Understanding the "Learner’s Progress" in the Line Manager’s Dashboard

Introduction

Via the Line Manager Dashboard, line managers can view the progress of their team on training activities in full details and understand how each team member is progressing.

This article offers an introduction to the information line managers can find in the Learner's Progress dashboard and Excel report, an explanation of how the progress is calculated, and a detailed walkthrough of the data.

 

Where to find the Learner's Progress in the Line Manager Dashboard

To find the Learner's Progress dashboard and report in the Line Manager Dashboard, the line manager will follow the steps:

1) Go to My Training Dashboard > Line Manager Dashboard

2) Select Direct Reports or Direct Reports Subordinates > select the relevant learner

3) From the opened panel, select View Learner’s Progress.

This will bring out the Learner’s Progress panel.

To download the report in the Excel file with the learner’s progress, select Download Report.

What does the Learner’s Progress View & Report show?

The dashboard progress view and the Excel report present information based on all data for the subordinate, not only the current enrollments. This means that all trainings that the subordinate has ever been enrolled in are displayed.

In the table below, you will find a detailed walkthrough of the data represented in the learner's progress dashboard view and the Excel report.

NOTE   

  • Some calculations require more details to fully understand, and you may find a link in the Explanation column to an elaboration.
  • The items in the table are numbered (see the left column) and marked with the same number in the Learner’s Progress examples shown above.
  • The (items 1-8) sum up and display the information based on the data in the list below and the Excel report.
  • The information in the dashboard list and the Excel report are based on the same data, but there may be differences in what is shown and how it is presented, and in some cases labels.
  • A number from the table can refer to both and item in the dashboard view and in the Excel report.

1. Total Trainings Enrolled

Number of trainings (courses and training plans) that the subordinate is currently enrolled in 

Deleted trainings with Is Enrolled = Yes are counted here. Completed trainings that were deleted with Is Enrolled = Yes/No are not counted here.

2. Total Trainings Completed

Number of trainings that the subordinate has ever completed

Trainings that were retaken and those that were completed but cancelled (unenrolled) will be counted here. Imported external trainings or completed trainings that were deleted will not be counted here.

3. Total CEUs

Total number of CEUs that the subordinate has ever received for all completed trainings

CEUs counted here include earning credits for all trainings the user has completed (even for deleted, imported, and cancelled trainings). Once the learner retakes the training, the CEUs will not be counted here.

4. Completed

Number of trainings that have been completed by the subordinate

For the Instructor-Led Training, this status means that subordinate’s registered attendance matches attendance required for the course completion. The number that is shown in the Completed field is equal to the Completed trainings shown in the grid.

5. In Progress

Number of trainings that have been started but not completed yet

For the Instructor-Led Training, this status means that subordinate’s attendance has been registered. The number that is shown in this field is equal to the In Progress trainings shown in the grid.

6. Not Started

Number of trainings that have not been started yet

The number that is shown in the Completed field is equal to the Not Started trainings shown in the grid.

7. Overdue

Number of trainings (Not Started, In Progress) that have not been completed up to the Due Date

The trainings that have been completed after the Due Date will not be counted here.

8. Name (Course Title)

Title of the course (№ 26 in the Export report)

9. Is Enrolled

Whether the subordinate is currently enrolled in the training (Yes/No)

No will be displayed when subordinate has been unenrolled from the training or has an enrollment request for the training (№ 30 in the Export report)

10. Status

The completion status for the training (Not Started, In Progress, or Completed) (№ 33 in the Export report)

11. CEUs

Dashboard, Excel report

Number of CEUs earned for a Training

If there are no CEUs set for the course, this field will be empty (№ 32 in the Export report)

Subordinate’s progress

The calculation of progress depends on the training, enrollment type and course completion settings (№ 31 in the Export report)

Remember, if you set the course completion manually, Progress and Score values will automatically be saved as they were before the manual completion.
If the completion of the learning items is set manually but the course completion is not, the progress will be recalculated.

If the completion of the learning items is set manually, the score will be 100%.

The detailed information on the progress of each learning item is collapsed by default. Once you click the expand button next to the learner’s name, you will see the progress per each item.

14. Is Overdue

Whether the subordinate has completed the Training up to the Due Date

If the subordinate completes the training after or before the due date, it will be marked as Is Overdue No.

15. Overdue Date

This date will be shown both for courses and training plans.

16. Certificate

Subordinate’s certificate

The subordinate’s certificate is shown if available for a completed training (№ 38 in the Export report)

17. Expiry Date

The date when a certificate will expire

This field will be empty if there is no expiration date set for the certificate (№ 39 in the Export report)

18. Learner Name

The name of the subordinate

The subordinate’s additional information: Email, Department, Job Title, Manager, Office, City, Country

35. Due Date

The date when the subordinate must complete the course

The due date depends on the date type option selected for the training:

If you select the number of days after enrollment, the due date that is shown in the report will depend on the enrollment date for each learner.

If you choose the Fixed Date, the due date will be the same for all users.

36. Time Completed

Excel report

Time that learner spent on completing the course

Shown for completed courses only.

40. Certificate Expired

Excel report

Whether the certificate expired (yes)

Will be marked Yes when certificate is expired.

 

Calculation of Progress

For an e-learning course with learning items

Example: If a learner starts a course with 5 learning items set as required for the course completion:

The result will be the following: The progress for the completed items divided by the number of learning items that are set as required. So, we have: (100%+50%+0%+0%+20%)/5 = 34%.

Example: If a learner starts a course with 5 learning items and only 3 of them are set as requited for the course completion:

The result will be the following: The progress for the completed items divided by the number of learning items that are set as required. So, we have: (100%+50%+0%)/3 = 50%.

For the Instructor-Led Training

This is displayed as relative to % selected for the course completion.

If required attendance is not set for the course, progress is displayed as % of registered learner’s attendance for this course session.

If required attendance is not set for the course and Enroll user into all course session enrollment types is selected, progress is calculated as an average % of set attendance from all course sessions.

NOTE   

You can specify the attendance percentage to set course completion while creating or editing course. It can be registered 25% attendance, registered 50% attendance, registered 75% attendance, or registered 100% attendance. Course is completed if learner’s percentage of attendance is equal to or more than it was set in Course Completion Settings and learner has passed all necessary learning items correctly or course administrator has manually set completion in the Gradebook or via Learner Progress panel.

: If there is a course that has Enroll user into a single course session enrollment type and minimum attendance percentage for the course completion is set.

If tools (for example, SCORM or Quiz) are provided for the Instructor-Led Training, learning items that are set as required for the course completion are calculated in the course progress as well.

Example: If learner’s attendance is not set (passing attendance is 50%) and learner’s attempt for learning item is 100%, then course progress is 50%.
