the retake and complete the course without session registration only by passing the content of the course.

5. If the enrollment request is approved, the user will receive the Instructor-Led Training Enrollment Confirmation email notification. If rejected, the user will receive the Reject Confirmation email notification.

6. After approval, the user will receive the Instructor-Led Training Scheduled – Appointment Invite email notification for each session (that has available seats) they've selected to register for when initiating the retake. 

If the user doesn't select any sessions to register for on the course home page, they won't receive any session-related email notifications.

If the user selects a session that has no available seats and the Waiting List option is enabled in the course settings, the user and the course admin will receive the Adding to the Waiting List Confirmation email notification.

However, if attendance is required to complete the course, learners will have to register for the required number of sessions and visit them to complete the course. If attendance isn't required, the learner can proceed with the retake and complete the course without session registration only by passing the content of the course. 

 

Initiated by a learner

Required role: user who is enrolled in the course and has completed it.

NOTE   

  • The Retake course option is displayed only if the course has active sessions.
  • If users are to register for sessions to retake the course, sessions without available seats are unavailable for retake, even if the Waiting List option is enabled. In this case the Retake course option is inactive until at least one of the selected sessions is active and has available seats. However, if the user is currently registered for a session without available seats, this session, when selected, activates the Retake course option.

Any of the two ways the learners use to retake an instructor-led course will result in the confirmation message displayed. The message informs learners that their course progress will be reset, and the course progress will show the status Not Started. If they've completed the instructor-led course before, their previous records will still be available in their Transcript.

The learner should select Retake to proceed. To cancel the action, select Cancel.

After confirmation, the learner's course progress will be reset.

If the user selects sessions among which there are sessions without available seats and the Waiting List option is enabled in the course settings, the user and the course admin will receive the Adding to the Waiting List Confirmation email notification for the sessions without available seats.

However, if attendance is required to complete the course, learners will have to register for the required number of sessions and visit them to complete the course. All-sessions course

Initiated by an admin

Required role: catalog admin or course admin.

An admin can initiate a retake of an instructor-led course for a user in two ways:

  • Via the LMS365 Admin Center > Users > select the relevant user > View Learner’s Progress > select the relevant an instructor-led course > select the Force Retake icon next to the course.

  • Via the LMS365 Admin Center > Training Management > select the relevant an instructor-led course > Course Progress dashboard panel > select the relevant user > select the Force Retake icon.

Any of the two ways an admin uses to retake an instructor-led course will result in the confirmation message displayed. The message informs the admin that the retake will reset the user's progress of the course, but the user's previous completion will still be registered in their Transcript

The admin should select Retake to proceed. To cancel the action, select Cancel.

 

When an admin initiates a retake of an instructor-led course with:

  • Enrollment flow type: automatic approval

1. The user will receive a canceled Instructor-Led Training Scheduled – Appointment Invite email notification for each active session the user was registered for when the admin initiated the retake.

2. A new Instructor-Led Training Scheduled-Appointment Invite email notification is sent to the user for each session of the course the user got registered for when the admin initiated the retake.

When the retake is confirmed, the course will be displayed to the user with the Not Started status. To take and complete the course, the user should navigate to the course home page.

  • Enrollment flow type: line manager or administrator approval

1. The Instructor-Led Training Enrollment Cancellation email notification is sent to the user.

Initiated by a learner

Required role: user who is enrolled in the course and has completed it.

If the Voluntary Retake option is enabled and the instructor-led course is completed, learners can initiate a retake for the course either from My Training Dashboard or from the course home page.

To retake an instructor-led course from My Training Dashboard, learners select the Retake Course icon on the training card or from the ellipsis menu of the training card on the course catalog page.

To retake an instructor-led course from the course home page, learners select the Retake course option in the Information section.

5. If the enrollment request is approved, the user will receive the Instructor-Led Training Enrollment Confirmation email notification. If rejected, the user will receive the Reject Confirmation email notification.

6. After approval, the user will receive the Instructor-Led Training Scheduled – Appointment Invite email notification for each session with available seats they've selected to register for when initiating the retake. 

7. A new Instructor-Led Training Scheduled-Appointment Invite email notification is sent to the user for each session of the course the user got registered for when the admin initiated the retake.

 

When the retake is confirmed, the course will be displayed to the user with the Not Started status. To take and complete the course, the user should navigate to the course home page.

Retake training plan

Initiated by an admin

Required role: catalog admin or course admin.

A catalog or course admin can initiate the retake of an e-learning course for a user in two ways.

  • Via the LMS365 Admin Center > Users > select the relevant user > View Learner’s Progress > select the relevant training plan > select the Force Retake icon next to the course.

  • Via the LMS365 Admin Center > Training Management > select the relevant training plan > Training Plan Progress dashboard panel > select the relevant learner > select the Force Retake icon.

Any of the two ways an admin uses to initiate a retake of an instructor-led course for a user will result in the confirmation message displayed. The message informs the admin that the retake will reset the user's progress of the course. however, if a learner has previously completed a training plan or the courses within this training plan but is now retaking it, their previous completion records will still be available in their Transcript in the reports on the Progress dashboard.

To proceed, select Retake. To cancel the action, select Cancel.

 

In this case the selected course will be retaken, the process and notifications differ for e-learning courses and instructor-led course depending on their settings.

 

Retake_of_a_course_in_a_training_plan

 

NOTE   

An admin can initiate a retake of a specific course within a training plan. Using any of the ways described above, an admin needs to select the expand icon near the learner's name (on the training progress dashboard) or training plan title (on the user's progress dashboard), find the course that must be retaken, and select the Retake icon next to it.

 

Force_retake_of_a_course_in_a_TP

 

After confirming the action, the progress of the selected course will be reset, the information about the retake will be displayed next to the course, and the status will be Not Started.

Retaken_course_in_a_completed_TP

 

If a user has previously completed a training plan or the courses within this training plan but is now retaking it, their previous completion records are will still be available in their Transcript in the reports on the Progress dashboard.

On the Progress dashboard, the grey tick icon is located near each course of the training plan (not the training plan title) and only for the courses that have been previously completed and retaken. Select the expand icon near the learner's name (on the training progress dashboard)/training plan title (on the user's progress dashboard) to see the details of each course of the training plan. Hover over the icon of individual courses to see the last completion date.

If an individual course was retaken and completed several times, only the last completion date is stated.

To track the last completion date of the whole training plan, if it was completed before the retake, download the training plan progress report and refer to the Previously Completed column.

Initiated by a learner

Required role: user who is enrolled in the training plan and has completed it.

4. The approver (the course admin or line manager) will receive the Training Plan Enrollment Approval Request to approve or reject the enrollment request of the user.

5. If the request is approved, the user will receive the Training Plan Enrollment Confirmation email notification. If the request is cancelled, the user will receive the Training Plan Reject Confirmation email notification.

When the retake is confirmed, the training plan will be displayed with the Not Started status. To take and complete the training plan, learners should complete the courses of training plan.
