Understanding the "Learner's Progress" dashboard and report

Introduction

The Learner's Progress dashboard and Excel report provides data on the training progress of a specific learner.

In this guide, we will describe how this progress is calculated and explain how to understand the data shown by the dashboard and the Excel report.

What does the Learner's Progress dashboard and report show?

The Learner's Progress dashboard and the Excel report present information based on all data available for the learner. 

 

NOTE   

The Learner Progress view and the Excel report present information based on all data available for the learner, that is not only the current enrollments. This means that all trainings that the learner has ever been enrolled in are displayed.

In the table below, you can find explanations of how to read and understand the information about the learner’s progress in the dashboard and the Excel report, the data they present and calculations behind each bit of information.

 

NOTE   

  • Some calculations require more details to fully understand. You may find a link in the Explanation column to an elaboration.
  • The graphical diagrams at the top of the dashboard view (items 1-8) sum up information specified in the columns below.
  • The information in the dashboard and the Excel report are based on the same data, however, there may be slight differences. The differences are mentioned in the Explanation column of the table.
  • A number from the table can refer to both an item in the dashboard view and in the Excel report. In that case, in the Explanation column, you will see the number reference for the Excel report and the dashboard view.

1. Total Training Enrolled

Number of the trainings (courses and training plans) that learner is currently enrolled 

The imported training and deleted trainings that the learner was enroll in are counted here as well.
The number that is shown in the Total Training Enrolled equals to the number of the training with value Yes in the Is Enrolled column.

2. Total Training Completed

Number of the trainings that learner has ever completed 

The trainings that were retaken and those that were completed but cancelled (unenrolled) will be counted here.

The imported external trainings or completed trainings that were deleted will not be counted here.

3. Total CEUs

Total number of CEUs that the learner has received for the completed trainings 

CEUs counted here include earning credits for all trainings the user has completed (even for deleted, imported, and cancelled trainings). Once the learner retakes the training, the CEUs will not be counted here.

4. Average Score

Average score for all trainings 

If there is no any training that has score, this value will be 0.

5. Completed

Number of trainings that have been completed by learner (deleted, cancelled, imported, but not retaken)

The number that is shown in the Completed pie chart is equal to those on the grid view. For the Instructor-Led Training this status means that learner’s registered attendance matches attendance required for the course completion.

6. In Progress

Number of trainings that have been started but not completed yet

The number in the In Progress field is equal to that on the grid view. For the Instructor-Led Training, this status means that learner’s attendance has been registered.

7. Not Started

Number of trainings that have not been started yet

The number that is shown in the Not Started chart is equal to that on the grid view.

8. Overdue

Number of trainings that have not been completed up to the Due Date

The number that is shown in the Overdue field is equal to that on the grid view. The deleted, cancelled trainings that have the overdue status are also counted here.

9. Name (Course Title)

The title of the course

In the Name column of the dashboard, select the training name to expand details on the learning items progress on the course/training plan (Under number 25 Course Title in the Excel report, you can track only the titles of the trainings).

10. Is Enrolled

Whether the learner is enrolled in the training

No is displayed when learner has been unenrolled from the training or has an enrollment request for the training (number 29 in the Excel report).

11. Status

The completion status: Not Started, In Progress, or Completed

In the Status column on the dashboard, you can track the completion status of the training and the learning items in it. To view the progress on each learning item of the course/training plan, select the expand button next to the training title. For the Excel report refer to number 33.

12. CEUs

Number of CEUs earned or set manually

If there are no CEUs that are set for the course/training plan, this field will be empty. In the dashboard view, you can track the total number of CEUs earned by learner.

By expanding the training plan title, you can track the number of CEUs earned by learner for a course included in this training plan. 

For the Excel view, refer to number 32.

13. Progress

Learner’s progress

The calculation of progress depends on the course and enrollment type (number 30 in the Excel report, you can track the total progress of the training only). To view detailed progress information for the learning items in the course, select the expand icon near the learner's name.  

  • If you complete the course manually by dragging the Completion toggle to On without also manually completing the learning items in this course, the Progress and Score values stay the same as before the manual completion of the course.

For example, on the image below, Kate's course completion of Kate was manually set to Completed, but the completion of the learning items was not edited by the course admin. Before the manual completion was carried out, Kate had already progressed with the learning items of the course. Therefore, the progress and score remain the same as they were before the manual completion of the course, although the course status is now set to Completed.

  • If the completion of the learning items is set manually but the course completion isn't set to Completed, the course progress will be recalculated according to the set progress of the learning items.
  • If the completion of all the learning items that don't have any progress is set manually to Completed, the course will become automatically Completed and the Score will be 100%, although the course Progress is 0%, as in the image below.

14. Score

Dashboard, Excel report

Learner’s average score of the training as well as of learning items.

The calculation of score for the learning items depends on their type. If the completion of the learning item is set manually, the score will be 100%. The total score for the training is equal to the average score of the learning items in the training and have score.

In the dashboard view, you can expand the training title to view the detailed score for each learning item in the training. In the Excel report (number 31), you can track only the total score of the training.

15. Completed

The date the learner has completed the training. For the Excel report, refer to number 36 (Date Completed).

16. Certificate

Whether learner has certificate(s)

The eye icon means the user has acquired certificate(s) that you can view. For the Excel report, refer to number 38.

17. Learner Name

Excel report

The name of the learner.

18-24

Excel report

The learner’s additional information: Email, Department, Job Title, Manager, Office, City, Country.

25. Course Title

Excel report

The title of the course/training plan. For the dashboard view refer to number 9 (Name).

26. Course Type

Excel report

The type of the training.

Specifies the training type: e-learning, the Instructor-Led Training, Training Plan.

27. Category

Excel report

The categories that were specified for the course/training plan.

28. Course ID

Excel report

The ID of the course/training plan if it was set.

29. Is Enrolled

Excel report

Yes or No

Yes/No defines whether the learner is enrolled in this training or no. No is displayed when learner has been unenrolled from the training or has an enrollment request for the training (number 10 in the dashboard view).

30. Progress

Excel report

The progress percentage of the training completion.

In the excel report, you can track the total progress of the training. For the dashboard view, refer to number 13.

31. Score

Excel report

In the Excel report, you can track the total score of the training. For the dashboard view refer to number 14.

32. CEUs

Excel report

Earned CEUs number

In the Excel report, you can track the total CEUs earned for the training. For the dashboard view refer to number 12 .

33. Status

Excel report

Completion statuses: Not Started, Completed, In Progress

 In the report, you can track the status of a training (Not Started, Completed, In Progress). For the dashboard view, refer to number 11.

34. Overdue Status

On Time or Overdue 

With On Time/Overdue it is specified whether the learner is on time with course/training plan completion or no.

35. Due Date

Excel report

The date when the learner must complete the course by.

The due date depends on the selected Due Date option for the training. If number of days after enrollment is set, the due date that is shown in the report will depend on the enrollment date for each learner. If you set Fixed Date, the due date will be the same for all users.

36. Date Completed

Excel report

Course/training plan completion date. 

The date the learner has completed the training. Refer to number 15 for the dashboard view.

37. Time Completed

Excel report

Course/training plan completion time. 

The completion time is displayed for completed trainings only.

38. Certificate

Excel report

Yes or No

Yes/No specifies whether the learner acquired certificate(s) or no.

39. Certificate Expiry Date

Excel report

The expiration date of the acquired certificate.

40. Certificate Expired

Excel report

Yes or No

Yes/No specifies if the certificate is expired or no.

 

How learning items score is calculated

The calculation of score for the learning items depends on their type:

  • Learning Module’s progress is calculated as a percentage of passed steps among all steps included into it. For example, there are 4 items in the Learning Module, learner has passed 2 of them, and their progress will be 50%.
  • Quiz’s progress is calculated as a percentage of earned score regarding the passing score. For example, passing score is 80% and maximum number of points is 200, that means that learner have to earn 160 points to complete the Quiz, and if they earn 120 points, their progress will be calculated as 120/160 * 100% is 75%.
  • Content Package’s progress is calculated as a progress set in the content package or as a percentage of passed SCO regarding all SCO.
  • Assignment’s progress will be calculated as a percentage of earned grade regarding the percentage required for the completion. For example, learner’s grade for the assignment is 79% and percentage required for the completion is 80%, learner’s progress will be set to 99%).
  • External App’s progress can be 0% when it has Not Started status or 100% when it has Completed status.

Example: A learner starts a course with 5 learning items set as required for the course completion:

The result will be the following: The progress for the completed items divided by the number of learning items (in this case 5) that are set as required. So, we have: (100%+50%+0%+0%+20%)/5 = 34%.

OR

Example: A learner starts a course with 5 learning items and only 3 of them are set as requited for the course completion:

The result will be the following: The progress for the completed items divided by the number of learning items (in this case 3) that are set as required. So, we have: (100%+50%+0%)/3 = 50%.

 

Calculation for the Instructor-Led Training

This is displayed as relative to % selected for the course completion.

If required attendance is not set for the course, progress is displayed as % of registered learner’s attendance for this course session.

If required attendance is not set for the course and Enroll user into all course session enrollment types is selected, progress is calculated as an average % of set attendance from all course sessions.

NOTE: You can specify the attendance percentage to set course completion while creating or editing course.  It can be registered 25% attendance, registered 50% attendance, registered 75% attendance, or registered 100% attendance. Course is completed if learner’s percentage of attendance is equal to or more than it was set in Course Completion and learner has passed all necessary learning items correctly or course administrator has manually set completion in the Gradebook.

Example: if there is a course that has Enroll user into a single course session enrollment type and minimum attendance percentage for the course completion is set:

Calculation for a course without learning items

Learner’s attendance is equal to or more than passing attendance (passing attendance is 50%, learner’s attendance is 50%/75%/100%) Course progress is 100%. Learner’s attendance is calculated as an average for all sessions. Course progress is 100%.

If tools (e.g. SCORM or Quiz) are provided for the Instructor-Led Training, learning items that are set as required for the course completion are calculated in the course progress as well.

Example: learner’s attendance is not set (passing attendance is 50%) and learner’s attempt for learning item is 100%, then course progress is 50%.
