Training Due Date: overview and management

Introduction

The training admin can set the due date to the course and training plan making the training required for learners to complete by a certain date. A detailed description on the training Due Date, its meaning and management is given in this article.

 

Course Due Date

Course Due Date can be set and managed during course creation or after the the course has been created. In both cases, you need to go to LMS365 Admin Center > Training Management > select the relevant course > Course  Management panel > Manage Course Settings to get directly to the Settings section of the course creation/editing panel.

On the Settings section, you can enable and disable the Due Date option by dragging the toggle On/Off.

 

 

If the Due Date is enabled, you have two variants of the Set Due Date as option:

  • number of days after enrollment - enables you to give learners a specific timeframe within which the course will have to be completed. The due date takes into account the learner's enrollment date and time as well as the date and time of when the course was published.

    If the course is already published at the time the learner is enrolled, the countdown starts from the learner's enrollment date and time. If the course is not yet published, when the learner is enrolled in the course, the countdown starts from the moment the course becomes published.

     

  • a fixed date - allows you to specify the exact date and time for the course due date.

In both cases, learner will see the exact course due date - hourglass icon - on the course home page in the Information section

 

 

and on My Training Dashboard.

 

 

Training Plan Due Date

Training plan Due Date can be set and managed during training plan creation or after the training plan is created. In both cases, you need to go to LMS365 Admin Center > Training Management > select the relevant training plan > Training Plan Management panel > Manage Training Plan Settings to get directly to the Settings section of the training plan creation/editing panel.

On the Settings section, you can enable/disable the Due Date option by dragging the toggle On/Off.

 

 

If the Due Date is enabled, you have two variants of the Set Due Date as option:

  • number of days after enrollment - enables you to give learners a specific timeframe within which the training plan will have to be completed. The due date takes into account the learner's enrollment date and time as well as the date and time of when the training plan was published.

    If the training plan is already published at the time the learner is enrolled, the countdown starts from the learner's enrollment date and time. If the training plan is not yet published, when the learner is enrolled in the training plan, the countdown starts from the moment the training plan becomes published.

  • a fixed date - this variant allows setting the due date at an exact day and time. 

In both cases, learners will see the exact training plan due date - the hourglass icon - on the training plan home page web part in the Information section

 

 

and on My Training Dashboard.

 

 

Due Date is over

If the training Due Date is over and there are learners with uncompleted training status, the admin can track them in one of the following ways:

  • The LMS365 Admin Center > Training Management. In the Overdue column, the number of the overdue learners is specified for each course or training plan.

 

 

  • The LMS365 Admin Center > Training Management > select the progress icon or on the Course/Training Plan Management panel, select Course/Training Progress.

On the opened course/training plan progress panel, the number and percentage of learners will be specified in the Overdue section.

  • The LMS365 Admin Center > Training Management > select a course/training plan> Email Learners. On the Email Learners panel, use the Is Overdue column with All selected in the drop-down list or select Overdue in the drop-down list to see only these learners who has the overdue status.

 

 

NOTE   

Learner can still enroll to training or proceed learning within uncompleted training even with the overdue course/training plan date.

On the training due date, the enrolled learner will receive an email notification that the course has passed its due date.

 

 

 

Due Date is changed

If the training due date is changed by the course or course catalog admin, learners enrolled in the training with a Not Started or In Progress training status will have their due date of the course or training plan updated and they will see the updated due date on the training home page and on My Training Dashboard.

Learners with a Completed training status will not be affected by this change, their status remains Completed.

 

Due Date is not set

If the training due date is not set, learner can complete it any time. Learner will not see any due dates in the Information section on the training home page or on My Training Dashboard.

 

Due Date is removed

If the training due date is removed, all learner including those who have already completed the training will not see any due dates in the Information section on the training home page or on My Training Dashboard. Learners' progress in the training is not affected by this change.
