Overview of the self-evaluation of skills process

Introduction

The LMS365 (Learn365) skills framework enables you to reward learners when they complete training. It also enables learners to evaluate their skills and add those they think are missing, for example if they've completed external training and want to add the skills achieved in this training in LMS365 (Learn365).

In this article, we provide an overview of the skill self-evaluation process, including how learners evaluate and add their own skills, the approval flow, and how learners can see the skills they've added.

 

IMPORTANT   

To be able to use the LMS365 (Learn365) skills framework, your organization needs to have a subscription for the Skills Management add-on (note that the LMS365 (Learn365) skills framework is included in the Learn365 Freemium subscription type). If you don't have the relevant subscription, a notification will guide you to contact your reseller, partner, or the Zensai Subscription team for further assistance.

 

Process

1. Before learners can evaluate their own skills and skill levels, the Microsoft 365 global admin or LMS admin will need to enable the Self-evaluation of skills option in Global Settings. For information about how to enable this feature, see this article.

2. With the self-evaluation of skills option enabled, the Microsoft 365 global admin of LMS admin will need to choose whether line managers are required to approve learners' skills by configuring the Require line manager approval for self-evaluation of skills option in Global Settings. 3. To ensure learners receive relevant email notifications about their skill requests, catalog admins should check and configure the following notification templates:

4. Once all the configuration steps are complete, learners can add skills and skill levels themselves, or request approval for skills and skill levels from their line manager. For more information about how learners add skills and skill levels, see this article.

5. The learner submits their request. The process differs, depending on whether line manager approval is required.

If line manager approval isn't required:

  • The skill is automatically granted to learners.
  • The skill is marked as Valid in the Skills section of the learner's My Training Dashboard. For more information, see this article.
  • Line managers will see this skill in the Skills section of the learner's transcript on the Line Manager Dashboard. For more information, see this article.

If line manager approval is required:

  • The requested skill is marked as Pending approval on the learner's My Training Dashboard. For more information, see this article.
  • The line manager receives the Skill request pending email notification. For more information, see this article.
  • The line manager goes to Line Manager Dashboard or selects the link in the Skill request pending notification, and either approves or rejects the learner's request.
    • If the line manager approves the requested skill:
      • The learner receives the Skill request approved notification. For more information, see this article.
      • The requested skill is marked as Valid in the Skills section of the learner's My Training Dashboard and it will be removed from the Pending approval section. For more information, see this article.
      • Line managers will see the approved skill in the Skills section of the learner's transcript on the Line Manager Dashboard. For more information, see this article.
      • Admins can track the skill in the learner's records and transcript. For more information, see this article.
    • If the line manager rejects the requested skill:
      • The learner receives the Skill request rejected notification. For more information, see this article.
      • The requested skill won't be displayed on the learner's My Training Dashboard.
      • The rejected skill request won't be displayed on the Line Manager Dashboard.
